The organization values professionalism, strong organizational skills, accountability, and a strong commitment to client satisfaction. \n \n Role Description The Manager | Aesthetics Practice Operations & Skincare E-Commerce/Fulfillment is a full-time, on-site role based in San Diego, CA. This role oversees daily back office operations. The manager is responsible for supervising support staff, optimizing processes, maintaining inventory for skincare products, and ensuring that treatment rooms and retail areas are organized and fully stocked. On the e-commerce side, this role manages online orders, fulfillment workflows, shipping and returns, and product listings to maintain accurate, compelling information across digital channels. The manager tracks key performance metrics, supports marketing and promotional initiatives, monitors client feedback, and continuously improves operational systems to enhance satisfaction and performance. \n Qualifications \n \n\n • Experience in practice or clinic operations management\n, • Hands-on experience with inventory management, order processing, and fulfillment operations for retail or e-commerce.\n, • Proficiency with practice management, POS, and e-commerce platforms; comfort working with spreadsheets and basic reporting tools.\n, • Strong organizational skills, attention to detail, and the ability to create and refine workflows and standard operating procedures.\n, • Excellent communication and interpersonal skills, with the ability to lead teams, resolve issues, and provide clear guidance to staff.\n, • Customer-centric mindset with a focus on high-quality service and the ability to handle client concerns professionally.\n, • Experience in aesthetics, skincare, beauty, or healthcare environments is strongly preferred.\n, • Ability to work on-site in La Jolla, CA\n, • Comfort with fast-paced environments, growth-stage companies, and adapting to evolving business needs and priorities.\n\n \n We're looking for the person who makes everything work. \n PRFCT is a successful and established brand with an unparalleled work culture. that keep a growing practice running beautifully. \n \n The Opportunity: \n As Practice Ops and E-Commerce Manager, you'll be the operational backbone of PRFCT. \n \n With support, you will be responsible to make sure: \n \n Orders go out correctly and on time. \n Treatment rooms and clinical areas are stocked and ready. \n Retail inventory is accurate across our systems and physical inventory. \n Vendors are managed and purchases are handled thoughtfully. \n Bills, credits, invoices, and documentation don't fall through the cracks. \n Our technology and systems work the way they should. \n Back-office team members know what they're responsible for and get it done. \n Problems are identified and solved before they become bigger problems. \n Leadership has confidence that the operational details are being handled. \n \n You'll be expected to own outcomes, not just tasks. \n \n What You'll Own: \n E-Commerce & Shopify \n Oversee the complete e-commerce lifecycle from order to delivery. \n Manage daily Shopify order fulfillment and shipping. \n Coordinate and delegate fulfillment to back-office staff while maintaining accountability for accuracy and timeliness. \n Personally jump in when needed—this is a hands-on role. \n Monitor outstanding orders and proactively resolve delays or inventory issues. \n Maintain a polished, organized fulfillment environment. \n Look for ways to improve workflows, reduce errors, and elevate the customer experience. \n \n Inventory, Purchasing & Vendors \n Own retail, skincare, medical supply inventory. \n Maintain accurate inventory across Shopify, Boulevard, and physical on-hand counts. \n Anticipate upcoming inventory needs based on provider schedules, treatments, promotions, and events. \n Manage purchase orders from creation through receiving and reconciliation. \n Review invoices, pricing, discounts, shipments, credits, and discrepancies. \n Manage vendor relationships and follow through when something isn't right. \n Conduct regular physical counts and investigate discrepancies. \n Monitor expiration dates and ensure proper organization and rotation of clinical supplies. \n Keep treatment rooms and provider supply areas consistently stocked and ready. \n \n Administrative Operations \n Review vendor and subscription charges for accuracy. \n Follow up on billing discrepancies, credits, refunds, and outstanding issues. \n Assist with retail pricing \n Maintain organized purchasing and financial documentation. \n Keep operational records, renewals, and recurring responsibilities organized and current. \n \n Technology & Systems \n You'll serve as the operational point person for our technology ecosystem and outside IT partners. \n \n This includes comfort with platforms such as: \n \n Boulevard | Shopify | Google Workspace | Slack | RingCentral \n \n You'll coordinate troubleshooting, manage system access and permissions, communicate with outside technology partners, and continuously look for opportunities to simplify and improve our systems. \n \n Team Leadership \n Provide day-to-day direction and prioritization for at least 1back-office support staff and interns. \n Delegate effectively without losing accountability. \n Establish clear workflows and expectations. \n Train team members on systems, procedures, fulfillment, inventory, and operational standards. \n Monitor workload and adjust priorities as the needs of the practice change. \n Identify training or performance issues and communicate appropriately with leadership. \n \n Practice Operations \n Support leadership with day-to-day operational needs and special projects. \n Help coordinate events, product launches, promotions, and practice initiatives. \n Support facilities and office organization. \n Maintain compliance-related schedules and operational documentation. \n Coordinate occasional local pickups, deliveries, errands, and vendor-related tasks. \n Step in wherever needed
