We’re looking for an Executive Assistant who can provide high-level administrative, operational, and client support to a top-performing mortgage professional, someone who anticipates needs, stays three steps ahead, and ensures nothing falls through the cracks. The Executive Assistant will be the right hand to a busy mortgage professional, handling a variety of administrative, communication, and coordination tasks that keep the business organized and efficient. From managing emails, calendars, and documents to assisting with client follow-ups and loan pipeline tracking, you’ll play a key role in maintaining excellent client experiences and smooth internal operations. Compensation • Salary Range: $50,000 - $60,000, • Paid time off and holidays, • Manage and organize a high volume of emails, calls, and messages—flagging priorities, drafting responses, and maintaining professional communication at all times., • Oversee the daily calendar: schedule appointments, client meetings, loan signings, and follow-ups while proactively preventing conflicts and ensuring smooth coordination., • Track and manage the entire loan pipeline from application through closing, ensuring deadlines are met and documentation is complete., • Gather, review, and submit client documents such as pay stubs, bank statements, disclosures, and insurance forms with accuracy and confidentiality., • Prepare and update loan files in the CRM and LOS systems, ensuring data integrity and compliance., • Communicate with clients, lenders, underwriters, and agents to keep everyone informed and on schedule., • Maintain and update spreadsheets for loan tracking, referral partner contacts, and client communications., • Prepare weekly status reports, loan summaries, and performance tracking for leadership review., • Assist with marketing efforts—updating social media posts, sending newsletters, and coordinating with referral partners., • Draft and send follow-up messages, thank-you notes, and milestone communications to clients and partners., • Manage client onboarding and offboarding processes, ensuring each client has an exceptional experience from first contact to post-closing., • Keep all digital and physical files organized and compliant with company and regulatory standards., • Create and improve templates, checklists, and systems to increase efficiency and maintain consistency in operations., • Research, coordinate, and assist with community events or referral partner appreciation initiatives., • Order supplies, manage expenses, and handle light bookkeeping or payment tracking as needed., • Act as the gatekeeper and extension of the executive—anticipating needs, solving problems, and ensuring priorities stay on track.Qualifications:, • Proven experience as an Executive Assistant, Administrative Assistant, or Loan/Transaction Coordinator (mortgage or real estate industry preferred)., • Exceptional attention to detail, organization, and time management skills., • Strong written and verbal communication abilities., • Tech-savvy with proficiency in Microsoft Office, Google Workspace, and CRM systems (experience with mortgage software a plus)., • Ability to handle sensitive information with the utmost confidentiality., • Self-motivated, reliable, and eager to take ownership of projects., • Thrives in a fast-paced, deadline-driven environment and enjoys supporting a high-performing leader.About Company Manzi Mortgage Group is a client-centered mortgage team built on trust, knowledge, and exceptional service.
