Role Overview The Retail Operations Coordinator plays a critical role in enabling the effectiveness of the Senior Vice President of Retail while supporting the operational rhythm of the broader Retail organization. This position combines high-level executive administrative responsibilities with hands-on coordination across Asset Protection, Retail Operations, and Omnichannel initiatives. The role requires strong organizational skills, sound judgment, attention to detail, and the ability to move seamlessly between executive priorities and operational workflows. The ideal candidate is proactive, service-oriented, and comfortable managing multiple workstreams in a dynamic retail environment. This position offers exposure to senior leadership and cross-functional teams. Key Responsibility Areas and Time Allocation Executive Support to SVP of Retail (Approximately 60 percent) • Manage complex calendar scheduling, meeting coordination, travel arrangements, and expense reporting, • Prepare and format presentations, reports, briefing materials, and correspondence for internal and external stakeholders, • Coordinate executive meetings including agenda preparation, materials distribution, note capture, and follow-up tracking, • Serve as a key point of contact between the SVP of Retail and cross-functional partners, ensuring timely communication and responsiveness, • Maintain organized digital and physical filing systems for executive documentation and confidential information, • Process departmental invoices, purchase orders, and expense documentation, • Track budgets and expenses for retail operational activities as needed, • Support onboarding and offboarding logistics for retail corporate team members, • Maintain shared folders, documentation, and administrative systems for the Retail team, • Process departmental invoices, purchase orders, and expense documentation, • Track budgets and expenses for retail operational activities as needed, • Support onboarding and offboarding logistics for retail corporate team members, • Maintain shared folders, documentation, and administrative systems for the Retail team Asset Protection Operational Support (Approximately 20 percent) • Process and track invoices related to security vendors and services, ensuring accurate coding and timely submission, • Coordinate access control requests, credential setup, and access removal in partnership with stores and corporate teams, • Support guard scheduling requests, vendor communications, and shared calendar management, • Process alarm code requests and maintain accurate access and security records, • Follow established service level timelines to ensure smooth and consistent operational support Retail Operations and Omnichannel Support (Approximately 20 percent) • Coordinate project meetings, communications, and materials across Retail Operations and Omnichannel initiatives, • Support the development and distribution of store communications, policy updates, and operational documentation, • Track timelines, action items, and deliverables for cross-functional projects, • Assist in connecting Retail, E-commerce, Technology, and Operations teams to support seamless execution, • Maintain department calendars for meetings, trainings, store visits, and key initiatives Additional Support • Provide administrative and project coordination support across the Retail organization as business priorities evolve Success in This Role Looks Like • The SVP of Retail and eCommerce is able to operate efficiently with well-managed schedules, communications, and materials, • Asset Protection requests and financial processing are completed accurately and on time, • Retail initiatives remain organized, well-communicated, and on track, • Cross-functional partners experience responsive, reliable operational support Required Qualifications • Three to five years of experience in executive assistance, operations coordination, or administrative support roles, • Exceptional organizational skills with the ability to manage multiple priorities and deadlines, • Strong written and verbal communication skills with a professional presence, • High level of discretion when handling confidential and security-related information, • Strong attention to detail and accuracy across administrative and financial tasks, • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams, • Ability to adapt in a fast-paced, changing environment Preferred Experience • Experience supporting senior leaders or multiple teams simultaneously, • Exposure to retail operations, asset protection, or security functions, • Familiarity with invoice processing and vendor coordination, • Experience with access control systems such as Brivo or similar platforms, • Project coordination or tracking experience, • Experience in matrixed or global organizations, • Bilingual English with Spanish or Italian a plus OUR DEI COMMITMENT TO YOU At Ferragamo, you can play your part and express your uniqueness.
