A private Principal with a residence and family office in Dallas, as well as a working ranch, is seeking an exceptional Chief of Staff to serve as a trusted partner across personal, business, and estate-related matters. This is a highly integrated role designed for a senior, high-judgment professional who thrives in complex, multi-faceted environments and is comfortable operating across locations, priorities, and stakeholders. This role functions as the central integrator across the Principal’s ecosystem, translating priorities into action, driving execution across teams, and ensuring alignment across the family office, properties, and external advisors. The Chief of Staff will have immediate impact by owning and optimizing the flow of time, information, and decision-making, ensuring the Principal’s priorities are protected and executed seamlessly across locations. The role requires regular travel between Dallas and the ranch and close coordination with on-site staff, advisors, and vendors in both locations. Working in close partnership with the Principal, household and ranch staff, and a network of trusted advisors, this role requires impeccable judgment, absolute discretion, and the ability to move fluidly between strategic leadership and hands-on execution. Key Responsibilities Direct Support of the Principal • Own and optimize the Principal’s time, focus, and decision-making cadence, ensuring alignment with highest-value priorities, • Act as a thought partner to the Principal, synthesizing information and providing structured recommendations on key decisions, • Drive prioritization across competing initiatives, ensuring focus on highest-impact opportunities across personal, business, and estate matters, • Serve as the central point of contact for personal matters, acting as an “air traffic controller” across family office teams, household staff, ranch staff, and external service providers, • Serve as the primary gatekeeper and decision filter for inbound opportunities, requests, and commitments, • Track high-priority initiatives, ensuring follow-through, accountability, and successful execution across stakeholders, • Represent the Principal with professionalism, discretion, and authority in interactions with internal and external stakeholders, • Proactively identify, anticipate, and resolve issues before they arise to the Principal’s attention, • Provide clear analysis, options, and recommendations on high-impact decisions, • Coordinate with a variety of personal contacts such as accountants, advisors, and household staff, • Operate with a willingness to engage across both strategic and tactical needs as required to ensure outcomes are achieved, • Maintain strict confidentiality at all times regarding the Principal, family members, gests, activities and properties Operations, Coordination & Execution • Oversee and drive execution of key initiatives across the Principal’s personal, business, and estate priorities, • Build strong, trusted relationships across all components of the Principal’s life to improve responsiveness and efficiency, • Serve as an information funnel, filter, and facilitator, ensuring the right details reach the Principal at the right time, • Create visibility into priorities, progress, and risks through structured tracking and reporting, • Review, oversee, and coordinate payment of non-corporate expenditures, invoices, and expense documentation, • Design and actively maintain systems for contacts, document management, preferences, and institutional knowledge, • Utilize technology tools and systems to streamline workflows, communication, and execution, • Identify inefficiencies and implement systems and processes to improve coordination, scalability, and execution, • Support and lead special projects spanning personal, property, lifestyle, and family office needs Team & Stakeholder Leadership • Provide direction and coordination across household staff, ranch staff, and key vendors to ensure alignment with the Principal’s expectation, • Act as an extension of the Principal in managing relationships with advisors and vendors, • Drive accountability across stakeholders, ensuring commitments are executed to standard and on time, • Support the identification, vetting, and onboarding of new vendors and staff who align with the existing team and operating standards Travel & Lifestyle Services • Plan and manage all aspects of domestic and international personal travel, including commercial and private aviation, lodging, ground transportation, itineraries, and contingency planning, • Coordinate healthcare management, including appointment scheduling, provider communication, and billing, • Accompany the Principal on select trips as needed to provide real-time logistical oversight and problem-solving Property and Ranch Oversight • Maintain strong relationships with local communities, neighbors, vendors, consultants, contractors, and regulatory agencies while preserving privacy and confidentiality, • Serve as the Principal’s primary point of contact for property, vehicle, and aircraft needs, • Oversee operations across properties and the ranch, ensuring alignment with the Principal’s vision, standards, and long-term objectives, • Evaluate, select, and manage vendors, contractors, and service providers, continuously improving quality and efficiency, • Travel regularly to the ranch to provide on-site leadership, oversight, and alignment with the Principal’s expectations, • Identify opportunities to enhance operations, sustainability, and long-term value of the ranch and properties, • Bring a demonstrated interest in sustainability and thoughtful stewardship, with enthusiasm for supporting responsible resource management initiatives across the ranch Skills • Strong attention to detail, Office Suite and other office productivity tolls, with an aptitude to learn new systems Qualifications • Bachelor’s degree required, • 10+ years of experience in a Chief of Staff, Executive Assistant, Business Operations, or similar high-impact role supporting a senior executive or Principal, • Demonstrated ability to lead initiatives, manage across stakeholders, and drive execution in complex environments, • Previous financial services or UHNW experience preferred, • Solid business acumen; experience interpreting and applying various policies to the Partners’ personal interests, • Successfully complete an in-depth background investigation, including a cyber and social media risk evaluation, • Must be based and have experience in Dallas, TX
