SUMMARY An Import Agent facilitates communication between production, sales and distributions stages to promote a healthy and efficient supply chain. KEY RESPONSIBILITIES Goods arriving at our warehouse or 3pl: • Handles complex origins-India & Pakistan, which involves Letters of Credit handled via the Wells Fargo Portal., • Follows up with factory to ensure they have submitted documents to bank or have sent them directly to Town & Country. OBL must be sent to freight forwarder so we can have freight release once container arrives at port (Specific to accounts with L/C terms)., • Reviewing factory documents to confirm what was transmitted into NetSuite via InforNexus is correct., • Mark shipments in transit and take ownership in NetSuite., • If T/T terms, send to A/P payment approval for vendor invoice., • Monitor shipments weekly and update ETAs as required to maintain accuracy., • Tracks containers on water to ensure there are no delays., • Ensure we have arrival notice five days prior to arrival date of container., • Send all customs documents to broker to ensure customs is cleared at time of container arrival., • Sends A/P approval for payment for freight., • Ensures trucking company has DO and it is on their container list., • Follows up to make sure containers are picked up before LFD to reduce the occurrence of demurrage and return of empty timely to limit occurrence of per diem fees., • Once warehouse receives container reviews receiving report and processes extras and negatives and closes the containers., • Handles Port of entry (POE) shipments that do not come into our warehouse., • Create inbound shipment against drop ship order in NetSuite., • If T/T terms send to A/P payment approvals for vendors invoices., • Tracks containers on water to ensure there are no delays., • Ensure we have arrival notice five days prior to arrival date of container., • Send all customs documents to broker to ensure customs is cleared at time of container arrival, • Sends A/P approval for payment for freight., • Ensures trucking company has DO and route order through customers’ portal or through forms that are required., • Follow ups to ensure container is picked up before LFD., • Obtains POD and fulfill order with POD date in NetSuite for final invoicing., • Checks shipping documents sent by the vendor., • Prepares shipping documents for the customer in their format and send them to nominated forwarder or upload them to forwarders portal. (Invoices – should have the customer price’s cost & correct payment terms), • Follows up with the vendor for a copy of the FCR (freight cargo receipt), • Posts shipment against drop ship order in NetSuite., • Fulfill shipment in NetSuite for billing., • If vendor’s T/T term, send to A/P payment approval for vendor invoice., • Distributions of Containers to various warehouses, • Creates Packing Slips, • Closes Containers, • Maintains Log, • (Arrival Notice Received/Payment Request Sent/Delivery Order Submitted), • Participate in T/L calls for top customers, providing updates on shipping statuses., • Validate and approve freight and vendor invoices via Zone., • Performs other related duties as assigned. Requirements: QUALIFICATIONS · Proven work experience as an Import Coordinator-Clerk, or a similar role in the logistics department · Familiarity with the shipping procedures and shipment tracking software. · Basic understanding of port & drayage operations · Strong time management and organizational skills · Good communication verbally, written, and interpersonal skills · Proficiency in Microsoft Office, particularly Excel · Detail-oriented and highly motivated individual · Strong analytical and problem-solving skills · Displaying multitasking abilities · Ability to offer excellent customer service.
