Job DescriptionDescription: PEACE Academy Charter works to promote educational and cultural empowerment for all of our students to ensure they are mastering or exceeding in their grade-level content areas. Our strong focus on academics and cultural identity supports us in being an inclusive school that is heavily grounded in community. We are seeking a dynamic Associate Director of Operations & Finance who can contribute to our school community in addition to managing the operations needed for us to run smoothly. This position reports directly to the Executive Director and is a K-8 administrative-level position that includes the responsibility of serving on the school’s K-8 leadership team and managing a team. Requirements: Education: • Bachelor’s degree required The experience and qualifications preferred for this position include: • Minimum of 5 years of experience working with elementary and/or middle school-aged students, • Minimum of 3 years of experience in a supervisory role, • Minimum of 2 years leading school operations in a charter school setting, • Demonstrated effectiveness in working with diverse groups of students, teachers, and families, • Experience with budget and account management, • Excellent leadership and interpersonal skills, • Ability to take initiative and lead people to a common goal, • Strategic Planning & Project Management, • Experience with student information systems, • Extremely knowledgeable in using Google Suites and other technology, • Strong relationship-building skills to engage with community leaders to secure partnerships Roles and Responsibilities: • Execute operations including during school, weekend, and evening school events, • In alignment with the School Director to create systems to effectively manage all school operations and long-term strategy with respect to school sustainability, • Manage the Front Office Assistant, Nurse, Janitor, and Nutrition Coordinator, • Ensure the fidelity of the data collection and submission (FTE, student class, student records, teacher tenure, and experience)., • Oversee the Federal Program Administration, which include developing CLIP, gathering stakeholder input, and submitting required documents and reports, • Lead the recruitment and enrollment process, • Manage the school’s budget and internal controls in partnership with the School Leader & CFO, • Maintain the school’s account registry and analyze campus financials to establish spending strategies in accordance with the school’s vision, • Create and manage school systems, which include but are not limited to the student information system, student drop-off and pick-up routines, logistics for school events and activities, community engagement & partnerships, and monthly community experience, • Oversee daily administrative operations, including establishing work priorities, assisting in resolving problems related to day-to-day operations of the school, and maintaining the front/admin office(s), reception, storage rooms, conference rooms, and other common areas, • Work with Back Office Provider to oversee and coordinate payroll time sheets, sick and annual leave documents, travel reimbursements, purchasing documents and/or employment documents for school-based faculty and staff, • Create and/or supervise required reports for all school operations, including, but not limited to, enrollment, attendance, accounting funds, payroll, nutrition, and transportation, • Develop and send school communications and marketing materials for multiple platforms, • Facilitate, develop, and implement the school’s Master Schedule and Calendar in partnership with the Admin, • Oversee monthly field experiences, student demonstration nights, and other community events operationally, • Build and maintain partnerships with community partners for school endeavors, • Serve on K-8 School Leadership Team and lead staff training on school operations procedures, • Ensure proactive planning and training around all emergency operating procedures to maintain campus security in accordance with local, state, and federal laws, • Supervise the maintenance of the school grounds to ensure a clean, orderly and safe environment, • Required to have prompt, regular attendance in-person and be available to work on-site, in-person during school hours, and as needed, • Demonstrating trustworthiness and sound decision-making in dealing with confidential matters, • Any other duties as assigned by the Executive Director and School Leader.
