Drivers & Obsessions: · Mail, shipments, and correspondence are processed accurately and delivered on time without delays. · Incoming deliveries and supplies are received, organized, and put away promptly. · Office and breakroom supplies are consistently stocked, with no interruptions or shortages. · Shared spaces remain clean, organized, and ready for daily use. · Accounting intake (mailbox, invoices) is completed accurately and on schedule. · Established processes are followed consistently to ensure reliability and trust. · Tasks are completed fully, correctly, and without the need for reminders or follow-up. · Sensitive and financial information is handled with discretion and professionalism. Requirements: ESSENTIAL DUTIES, RESPONSIBILITIES, AND REQUIREMENTS · Process all outgoing mail, including first-class letters, certified mail, and FedEx/UPS shipments. · Receive, organize, and put away incoming deliveries (Amazon, mail, and other orders). · Order, stock, and maintain office and breakroom supplies, including snacks and beverages. · Verify mailing addresses, documentation, and page layout for accuracy and completeness. · Prepare and ensure timely delivery of outgoing correspondence. · Clear and organize the accounting mailbox once mail duties are complete. · Enter invoices into QuickBooks as needed. · Maintain confidentiality and accuracy when handling financial and sensitive documents. · Perform general cleaning of shared spaces (kitchen, breakroom, tables) at the end of each day. · Perform other clerical or administrative support tasks as assigned. QUALIFICATIONS AND SKILLS · 1 year of experience in an administrative, mailroom, or office operations role preferred. · Good attention to detail and accuracy. · Basic computer proficiency and ability to learn QuickBooks. · Organizational skills with the ability to manage multiple tasks efficiently. · Ability to work independently and complete tasks without close supervision. · Professional handling of confidential and financial information. Clear communication and willingness to ask questions when needed.
