Job DescriptionBoarhog LLC is seeking a conscientious, diligent, thorough, detail-oriented Full Cycle Job Cost Bookkeeper/Accountant who may work remotely as well as in Boarhog's office in San Diego. This is a full time position performing accounting functions including Accounts Receivable (A/R), payroll, timecards, bank reconciliations, credit card reconciliations, expense reports and monthly close of books, including the specific following elements:1) Invoice Generation and Tracking: Creating and distributing invoices to customers and tracking their status.2) Payment Recording: Recording payments received from customers and applying them to the appropriate invoices.3) Reconciliation: Reconciling A/R records with bank statements and other financial data.4) Aging Reports: Analyzing A/R data to track and identify outstanding invoices and assess the risk of non-payment.5) Collections: Following up with customers on overdue invoices and implementing collection procedures. The Bookkeeper/Accountant is expected to dependably and reliably perform the following :1) Manage Boarhog’s Quickbooks, perform data entry of banking transactions, accounts payable, credit card transactions, sync timecards through HTS into Quickbooks and verify accuracy of timecards with Management, and complete reconciliations.2) Set up new employees and update current employees in T-Sheets for job codes and payroll; will work closely with Office Admin to verify employee information needed in accounting system and timekeeping system.3) Meticulously prepare invoices for various contracts and submit to customers in a timely manner, then track accounts receivable and produce an accurate and complete aging report.4) Process payroll and reconcile to timecards and books with proper job costing of labor and expenses5) Review of expense reports submitted for per diem and math; verify employee time to corresponding travel6) Assist with spend plans and monthly status reports with financial inputs to customers and reconcile to billing Successful performance includes:1) Processing payroll twice a month by importing timesheet information into Quickbooks2) Timely identification and resolution of timesheet discrepancies, then collaborate with the Director of Operations to address unresolved discrepancies toward ensuring accuracy and completeness.3) Proactively add and remove associates in the timesheet system to include assigning the appropriate charge codes4) Track and maintain accurate and complete PTO balances.5) Process expense reports, verify per diems and review for accuracy6) Assure the Director of Operations that Boarhog associates working direct on contracts are charging time correctly7) Process 401k retirement system actions by payroll date8) Monitor contract performance, track deliverables (e.g. spend plans, MSRs), and prepare reports on contract status.9) Maintain accurate contract records and documentation in accordance with company policies and government regulations. What We Are Looking For: We are seeking a PSH Community Manager to oversee the operations and management of our affordable apartment community at Atmosphere Apartments in San Diego, CA. As the Community Manager, you will play a critical role in maintaining high standards of resident satisfaction, apartment maintenance, marketing and financial performance for this affordable property. This is a full-time position with full benefits. Pay range: $33 - $36 per hour plus housing (Optional 2 Bedroom unit). Key Responsibilities: • Oversee daily operations of an affordable multi-family apartment community, ensuring the property remains a safe, well-maintained, and welcoming environment for all residents., • Lead, mentor, and supervise on-site apartment staff, providing guidance on customer service, leasing, and resident relations to ensure the apartment community operates smoothly., • Manage the leasing process for the community, including marketing available units, conducting tours, processing applications, and executing leases for new residents., • Ensure the financial performance by creating and maintaining budgets, preparing monthly financial reports, and monitoring expenditures., • Conduct regular inspections (interior and exterior) to ensure the community is well-maintained and ensure compliance with company and regulatory standards., • Administer resident programs and services, focusing on building a strong apartment community and maintaining high resident satisfaction., • Oversee renovations, including interior and exterior updates, ensuring projects are completed on time and within budget., • Ensure compliance with housing regulations, • Handle resident concerns and complaints professionally, striving to resolve issues quickly and fairly., • Prepare and submit annual operating budgets and conduct quarterly budget reviews., • Maintain records for all resident transactions, including move-ins, move-outs, rent collections, and renewals., • Foster a team-oriented environment, working closely with corporate leadership and staff to achieve community goals for the complex., • Develop and maintain productive relationships with community neighbors, including police and fire departments., • Respond to and provide relevant information/reporting of emergencies or crises within the community including but not limited to mental health, conflicts resolution, and incidents of violence or substance abuse. Work closely with relevant agencies and authorities to ensure the safety and well-being., • Develop of maintain productive relationships with ownership groups, and supportive housing agencies., • Effectively work with case workers to resolve resident issues while maintaining confidentiality and abiding by local, state, and federal laws in property management., • Comply with property-specific requirements for supplemental documentation. Ensuring all corresponding programs receive supplemental documentation and approvals as outlined in the programs offered at your location., • Maintain monthly, weekly, daily reporting with Senior Management and Ownership group as outlined by property programs., • Crisis Intervention: Be prepared to respond to emergencies or crises within the community including mental health, conflicts resolution, and incidents of violence or substance abuse. Work closely with relevant agencies and authorities to ensure the safety and well-being of residents. Who You Are: (Requirements of the Position) • You have 2-3 years of experience in property management, specifically in supervising and managing affordable apartment communities., • Experience with Permanent Supportive Housing (PSH) housing is required., • You have hands-on experience in overseeing the daily operations of a multi-family apartment community, with strong leadership skills., • You have a strong understanding of financial reporting, budgeting, and rent collections specific to apartment communities., • You are proficient with property management software, such as Yardi and/or MRI, particularly in managing apartment records and financials., • You have excellent communication skills (both verbal and written), with the ability to effectively engage with residents, staff, and vendors., • You possess strong organizational skills and attention to detail when managing operations., • You are passionate about delivering top-tier customer service and fostering a positive community for residents., • You are physically able to lift and carry items weighing up to 25 pounds.
