JRN #2450 Position Overview A dynamic principal and business leader is seeking an experienced Personal Assistant & House Manager to lead on-site operations for their lifestyle and primary residence in Cambridge, MA. This role is ideal for a seasoned private service professional who excels at building structure, and delivering seamless household operations and personal support. The successful candidate will operate in a true hybrid capacity, balancing personal assistant and house management responsibilities based on the principal’s evolving weekly needs. This role requires the ability to seamlessly shift between managing personal logistics and overseeing household operations depending on priority and ensuring both the principal’s lifestyle and residence run smoothly. The principal travels regularly between Boston, New York City, the Hamptons, and Miami, so the role demands strong anticipation, organization, adaptability, and confident independent decision-making. Occasional advance travel to other residences, as well as travel with the principal, will be required. The Personal Assistant & House Manager will serve as the central point of coordination for lifestyle logistics and household operations, supported by a property management company and daily housekeeper. The principal's business-related administrative responsibilities and calendar coordination are supported by a separate Executive assistant. Relocation will be provided for a star candidate. Key Responsibilities Personal Assistant Duties • Anticipate the principal’s needs and manage day-to-day lifestyle logistics, • Book and manage all domestic and international travel, including flights, accommodations, transportation, and detailed itineraries, • Own the principal’s personal calendar and travel schedule; Proactively anticipate needs and prompt the principal to ensure consistent, forward-looking calendar planning each week, • Schedule and manage all beauty, self-care, medical, and personal appointments, • Handle any errands, packages (pick up/returns), dry cleaning runs, etc., • Manage gifting from generating thoughtful ideas to purchase, packaging and delivery, • Plan ahead to ensure readiness for meetings, travel, events and daily activities, • Manage wardrobe organization, garment care, and closet systems; Maintain proper care of high-value clothing and accessories, • Coordinate dry cleaning, tailoring, and clothing preparation for travel and events, • Pack and unpack for travel, • Assist with logistics for events the principal will attend, • Coordinate small in-home events, including vendors, staffing, and service execution, • Travel with the principal as needed to provide personal support House Manager Duties • Serve as the on-site operational lead for the primary residence, • Implement and manage household systems, workflows, and organizational procedures, • Train and guide household staff on newly implemented systems and service standards, • Oversee the daily housekeeper, delegating and prioritizing tasks while directing day-to-day execution based on evolving needs and ensuring seamless coordination and follow-through., • Collaborate with property management company and outside vendors to ensure seamless household operations, • Manage household inventory, pantry, and provisioning, • Prepare simple meals as needed; provide training and delegate this responsibility to the daily housekeeper where appropriate., • Manage household invoices, expense tracking, and maintain organized records, • Troubleshoot and operate household technology (Sonos, Lutron, Skylight, etc.), • Ensure the home remains organized, guest-ready, and operating to a 5-star standard, • Provide hands-on support during events, including meal and beverage service, • Coordinate readiness of secondary residences and travel ahead as needed Qualifications • 8+ years supporting UHNW principals in private households, estates, or family offices, • Experience as a Personal Assistant, Butler, Chief Stewardess, House Manager, or similar role, • Proactive approach to calendar management, including anticipating needs, looking ahead, and prompting the principal on upcoming decisions and priorities, • Proven experience leading and managing a small team of staff, ensuring high standards of performance and daily operations, • Proven ability to implement household systems and operational structure, • Experience managing staff, vendors, and service providers, • Strong organizational skills and ability to manage complex schedules, • Proficiency with Google Workspace, spreadsheets, and task management tools, • High discretion, professionalism, and strong communication skills, • Calm demeanor, ability to approach challenges with a solutions-oriented mindset, • Hospitality-driven, white-glove service mindset with exceptional attention to detail, • Resourceful, proactive, and able to operate independently in fast-paced environments, • Must have a clean background and excellent references Location: Boston, MA Travel: Occasional travel to NYC, The Hamptons, and Miami Compensation: Full Time, Up to 150K, PTO, Generous Health Stipend (W2) Employment Type: Live-Out or Live-In
