Build Your Future. _ Position Overview We are looking for a Procurement Specialist - Construction who will play a critical role in the success of our new gym construction and capital projects. This individual is responsible for the end-to-end management of trade partner orders — from placement through delivery, distribution, and closeout. The right candidate brings relevant industry or supply chain background, a proactive mindset, and the confidence to hold trade partners and internal stakeholders firmly accountable to time, financial and quality commitments. This role carries real responsibility and requires someone who takes ownership seriously and knows how to drive results. _ What You’ll Do: As part of the centralized Procurement Department under Finance, the Procurement Specialist will help ensure financial discipline, process consistency, and vendor accountability across the organization. This position directly impacts the company’s ability to open new locations on time and on budget, supporting growth and profitability objectives. _ What Success Looks Like: • Procurement for construction and new club openings runs smoothly end-to-end, with no delays or bottlenecks impacting project timelines., • Internal stakeholders and trade partners receive timely updates, clear expectations, and responsive support throughout every stage of the procurement process., • All purchases are made at negotiated or benchmarked rates, with any cost variances clearly tracked, explained, and proactively mitigated., • New club openings consistently launch on time and within budget through tight coordination of purchasing schedules, trade partner deliveries, and site readiness., • Builds strong relationships with key trade partners, contractors, and logistics partners to streamline procurement workflows and resolve issues quickly during the pre-opening phase. _ About You: • Holds trade partners and self accountable to deadlines without letting issues slide., • Finds root causes, not just symptoms, and develops practical solutions under pressure., • Surfaces issues early, anticipates stakeholders needs, and communicates clearly., • Anticipates supply risks, schedule shifts, and trade partner issues after they escalate., • Manages competing priorities, keeps records accurate, and maintains systems without being reminded., • Stays focused and professional under pressure, tight timelines, and competing demands., • Builds productive working relationships while not shying away from difficult conversations., • Learns new tools quickly and is comfortable using data entry systems, spreadsheets, and project platforms with confidence., • Comfortable working with limited oversight in a fast-moving, highly matrixed, cross-functional environment. _ Responsibilities (including, but not limited to): Trade Partner Order Management • Place purchase orders with trade partners in accordance with project schedules and procurement plans, • Confirm order acknowledgments, pricing, and lead times with trade partners promptly, • Maintain accurate records of all open, pending, and completed orders, • Proactively identify order risks (supply constraints, pricing changes, lead time shifts) and escalate early Delivery & Timeline Oversight • Monitor all active orders against preset delivery milestones and flag deviations immediately, • Coordinate with Trade Partners to ensure on-time delivery; aggressively follow up on delays, • Communicate delivery status updates to project managers and field teams on a regular cadence, • Maintain a live delivery tracker and ensure it is accurate and up-to-date at all times Issue & Trade Partner Management • Serve as the primary point of contact for trade partner-related issues including shortages, damaged goods, substitutions, and invoice disputes, • Document and resolve discrepancies between POs, packing slips, and invoices, • Hold trade partners accountable to contractual terms and escalate unresolved issues to management, • Build and maintain professional trade partner relationships without compromising performance standards Logistics & Distribution • Coordinate inbound delivery logistics including scheduling, receiving, and site distribution, • Communicate with site supervisors and logistics partners to ensure materials are staged correctly, • Track partial deliveries and manage backorders through to completion, • Support coordination of returns, exchanges, or trade partner pickups as needed Administrative & Data Management • Maintain organized files including POs, confirmations, invoices, and delivery documentation, • Input and update procurement data in project management and ERP systems accurately and on time, • Support the implementation of new tools, systems and processes as needed, • Assist in generating various reports and analysis as needed, • Execute general administrative tasks as needed _ Required Qualifications: • Minimum 3 years of experience in procurement, supply chain, construction logistics, or a closely related field., • Strong understanding of construction purchasing workflows and trade partner management principles., • Demonstrated ability to manage multiple open orders or priorities simultaneously, • Experience working with trade partners or external partners in a professional capacity, • Strong organizational skills with a high degree of accuracy and attention to detail, • Proficiency in Microsoft Office Suite (Excel in particular) and comfort learning new software systems, • Excellent written and verbal communication skills _ Preferred Qualifications: • Experience in construction procurement, trades, or building materials industry, • Familiarity with ERP or procurement / project management platforms (e.g., Procore, SiteRise, Ramp, or similar), • Equipment and materials distribution and/or logistics experience highly preferred, • Exposure to reading and interpreting blue prints, submittals, purchase orders, invoices, and delivery documentation, • Bachelor’s degree in Supply Chain, Business, Construction Management, or related field – or equivalent work experience _ Benefits • Salaried Flexible PTO, • Paid Holidays, • Subsidized health insurance coverage (health, dental, vision) for full time positions, • Employer Paid Basic Life and AD&D, • HSA, • Short-term disability, • Voluntary Supplemental Life Insurance for employee, child, and spouse, • Free gym membership, • 10 days sabbatical after 5th year of employment, • Yearly contest winners have the opportunity to go to tropical destinations!
