Complete variable aspects of preparing recurring legal documents that conform to the rules governing their style and format.- Electronically file documents on behalf of and at the directive of the attorneys with the appropriate state or federal court, applying knowledge of local court rules and practices.- Provide assistance with trial preparation by performing duties such as independently compiling trial notebooks and witness and exhibit lists.- Prepare and track grand jury subpoenas and returns. Aid in processing and organizing legal data and other supportive material. Organize, process and copy documents in accordance with requirements. Assemble record materials for court filings.- Compose original letters that require a good working knowledge of legal procedures and specialized terminology, e.g., transmittal of pleadings, requests for extensions of time in certain cases, advising of actions taken or developments in cases referred by other federal departments and agencies, and notices to attorneys representing defendants. Provide a variety of ancillary office support functions requiring some subject-matter knowledge of the United States Attorneys programs and operations. Typical assignments may include the following:- Perform docketing duties such as opening, updating and closing cases through use of the automated case tracking system. As necessary, searches database for required information.- Obligate funds for litigation expenses and monitors for continued necessity.- Review bills and invoices and submits to budget office for payment.- Maintain calendar of assigned active cases. Track filing, hearing, and trial dates, and scheduling conferences and interviews. Develop and maintain suspense system for ongoing cases and informs the attorneys of pending dates and deadlines. Maintain calendar(s) of the attorney(s), scheduling appointments, interviews, and conferences, and provides reminders of commitments and court appearances.- Assemble the physical files and electronic files for new cases by filing materials in chronological order, preparing and printing conflict of interest sheets for assigned attorneys, and numbering the initial case materials and discovery. Upon receipt, send additional discovery to outside parties as directed by the assigned attorney.- Prepare files for closing by putting the documents in chronological order, ensuring that the relevant documents are in the file, and prepare a closing sheet for the assigned attorney’s signature.- Receive visitors, answer telephone and refer callers to staff members or take messages as appropriate. Deliver to and retrieve papers from the federal courthouse. Furnish requested information concerning pending and closed matters and cases, functions and general procedures of the office. Determine which matters should be referred to the AUSA and the urgency of the matter.- Attend meetings and trainings as may be required and appropriate.- Produce a variety of written documents and materials utilizing a wide range of office software applications, such as MS Word, MS Excel, MS Outlook, MS Access, Adobe Acrobat Professional or other databases. For example, assignments may include integrating output from different software types, e.g., tables produced by database applications and charts and graphs produced by electronic spreadsheet applications, into word processing or desktop publishing text. Products include complicated tables, graphs and charts, which may be incorporated into legal documents or courtroom presentations. Ensures all documents contain the proper format, spelling, punctuation, capitalization, and grammar.- When appropriate, provide automated litigation assistance to attorneys in trial preparation and courtroom presentations, including transcribing dictation. Utilize various software applications and graphics hardware such as scanners and plotters. Prepare documents, charts, and visual materials used in trials. Provide technical support e.g., enlarging charts and photographs, duplicating tapes and videos, and marking exhibits.- Perform other related duties as assigned. Skills and attributes for success:- This individual will manage the archiving of Relativity databases. To that end they will develop, manage and document a workflow process to identify, archive, and delete materials according to the requisite destruction/deletion policy and in accordance with Division, Department and NARA instruction/policy. - Typically reports to the Contractor IT Manager, to Systems Manager, or to Lead Project Manager.- Consult with COR, Government Case Managers, and trial attorneys as to system requirements and proposed technical approach to IT needs. - Based on information gathered from such consultations, determines system and project requirements.- Based on the definition of system requirements, designs entire system to meet those requirements.- On smaller projects, may perform entire range of technical support, including program validations and testing, etc. - Performs systems evaluations.- Makes presentations of findings, recommendations, and specifications in formal reports and in oral presentations. - Also consults with COR regarding task orders, scheduling of work, personnel assignments, priorities and progress reporting, plans, staffs, schedules and develops cost estimates for work to be performed under task orders.- Reports on contract and task order progress. - Directs and supervises personnel assigned to perform on-task orders, ensuring conformance to work standards and ensuring that the technical design conforms to functional requirements.- Ensures successful completion of work, timeliness of deliverables, and quality control. - Prepares system/technical documentation.- Works under the configuration management plan. - Performs and supervises the technical aspects of the tasks.- Organizes and conducts user training sessions on systems developed.- Prepares training material and training manuals on systems developed. Qualifications:- This person must have significant Relativity experience including the creation of ARM’s (Archive/Restore/Move).- Must be able to create and refine Relativity ARM workflows and standard operating procedures.- Must demonstrate substantial, hands-on, successful experience in actually doing the work on the systems being used, usually at least five years of such experience. Other systems environments will require other specific sets of skills. - Requires broad knowledge of the Government's IT environments, including office automation networks, and PC and server-based databases and applications. - Experience in a litigation support environment is extremely helpful. Excellent oral and written communication skills are required. - Supervisory experience very strongly preferred. - The ability to lead a technical team, and to give it direction, will be very important, as will the demonstrated ability to analyze the attorneys' needs, and to design and implement a whole system solution responsive to those needs. - Undergraduate degree strongly preferred, preferably in the computer science or information management/technology disciplines.- Must be able to obtain a favorably adjudicated Public Trust Clearance. Performs analysis, development and implementation of processing approaches for electronic files and related services pursuant to applicable ESI specifications.- Consults with attorneys and support staff on best practices for conforming to ESI specifications and, as required, participates in teleconferences with co-counsel, client agencies, and opposing counsel upon attorney request.- Responsible for ensuring that incoming productions are made pursuant to the applicable ESI specifications and when deficiencies are found, provides case attorney with detailed notice of deficiencies.- Responsible for keeping the client informed on activities in the Lab, e.g. deadlines, technical challenges, and availability of resources to complete work. - Responsible for webhosting support for unsupported cases managed by the lab.- Manages a team of eDiscovery professionals situated in a client-site eDiscovery laboratory, including: scheduling, requirements assessments, assigning work and ensuring deadlines are met, creating progress reports, and Quality Control (QC) of deliverables.- Advises client attorneys, paralegals, and case managers on all phases of the Electronic Discovery Reference Model (EDRM); especially: Data Collection, Processing, Hosting, Review, Analytics, and Production. Qualifications:- Extensive Relativity experience required.- Relativity certifications including Relativity Certified Administrator (RCA) and/or Relativity Analytics Specialist strongly preferred.- At least eight years of experience performing eDiscovery roles including but not limited to electronic files processing (EFP), image and data file conversion, data culling using review tools, quality assurance, database loads and retrieval, and data analysis and review.- At least five years of experience at the management/supervisory level.- Requires thorough knowledge of the litigation discovery process, and the EDRM workflow.- Working knowledge and certifications of document review software such as iConect, Relativity, Venio or similar tools.- Undergraduate degree required, preferably in computer science or related field.
