Job Description Under close supervision, the employee performs a full range of assignments using higher level Management guidance to assure that all products leave the plant in compliance with consumer expectations. No product shall be shipped or loaded into any trailer without verification of documents (PO#), and inspection of the carrier's trailers. This position will support the Shipping Department by loading Finished Product accordingly to ensure that the right orders are shipped on time and in an orderly manner following proper procedures in place. B. DUTIES General Overall Duties (1-23 listed below) Some of the duties of this position are those described below. Employees holding this position will be required to perform any other job-related duties as requested by management. • Communication and Coordination: You may be required to liaise with various stakeholders, such as carriers, suppliers, and internal departments, to coordinate shipping schedules, resolve delivery issues, and provide status updates. Effective communication skills are essential in this role., • Supervision and Training: As a level 2 clerk, you may be responsible for supervising and training new shipping and receiving clerks or providing guidance to junior team members., • Process Improvement: As a more experienced clerk, you may be expected to identify areas for process improvement within the shipping and receiving operations. This could involve streamlining procedures, implementing innovative technologies, or suggesting cost-saving measures., • Inventory Management audits be tasked with maintaining accurate inventory records, conducting regular inventory audits, and ensuring stock levels are optimized. This includes coordinating with other departments, such as purchasing or sales, to manage inventory levels effectively., • Documentation and Recordkeeping: As a level 2 clerk, you may be expected to handle more complex documentation tasks, such as preparing shipping manifests, customs documentation, and other required paperwork. Accuracy and attention to detail are crucial in maintaining proper records., • Quality Control: Your role may involve performing quality checks on incoming and outgoing shipments to ensure they meet established standards and specifications. You may also be responsible for reporting any issues or discrepancies and coordinating with the appropriate parties to resolve them., • Preparing shipping documents for freight carriers scheduled for pick-ups by time required., • Properly located and identify all product/pallets pertaining to scheduled shipments based on P.O #’s, Customer names, and shipment pick-up number., • Effectively works with Routing team to ensure all scheduled shipments for the day are ready for pick-up based on time frames., • Effectively uses organization systems and warehouse technology to locate and gather stock for shipments., • Accurately updates shipping log information based on pick-ups and scheduled shipments that have left facility based on time frame and pick-up times., • Effectively close out loads in system, create bar code to effectively close out load for fluid loading when shipping out products., • Matches pick-up paperwork with loading P.O in the system to ensure accuracy for shipments even when rush orders are added to daily shipping log., • Communicates with other department personnel to ensure shipping orders are ready and complete when carriers arrive. Ensure all shipments are not damaged or have any shortages when shipped to customer., • Performs administrative duties like answering phones, responding to emails, updating records, and providing excellent customer service., • Liaises with warehouse supervisors and managers to ensure any delays are addressed prior to carrier arrival for shipments with shortages or issues pending to shipments., • Keeps organized shipping records, including bill of ladings that must be stamped, signed, and noted dates, along with quantities of order shipped., • Troubleshoots shipping issues and carrier issues that pop up regularly; works to solve these administrative or organizational problems to increase warehouse efficiencies., • Works well with shipping team to ensure everything is completed for the daily workload and completed to time without delays., • Any other duties that may be designated by supervisor/ manager pertaining to the shipping department for added value to the company’s success., • Always maintaining your work area in a clean and organized fashion., • Must be able to work overtime without notice involving critical shipments and as scheduled by management., • Strong communication skills, • Detail oriented and able to retain information. Must be able to maintain a high degree of accuracy., • Work independently and as part of a team., • Ability to multi-task and be flexible in a work environment where priorities frequently change., • Computer skills and knowledge of data entry, • High school diploma/equivalent or above preferred, • Minimum 2 years plus experience related to this field., • Experience with Microsoft Office/Excel/email, • 1 years’ Experience with WMS systems & Shipping Systems preferred., • Minimum 1-2 years’ experience in the field (Food Industry is a plus), • Minimum 1-2 years’ experience operating the following equipment: Reach; Standup and pallet jack
