Job Description Revenue Cycle Manager Department: Revenue Position Summary: The Revenue Cycle Manager is responsible for overseeing revenue cycle management including coding, billing, collections, and denial management as well as financial reporting within the organization. This position is responsible for ensuring claims, denials, and appeals are efficiently processed, and resolving billing-related issues. The Revenue Cycle Manager will minimize bad debt, improve cash flow, and effectively manage accounts receivables. This role will also manage Provider credentialing. The Revenue Cycle Manager will be the main contact for the Practice Management vendor, Medicaid contacts, clinically integrated networks and Clearing House vendor. They will be responsible for setting the annual practice fee schedule. This position is to stay apprised of coding and revenue trends; and is responsible for coding education to clinical and coding/billing staff. In addition, this position will manage all Revenue Cycle Management staff including billers, coders, team assistants, and the RCM supervisor; this will include day to day supervision as well as development opportunities, training, and mentorship. Supervision Received: Director of Finance/Partners at Pediatric Ear Nose and Throat of Atlanta Supervision Exercised: Coders, Billers, Team Assistant, and RCM Supervisor Classification: Full-Time Required Education and Qualifications: • A bachelor’s degree and 3-5 years of related work experience, • Knowledge of third-party payer requirements including federal, state, and private health care plans and authorization process, • Proven experience in healthcare billing, including Medicaid., • Knowledge of basic insurance policies, procedures, and reimbursement practices with Medicaid and commercial coding, • Experience supervising staff, • Prior experience with process development and execution, • Excellent communication and interpersonal skills, • 3 years healthcare experience at the management level, • Certified coder, coding auditor, or coding education experience Essential Functions: • Oversee and manage entire revenue cycle including billing, coding, collections, and denial management, • Manage relationships with external vendors for practice management software and clearinghouse vendor, • Communicate professionally with various payers, • Manage, develop, and mentor all revenue department staff, including billers and coders and RCM/Admissions Supervisor, • Teams with the operations team to oversee the registration process and manage the registration process team, • Responsible for management and maintenance of billing and practice management software platform, • Provide up to date education for clinical, billing, and coding staff on coding trends, • Develops, evaluates, implements, and revises policies and procedures related to billing, coding, reimbursement activities and improvement strategies, • Reconcile all receivables and revenue reports and work closely with the finance department in the development of the monthly financial statements, • Manage and update the charge master based on the current CMS fee schedule and negotiated contracts, • Conduct monthly analysis of Medicaid/Third Party Payers, • Oversees the processing of credentialing and provider enrollment applications, initial, and re-enrollment status with all Medicaid, Medicare, and Commercial Payors, • Responsible for the generation and management of revenue, registration and credentialing metric reports, • Review and resolve issues related to claim generation and rejected/denied billings, • Commit to highest level of business and patient confidentiality possible adhering to all HIPAA and security guidelines when accessing and sharing patient information, • Technical expert for practice management system (eg. Mod Med), • Keeps abreast of all reimbursement billing procedures of third party and private insurance payers and government regulations, • Maintains appropriate internal controls over accounts receivable, RCM process, • Monitors accounts sent for collection and reimbursements from insurance companies and other third-party payers, • Reviews, monitors, and evaluates third party reimbursement and researches variances, • Participates in the development of coding and billing strategies, evaluating process relative to revenue cycle, and making recommendations while ensuring compliance with any relevant rules or regulations (including HIPAA, Medicaid, government and specific 3rd Party Payors), • Working understanding and ability to perform the task of staff members under your supervision, • All other duties as assigned Lifting Requirements Sedentary- generally, lifting not more then 50 lbs. maximum and occasionally lifting and/or carrying such articles as reports, files and small items. Key Responsibilities • Manage and support a physician network to ensure successful EHR integration and troubleshooting., • Consult with medical practices to analyze workflows, configure EHR systems, and develop customized