Job Description DUTIES & RESPONSIBILITIES: · Ensure all services are followed up with a phone call to make sure service was completed and the customer is satisfied as a front representative for quality control. · Collaborates with PMs to ensure full coverage on project for scheduling. Confirming details such as scope and timeline/manpower, and communications · Owner of the communication with RVR clients · Owner of reviewing and updating RVR lists on an as needed basis · Review reports to ensure return trips are coordinated with scheduler as needed with appropriate teams for internal quality control. · In collaboration with PMs and Scheduler, monitors service projects from contact to completion to make sure all paperwork is finalize and approved for service billing execution · Participates in meetings with Ofer, PMs, & Service Estimator – ensure all job folders are updated with project notes, photos/marked up drawings. Update sent to assigned team members for each project in advance · Coordinates kick-off meetings with team members to ensure everyone is informed on what needs to be completed on the check list. As well as the close-out meetings for job review (pros and cons of the execution of the work) · In collaboration with Field department, is responsible for the project close out process. Makes sure that all checks lists (including meetings) are completed in time. · Audits all jobs that are close and ready to transfer from the field department meet and makes sure projects meet all requirements before moving them to Service department. · Collaborates with SM in forecasting /anticipating stakeholders needs (income projection) by reviewing upcoming work (Labor Resource Plan) · Provides support to the team for problem solving and reinforcing processes within the department to ensure smooth workflow according to company policies. · Collaborates with Service Manager in reviewing the workflow charts and processes for better efficiency and compliance. · Manage & maintain the current and new maintenance Agreement (memberships) for retention and to ensure that client needs are met, upselling where needed. · With the direction of the Manager, execute strategic plans to optimize service profits while maintaining quality of services completed. · In collaboration with Service manager, supervise employee's workflow, setting leadership standards, and efficiency. Builds internal relationships to ensure our employees are exceeding expectations. · Adhere to and ensure staff understand and comply with all company policies and procedures, including but not limited to safety, ethics, conduct and appearance. · In collaboration with Service Manager, ensure safety meetings are held weekly by Service Project manager. · In collaboration with Service Manager, reviews work or activity reports according to Company policy. · Attempt to resolve client complaints. All client complaints must be reported to the Service Manager · Maintain good, business-like relations with other employees, supervisors, trades, suppliers, and clients. · Pay vendors by monitoring discount opportunities; verifying federal tax ID numbers; scheduling and preparing checks; resolving purchase order, contract, invoice or payment discrepancies and documentation; insuring credit is received for outstanding memo’s; issuing stop-payments or purchase order amendments. All bills are to be paid by due date. · Match PO and invoices, check pricing for accuracy and mark date matched and give to Manager to approve for payment · Enter vendor bills. · Enter credit memos. · Respond to vendor inquires when necessary · Work closely with Purchasing and receiving to make sure all invoices have a closed PO and have been received properly. · Prioritize invoices according to cash discount potential and payment terms · Enter credit cards purchase charges and reconcile account. · Maintains accounting ledgers by verifying and posting account transactions · Assist the Service Sales Manager (SSM) in generating Service Estimates. · Creating Spec Sheets or submittals for Service Estimates when required · Reconcile approved estimate jobs with Labor Resource Plan · Obtaining Estimate statuses from SPM approvals and inform department. · Meeting attendance (As needed) · Immediately notify any injuries, safety issues, unresolved client complaints or other service field problems to the Service Manager. · When requested, train other employees. · When necessary and requested, assist other office personnel · Perform all other tasks, within job requirements, as assigned by the Service Manager. QUALIFICATIONS Education: • Required: High School graduate, • Preferred: College degree BA or BS Experience: • 5 years’ demonstrated experience in Service Management. Working conditions: • Fast-paced environment requiring flexibility, adaptability and resilience in a wide variety of work situations., • Customer service may include interacting with challenging clients and tight deadlines., • General office environment, with low to medium noise, low to medium heat and cold, and low to medium dust levels., • May be exposed to high dust, heat and noise levels when visiting field job sites and/or client locations., • Occasional emergency calls after hours, holidays and on weekends.
