Executive Assistant to CFO / Office Manager Location: 520 W 27th Street, Suite 602, New York, NY 10001 Department: Finance and Operations Reports To: Tariq Soliman, CFO / COO Type: Full-Time, In-Office Overview Dakota Group is seeking a highly organized, detail-oriented, and proactive Executive Assistant to the CFO and Office Manager to support executive operations, manage office logistics, and assist with company-wide coordination. This individual will be directly involved in daily communication with senior leadership and will manage a wide range of administrative, operational, and executive tasks. The role blends executive assistance, office management, and operational coordination in a high-performance, technology-driven environment. Key Responsibilities Executive and Operations Support • Work directly with Tariq Soliman (CFO/COO) and Ethan Aberbuch (Founder and CEO) on professional and personal coordination, including scheduling, communications, document management, and travel logistics., • Handle personal assistance tasks including car rentals, helicopter and flight bookings, hotel reservations, restaurant scheduling, maid coordination, furniture management for both office and home, document storage (leases, insurance, legal), and personal or client gifts such as edible arrangements and birthdays., • Coordinate with Ike (SCRUM and Project Delivery Lead) and Abubakar (Finance and Operations Associate) to execute 100 percent of communications systemically with respect to cross-functional operations and company procedures., • Support Tariq in managing day-to-day priorities and special projects across departments. Office Management and Administration • Oversee all office management duties for the Hudson Yards headquarters., • Order and maintain 100 percent of office supplies, handle invoices, manage vendor communications, and ensure the workspace is well-organized and fully stocked at all times., • Manage office vendors and tools, including Amazon Business Orders, Webstaurant Online, and Stable (minimal physical mail)., • Coordinate with the private chef for weekly menu planning, Tuesday and Thursday in-office lunches, and handle daily lunch orders and dietary accommodations for staff., • Assist with onsite planning, including guest visits, company events, and special in-office meetings., • Ensure cleanliness, organization, and efficiency standards are upheld throughout the office. People Operations and Onboarding • Partner with Abubakar on all employee onboarding tasks, including collecting onboarding documentation, IP agreements, and onboarding plan coordination with each department manager., • Support hiring operations through resume review, candidate organization, and coordination of interview scheduling and candidate tracking., • Assist in managing and training Admin Interns to build and staff the Dakota Admin Department. Finance and Bookkeeping Support • Support bookkeeping classification and categorization of transactions flowing from Brex to Intuit QuickBooks., • Work with Sax LP and Dakota’s dedicated bookkeeper to ensure smooth documentation and classification handoff., • Maintain accurate records for invoices, reimbursements, and expense tracking for the CFO. Operational Coordination and Reporting • Manage ActivTrak cadence reports with IT to monitor productivity and generate performance insights., • Collect input and updates for All Hands, weekly standups, and project hygiene tracking across all teams., • Conduct weekly 1:1 meetings with the Scrum Master (Ike) to align on operations, process improvements, and company deliverables., • Serve as an operational bridge between the Finance, Operations, IT, and HR teams to ensure coordination across all ongoing initiatives.