training plans., • Train physicians and office staff on EHR best practices, regulatory compliance, and specialty-specific workflows., • Review clinical documentation and medical records to ensure accurate ICD-10, CPT, and HCPCS coding for risk adjustment and quality gap closure., • Conduct coding audits and provide education to providers on compliant documentation., • Monitor payer guidelines and coding updates, especially for Medicare Advantage and accountable care organizations., • Assist with billing, claims submission, payment posting, and collections as needed., • Perform financial analysis and reporting using Microsoft Excel (pivot tables, trend analysis)., • Analyze denial reports, identify trends, and recommend corrective actions., • Support quality improvement initiatives by ensuring accurate coding for chronic conditions., • Answer patient billing and claims questions in a professional and clear manner., • Maintain compliance with HIPAA, coding regulations, and company policies., • Certified Professional Coder (CPC) or equivalent certification., • Experience with Medicare Advantage (MA) plans, risk adjustment, or insurance companies., • High school diploma or GED required; associate’s or bachelor’s degree preferred., • 2+ years of medical coding, billing, or risk adjustment experience., • Proficiency in EHR systems (Athena, eClinicalWorks, or similar) and MS Office Suite (Excel expertise strongly preferred)., • Strong knowledge of ICD-10, CPT, and HCPCS coding and regulatory compliance., • Excellent communication and training skills for working directly with providers and staff. The Coding Operations Manager is essential to the Provider HIM Coding division. This position oversees the daily operations of designated client accounts and team members, focusing on resource scheduling, productivity, quality assurance, employee management, and client relations. You Will:Customer Retention and Satisfaction • Maintain customer retention and satisfaction at 95% or higher by promptly addressing customer needs and proactively resolving potential issues., • Conduct account review meetings with clients.Performance Reporting, • Provide monthly performance data to clients (e.g., volume metrics, six-month trends, quality audit scores, and productivity levels)., • Include action plans for performance improvement as needed.Operational Management, • Ensure that direct reports meet established accuracy and productivity standards., • Manage performance improvement initiatives by monitoring productivity and quality levels., • Oversee the employee requisition process, ensuring timely interviewing and selection to meet customer needs., • Implement the onboarding process for new coders, coordinating equipment and access, developing training plans, and creating support structures for successful coder engagement and outcomes., • Supervise quality assurance and performance improvement efforts, providing formal development plans when standards are not met., • Manage attendance and PTO schedules.Employee Relations, • Conduct regular check-ins and one-on-one discussions with employees., • Address employee concerns promptly and escalate issues as necessary., • Facilitate biannual growth conversations and ensure timely completion of required paperwork, including new hire documents and performance reviews., • Recruit, interview, and hire qualified staff based on defined job responsibilities., • Direct the work of employees and manage their career progression., • Ensure staffing levels meet quality service requirements as per contract agreements., • Maintain employee turnover at or below corporate standards., • Provide comprehensive orientation and training to staff, continually assessing and enhancing their competencies, including compliance with HIPAA., • Conduct timely and meaningful performance appraisals, recognize achievements, and implement performance improvement plans when necessary., • Document unplanned absences and take appropriate coverage actions while monitoring absence patterns., • Foster effective employer-employee relations and conduct thorough investigations into employee complaints, involving HR as needed., • Delegate responsibilities to a trusted staff member in your absence and ensure they are informed about ongoing operations., • Relevant Associate or Bachelor's degree, ideally from an AHIMA-certified HIM Program or Nursing Program., • At least 5 years of management or supervisory experience in a hospital setting., • Industry credentials (RHIT, RHIA, or CCS) with at least 5 years of coding experience., • Excellent interpersonal and organizational skills., • Excellent client and customer relations skills., • Experience with Microsoft Office Suite (Word, Excel, Outlook) preferred., • Must be ambitious, accountable, flexible, mature, and always conduct themselves professionally., • Must communicate effectively at all levels inside and outside of the organization and express ideas and information clearly and concisely, both verbally and in writing.
