At L-Nutra, our mission is to extend human healthspan through rigorous science, thoughtful innovation, and genuine care for the whole person. That commitment shapes not just what we build—it defines how we work, how we grow, and how we show up for each other every day. We're seeking an HR & Executive Coordinator who is the connective tissue between our people, our leaders, and our day-to-day operations. This role is for someone who finds genuine satisfaction in building things that work — talent pipelines, people systems, executive cadence, and the kind of hiring experiences that make candidates feel good about joining L-Nutra. This role blends HR operations & people experience with executive support. It can be a long-term growth position or a genuine launchpad into broader HR or operational roles as L-Nutra continues to scale. WHY THIS ROLE MATTERS Great companies run on invisible infrastructure. The best onboarding experiences, the smoothest executive days, the office moments that make people feel proud to work somewhere—none of that happens by accident. This role makes those things real. You create the conditions in which L-Nutra's mission can move forward—for leaders, for employees, and for everyone who walks through our doors or meets with us on Zoom/Teams. WHAT YOU'LL DO HR Operations & People Experience • Support the onboarding experience end-to-end—from offer acceptance through 90-day integration—ensuring new hires feel welcomed, prepared, and set up to contribute., • Administer core HR processes including offer letters, employment documentation, background checks, I-9 compliance, and HRIS data integrity (ADP or equivalent)., • Help with benefits administration —serving as point of contact for employee questions on health, dental, vision, 401(k), and related programs; support coordination with brokers and carriers as needed., • Support performance and engagement cycles by coordinating review timelines, tracking completion, and maintaining documentation across teams., • Support offboarding processes, including exit interviews, equipment recovery, final documentation, and benefit continuations., • Contribute to a culture of psychological safety, inclusion, and clear communication by modeling it and advocating for it in every process you own. Executive Support & Coordination • Manage complex calendaring for 2–3 members of the executive leadership team—balancing competing priorities, protecting focus time, and anticipating conflicts before they surface., • Coordinate domestic and international travel with precision: flights, hotels, ground transportation, visa requirements, and real-time contingency management., • Prepare and submit expense reports accurately and on schedule, tracking receipts and following finance protocols., • Draft, proofread, and route communications on behalf of executives—presentations, briefing documents, meeting prep materials, and follow-ups., • Serve as a trusted gatekeeper and liaison, representing leadership with professionalism and warmth in every interaction., • Coordinate investor visits, board meetings, and company events—from logistics and catering to day-of execution—ensuring every touchpoint reflects L-Nutra’s brand. Recruiting & Talent Acquisition • Support full-cycle recruiting for roles across functions—partnering with hiring managers from kick-off through offer, ensuring alignment on the profile, process, and timeline at every stage., • Source proactively using ATS (Workable), LinkedIn Recruiter, job boards, referral networks, and creative outbound strategies—building pipelines before requisitions open, not after., • Manage structured interview processes—building scorecards, calibrating criteria with hiring teams, and ensuring a consistent, fair candidate experience from first screen to final round., • Serve as the primary candidate relationship owner—communicating with warmth and clarity at every stage, ensuring no one falls through the cracks and every candidate leaves feeling respected., • Manage and maintain the ATS (Workable)—ensuring requisitions, pipeline stages, and candidate records are clean, current, and audit-ready., • Draft and post compelling job descriptions that reflect L-Nutra's voice and attract mission-aligned candidates—not just passive job seekers., • Track and report on key recruiting metrics—time-to-fill, source quality, offer acceptance rates, pipeline velocity—and use data to improve the process over time., • Support employer brand initiatives: LinkedIn presence, Glassdoor, campus partnerships, or community engagement that keeps L-Nutra visible to the right talent., • Coordinate seamlessly between recruiting and onboarding so that the candidate experience and employee experience feel like one continuous journey, not a handoff. Special Projects & Cross-Functional Support • Partner with Finance on headcount tracking, offer letter templates, and compensation data integrity., • Support the build-out of scalable HR infrastructure as L-Nutra prepares for its next growth stage., • Own ad hoc projects with the judgment to know when to ask, when to act, and when to push back. WHAT YOU BRING Experience • 3–5+ years in HR, talent acquisition, recruiting coordination, or a combined people operations role, • Hands-on experience running full-cycle recruiting—even in a generalist or hybrid capacity—is strongly preferred, • Some experience supporting senior leaders or executives is a plus — you know how they operate, what keeps them unblocked, and that complex calendaring, travel logistics, and confidential communications are a craft, not a chore., • Familiarity with California employment law, benefits administration, and onboarding design, • Background in a startup, scale-up, or high-growth environment preferred—you know what it means to build while the plane is in the air Skills & Tools • HRIS platforms (ADP, Paylocity, Gusto, or similar), • ATS platforms (Workable, Lever, Greenhouse, Ashby, or similar), • Calendar and productivity tools (Google Workspace, Microsoft 365, Notion, Slack), • Travel and expense platforms (Concur, Expensify, Navan, or similar), • Comfort drafting professional communications with minimal oversight, • Strong project management instincts—you track what you commit to and close the loop WHO YOU ARE • Exceptionally organized—but never rigid, • High emotional intelligence and sound judgment, • Confidentiality you wouldn't dream of compromising, • Service-oriented without being self-effacing, • Proactive and resourceful—you find the path, • Calm under pressure; steady when things move fast, • A builder mentality—you improve things as you go, • Direct communicator with warmth and grace WHAT SUCCESS LOOKS LIKE Within 3–6 Months • HR processes—onboarding, offboarding, benefits, compliance—are documented, reliable, and trusted by the team, • Executives feel supported, unblocked, and confident in their day-to-day operational rhythm, • You've identified and closed meaningful gaps in HR infrastructure to support the next stage of scale, • Recruiting velocity has improved—roles close faster, offer acceptance rates are high, and hiring managers trust the process, • You are the person both leadership and employees instinctively turn to when something needs to get done right, • Mission-driven work with real impact on human health and longevity, • Competitive base compensation: $85,000–$105,000 + benefits + bonus + equity, • Comprehensive health, dental, and vision benefits, • 401(k) with up to 4% company match, • Flexible, trust-based PTO policy, • Hybrid work model—2–3 days onsite in Culver City, CA, • Real opportunity to help shape HR infrastructure at a company with momentum AN INVITATION If you're someone who takes quiet pride in making hard things run smoothly—who sees a well-crafted onboarding, a seamless board visit, or a clear policy as genuine craftsmanship—we'd love to hear from you.
