Why This Role Is Different This is not a standard hotel job. You will use your hotel background from the other side of the table — helping clients secure the right hotels, manage details, solve problems, and keep travel moving smoothly. The work is fast, varied, and highly detail-oriented. You may be coordinating room blocks, resolving a billing issue, handling a VIP request, tracking down availability, managing a last-minute change, or helping make something happen that feels impossible on short notice. This role is for someone who enjoys solving problems, thinking ahead, and being the person others trust when details matter. About the Role In this position, you will help manage hotel bookings, room blocks, VIP requests, client communication, hotel negotiations, confirmations, changes, and day-to-day travel support. You will work closely with our internal team, hotels, and clients to make sure every detail is handled accurately, quickly, and professionally. Our clients often move fast, make last-minute changes, and expect a very high level of service. The right person will be calm under pressure, detail-obsessed, proactive, and comfortable communicating with both hotels and demanding clients. What You’ll Do • Coordinate hotel bookings, room blocks, and individual reservations, • Communicate directly with hotels regarding rates, availability, concessions, billing, deadlines, and special requests, • Support VIP, celebrity, production, entertainment, agency, and high-profile client travel needs, • Track confirmations, changes, cancellations, rooming lists, and special requests, • Review hotel terms, cut-off dates, cancellation policies, attrition language, deposits, and billing requirements, • Follow up with hotels quickly and professionally to secure accurate information, • Help solve last-minute travel, hotel, VIP, and client issues in real time, • Maintain clear internal notes and keep booking details organized, • Communicate clearly with clients, hotels, and internal team members, • Help ensure clients receive a polished, responsive, high-touch service experience What We’re Looking ForRequired • Direct experience working inside a hotel, • Clear evidence of advancement, promotion, or increased responsibility within a hotel environment, • Strong understanding of how hotels operate day to day, • Excellent written and verbal communication skills, • Strong attention to detail and follow-through, • Ability to stay calm, professional, and organized under pressure, • Ability to manage multiple requests, deadlines, and moving pieces at once, • Strong judgment and ownership mentality, • A proactive, problem-solving mindset Strongly Preferred • Experience in front desk, reservations, rooms division, guest services, operations, sales, group rooms, or related hotel departments, • Experience handling room blocks, corporate accounts, VIP guests, production travel, entertainment travel, or group bookings, • Familiarity with hotel terms such as cut-off dates, attrition, concessions, deposits, folios, rooming lists, cancellation terms, commissionable rates, and direct billing, • Experience communicating with hotel sales teams, reservations teams, front office managers, or operations teams, • Experience being promoted from an entry-level hotel role into a supervisory, coordinator, manager, or trusted operational role Ideal Background An ideal candidate might have a path like: • Front Desk Agent → Front Desk Supervisor, • Reservations Agent → Reservations Supervisor, • Guest Services Agent → Rooms Coordinator, • Night Auditor → Front Office Supervisor, • Sales Coordinator → Sales Manager, • Front Office Agent → Operations / Rooms / Group Rooms role, • Guest Services Agent → VIP Services / Guest Relations role, • Hotel Coordinator → Manager or trusted account-facing position The exact path is flexible. What matters most is that you worked inside hotels, learned how they function, and showed enough promise to earn more responsibility. Who May Not Be the Best Fit This role may not be the best fit if your background is primarily general hospitality, restaurant, retail, or customer service without direct hotel experience. We are prioritizing candidates who can show growth inside a hotel environment. That growth may come through formal promotions, expanded responsibilities, being trusted with more complex work, training others, handling VIPs, managing escalations, supporting group business, or becoming a go-to person on the team. This role moves quickly and requires someone who can take ownership, anticipate problems, communicate clearly, and manage urgent requests without needing every step spelled out.
