Job Title: Reservations Agent Department: Reservations Responsible To: Reservations Manager /Revenue Manager Type of Contract: Seasonal Main Purpose of Job: • To ensure that reservations are dealt with in a professional effective manner while maximising room and golf revenue using our systems to achieve this. This will be achieved through extending excellent customer service to all our guests., • To ensure that the department provides a high level of customer service and meets the Forbes brand standard for all reservations., • To be proficient using our PMS Opera, Opera Cloud, Lightspeed (Golf system), Book 4 Time (Spa system) and Res Diary (Restaurant system) and any new systems introduced. Training will be provided for staff if they do not have operational knowledge of the systems., • To process reservations via the telephone and or email in an efficient and courteous manner, requesting all relevant information to make the Reservation. Thus, ensuring we have all the required information which is communicated to all relevant hotel departments–ensuring we meet and exceed guest expectations., • To ensure that Housekeeping & Front Desk and other operations departments are aware of any special requirements for guests and VIP guests within the daily and weekly communication meetings, ensuring all guest requests are exceeded., • To possess a strong knowledge of the region, the resort amenities, bedrooms, and suites and therefore sell all aspects of the resort., • Follow the Revenue strategy as set out by the Revenue manager via Opera. Be familiar with Special offers and promotions on and offline., • To ensure that a form of payment is secured for all reservations processed., • To focus on all up-selling opportunities, promoting the various levels of accommodation on offer., • Assist in training new personnel on all-reservations standards and procedures., • Continuously report proactively on risks and opportunities to the Revenue Manager so that insight is created for team decision-making., • To be able to use your initiative and plan for the future and possible consequences. Being pro-active in getting tasks done and exceeding expectations of both guests and colleagues where possible., • Support & respect team members on a day-to-day basis., • Be knowledgeable on creating groups on our pms (Opera) including weddings, as assigned by the Revenue manager. Liaise with Brides & Grooms throughout the wedding process., • Meet the grooming standards as laid out by the company., • Familiarise yourself with our Circle of Commitments which link to the desired behaviours that we expect all our employees to display., • To undertake special duties or work outside the normal daily/weekly routine, • To communicate sales enquiries for Rooms, Golf, Meeting rooms & dining to the Revenue and Sales manager as appropriate., • Review no-shows and cancellations and process charges according to the hotel policy, • Liaise closely with the front office team as required on a daily basis., • Familiarize yourself with our Trump Cornerstone & participate in Trump Talk Daily., • Participate in Company training programmes as required., • Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel which can include day, evening and Saturdays & some bank holiday Mondays. (9am-5pm, 10am-6pm). Flexibility required., • To have a thorough knowledge of and adherence to the law with regard to the following company regulations: Fire regulations and procedures Health and safety regulations., • Use discretion when dealing with guests at all times, adhering to GDPR rules & regulations., • To fulfil your obligations under the Health & Safety at Work Act 1989 and any revisions or additional legislation made thereto., • To ensure that reasonable care is taken for the health and safety of yourself, other employees, guests and any other person on the premises., • To keep your work area tidy and safe and report any hazard, accident, loss or damage to management., • To be aware of trained first-aid personnel on the premises and the location of the first aid box., • To observe all safety rules and procedures, including those laid down in the Health & Safety Statement for your place of work., • To carry out and promote fire and accident drills as directed by the hotel safety officer.     The Role We are currently recruiting for a House Coordinator (Fixed Term) to cover a period of maternity leave for approximately one year. Key Responsibilities • Ensure a hospitable service is always delivered and that all members and guests are welcomed, known by name, checked in and their needs are met and held as the priority., • Be the ambassador of knowledge on all member services and activities across Mortimer House., • Regularly communicating with the Reception Manager any updates on all reception, Member queries, feedback, and housekeeping., • Complete the new member onboarding process for all tiers of membership as communicated by membership team., • Communicate to the 1 Warwick team all relevant event information needed to deliver exceptional member experiences., • Be knowledgeable on all aspects of House programmes and manage distribution and availability of printed copy around the House., • Ensure all checklists are completed and signed off, daily, weekly, and monthly., • Ensuring the reception desk is clutter free and an engaging space to welcome people., • Manage the atmosphere, music, scent, and heating for reception and workspaces., • Communicate to Office Floor Coordinators all changes or requests from Members., • Ensure all member systems always work seamlessly, and liaising with our IT providers., • Ensure members have access to information of services, promotions, and events across both Maslow’s houses., • Management of all refreshments, technology, atmosphere, and coordination for internal and external meeting room bookings., • Ensure the reception inbox, landline and mobile communication is monitored in a timely and professional manner and in line with our brand tone of voice., • Manage restaurant bookings and enquiries/requests where needed., • Distribute member post correctly and in a timely manner., • Be the point of contact for all external contractors, logging arrival and departure times., • Ensure the Function sheets are distributed by the events team to the specific departments., • To carry out any other duties that may be required by the Reception Manager and General Manager., • Contribute to an enjoyable working environment., • Build a strong relationship with the F&B Managers and HODs to allow support in administration.     Hi We are looking for people with experience in Airbnb cleaning, hotel housekeeping, or private homes, with a minimum of 1 year of experience. Job details: Location: 5 star hotel with Airbnb style apartments (100 apartments) in 15 different locations, all in central London, zones 1-2-3. Salary: £14 per hour, paid every two weeks Self employed Travel time between apartments is included in the working hours. Transport: Transport costs are borne by you and are not deductible. Schedule: Starts around 10:00. Ends around 18:00. Overtime if desired. 30 minute unpaid break. This type of work is freelancing in housekeeping and a little bit of technology application. Work full time 5 days per week with 2 days off and also on weekends by rotation, we need staff to be flexible with the time and also overtime from time to time. Office -Warehouse: Located in Covent Garden ( WC2H 9BF ), where the product warehouse is located. This is where all the cleaning teams meet, pick up the products (roller carts) Try to take the fastest routes to the apartment — the hotel always checks this to find a good cleaner and fast to the apartments, and then take the bus to the first apartment. Then, the journey to the second apartment is on foot, and to the third by bus, many locations are in the city center. Travel time between apartments is considered part of working hours. Locations: Varies daily, and between them you use walking or bus-tube. Some locations are 5, 10, 15, 20, 25 or 30 minutes from the warehouse. Process: After the cleaning is complete, the apartment must be registered in the app, following all the steps to mark it ready for booking. Approximately 2 or 3 apartments per day are cleaned (apartments with 1, 2, 3 or 4 bedrooms, bathrooms, kitchen and living room). Clean linen is available in the apartments, in the hallway or indoors. Each block has a storage room on the ground floor with a vacuum cleaner, mop and other utensils and materials. Materials: Cleaning products are provided by the hotel. The staff must pick up toiletries (hygiene products, coffee, sugar, etc.) from the desk. Clean linen can be found when you arrive at the apartment, in the hallway, next to the apartments or in front of the doors. Dirty linen must be placed in transparent white bags and left in the hallway, in front of the door or in the mini-storage room in the hallway. We have handcarts with rollers. Instead, all apartments have a storage room on the ground floor, they have a vacuum cleaner and mop there, and every morning you find clean linen in the hallway of the building or in the apartments. You leave the dirty sheets and towels there in the hallway of the block or in the storage room in the building.
