We are seeking a proactive Service Accounting Supervisor who thrives on process excellence, enjoys mentoring and developing team members, and is driven to enhance financial accuracy in a fast-paced service environment. This role goes beyond supervision. It is an opportunity to elevate a team, optimize the billing lifecycle, and shape the way our service division operates. This role will serve as the day-to-day operational leader for the service billing function, overseeing a team of billing specialists and ensuring work moves efficiently from service completion through invoicing and financial reporting. • Champion consistent billing practices, standardized procedures, and continuous improvement initiatives., • Ensure service demand calls are closed on time each month and proactively remove delays or barriers., • Monitor weekly call activity and help the team reduce aging unbilled completed calls (WIP)., • Actively investigate billing delays, process breakdowns, and customer invoicing issues to ensure work is moving through the billing lifecycle efficiently., • Partner with operations and Area Operations Managers to identify opportunities to streamline billing workflows and improve turnaround time. 2. Deliver Accurate, Insightful Financials • Review general ledger (GL) activity and correct misapplied costs to maintain financial accuracy., • Confirm demand batches are posted promptly and correctly for month end close., • Lead coordination for Lean initiatives, audits, and process documentation improvements., • Investigate month end variances and work with internal partners to determine root causes and ensure accurate financial reporting., • Support the team in identifying and resolving discrepancies between service activity, billing records, and financial reports. 3. Lead, Coach & Elevate Your Team • Provide daily guidance, mentorship, and structure to accounting specialists., • Host team huddles, monthly meetings, and one on one check ins to keep the team aligned and engaged., • Foster a positive, accountable, and growth focused work environment., • Escalate issues effectively while promoting problem solving and ownership., • Develop clear process flowcharts and optimize team procedures., • Provide leadership to a team of billing specialists, ensuring clear expectations, accountability, and consistent execution of billing processes across zones and customer accounts. 4. Be a Cross-Functional Partner • Serve as a key contact for Area Operations Managers (AOM), operations teams, management, and internal partners., • Conduct quarterly AOM check ins to ensure strong communication and alignment., • Support inquiries from internal stakeholders and external customers as needed., • Collaborate with AOMs and customers to resolve billing challenges, improve invoicing workflows, and establish clearer processes for obtaining customer purchase orders. 5. Execute High-Value Reporting & Business Support • Deliver weekly, monthly, and ad hoc reports with clarity and accuracy., • Assist with special projects, audits, and initiatives that strengthen operational performance., • Previous billing experience is required. Accounting experience is strongly preferred., • Experience supervising or leading a team in a fast-paced environment., • Familiarity with accounting software systems. Experience in service, construction, or project-based industries is a plus., • Comfort navigating customer portals such as Corrigo, Ariba, Service Channel, or Vendor Cafe., • Advanced proficiency with Excel, Outlook, and other Microsoft Office tools., • Experience improving operational processes or building workflow documentation., • A strong communicator who collaborates effectively with plant managers, engineers, and maintenance supervisors., • Fast and accurate with ten keys, capable of typing 30 plus WPM., • Detail oriented, managing project scopes, timelines, forecasting, and customer expectations with precision., • Solving operational challenges that improve reliability, efficiency, and financial accuracy., • Working in a results driven environment where initiative, accountability, and follow through are recognized and rewarded., • Creating clear processes that help teams work more efficiently and reduce operational friction.
