Job Description What You’ll Do: Backstage with Leadership • Keep executive schedules, meetings, and communications running smoothly, • Coordinate, prep, and follow up on meetings—agendas, presentations, and action items included, • Print, prep, and manage documents for signatures, approvals, and executive review, • Build and maintain spreadsheets, decks, and reports that make data sing, • Greet & assist visitors to the corporate office, coordinate site tours, and ensure guests feel welcomed and taken care of, • Keep the office organized, stocked, and ready for action, • Manage supplies, office materials, and any behind-the-scenes logistics, • Support travel planning: flights, hotels, itineraries—you name it, • Help prep for team meetings and leadership events, • Maintain filing systems (digital and paper) with superhero-level organization, • 3–5+ years of executive or administrative support experience, • A natural organizer who thrives in a fast-paced, ever-changing environment, • Strong attention to detail—nothing slips through the cracks on your watch, • Advanced Microsoft Office skills (Excel, PowerPoint, Word, Outlook), • Excellent written and verbal communication skills, • Discretion and professionalism with confidential information, • A proactive attitude—you see what needs doing and do it after being asked, • Ability to sit and work at a computer for long periods, • Lift up to 25 pounds occasionally (office supplies, presentations, swag, etc.), • Competitive pay and full benefits: medical, dental, vision, 401(k) with company match, PTO, and more, • Be part of a Day One team building Arizona’s next iconic resort, • A fun, fast-paced, creative work environment where your contributions are seen, felt, and celebrated, • The opportunity to help orchestrate the backstage magic that makes VAI Resort unforgettablePosition Specifics:, • Onsite, • Hourly, Non-Exempt *Note: This job description is intended to convey information essential to understanding the scope of the position and is not an exhaustive list of skills, efforts, duties, responsibilities, or working conditions associated with it.
