Job Description The Campus Administrator at Patria Church oversees the development, implementation, and ongoing assessment of campus procedures. This role ensures campus operations are aligned, effective, and well supported. The position helps create an environment where ministry can function with excellence and care. The Campus Administrator ensures that procedures align with Patria Church strategic objectives and meet operational and business requirements. This role promotes accountability through clear processes, consistent execution, and documented systems. The Campus Administrator plays a pivotal role in establishing scalable processes that support current ministry needs and future growth. This position is expected to anticipate needs and execute tasks to completion with timeliness. The role provides administrative support to internal teams, volunteers, and external partners. The Campus Administrator represents Patria Church with professionalism and sound judgment in every interaction. This position requires a high level of integrity, trust, and consistent follow-through. The scope of the role will continue to evolve based on ministry needs and the direction of the Campus Pastor. Success in this position is measured by reliability, clear communication, and proactive problem solving. The Campus Administrator reports directly to the Campus Pastor. Work Schedule and Daily Rhythm The Campus Administrator works a part-time rhythm that blends administrative support, coordination, and operational oversight, primarily on weekdays with periodic weekend coverage tied to services and key campus moments. Early in the week focuses on planning, communication, scheduling, and alignment with campus leadership. Midweek centers on administrative execution, coordination with departments and volunteers, record management, and operational follow-through. The end of the week is dedicated to preparation for weekend services, final confirmations, and supporting campus readiness, with flexibility during special events, holidays, and seasonal ministry needs. Essential Duties and Responsibilities Fully embraces and acts in accordance with the vision of Patria Church to Seek the Lost, Teach the Found, and Send the Disciples. Model the spirit of Patria Churchs guiding scripture, Ephesians 3:1415, by building a church community that supports and strengthens families. Foster faith, worship, and belonging across every ministry and campus. Fulfill the four pillars of Patria Church. Christ (Mission Christ-Centered Driven), Community (Diversity Kingdom Driven), Character (Leadership Discipleship Driven), Commitment (Family Driven) church. Embrace and execute a Neighborhood Groups philosophy of ministry, fostering community, discipleship, and connection across families and campuses. Operational Systems and Procedures: • Oversee daily administrative operations that support the effective functioning of campus ministries and programs., • Develop, implement, and maintain campus procedures that ensure consistency, accountability, and operational clarity., • Coordinate with ministry leaders and departments to support smooth workflows and campus readiness., • Identify operational needs and implement solutions that improve efficiency and long-term sustainability., • Ensure campus processes align with organizational objectives and established procedures.Compliance, Documentation, and Budget Oversight:, • Manage correspondence, documentation, record keeping, and organized filing systems., • Maintain and support campus policies, procedures, and operational documentation., • Ensure compliance with applicable legal, regulatory, and organizational requirements., • Manage budget tracking, expenditures, and requisition processes with accuracy and timeliness., • Submit requisitions according to established processes to support responsible use of resources.Scheduling, Communication, and Records:, • Serve as a primary administrative point of contact for congregants, visitors, vendors, and external partners., • Support the planning and coordination of worship services, special services, events, and community outreach efforts., • Maintain accurate records for volunteers, services, and events using approved church systems and tools., • Provide administrative support to staff, volunteers, and ministry leaders., • Answer phone calls professionally and respond to messages within two hours of initial contact. General Requirements • Successfully completes all required background checks and pre-employment screenings., • Demonstrates reliability, punctuality, and consistent attendance., • Reads, writes, spells, and communicates clearly in English., • Demonstrates basic computer skills and the ability to use communication and scheduling systems required for daily operations., • Completes all required onboarding, safety, and role-specific training within established timeframes, including security, compliance, or emergency procedures as assigned., • Communicates clearly and respectfully with staff, volunteers, and supervisors., • Adapts well to changing priorities, event schedules, and ministry needs., • Works well under limited supervision, showing initiative and follow-through., • Maintains confidentiality, discretion, and integrity in all responsibilities., • Represents Patria Churchs mission and values through professionalism, teamwork, and Christlike conduct. Education, Training, and Experience • Associates degree or higher in administration, business, organizational leadership, or a related field preferred., • Demonstrated experience supporting operational systems, administrative workflows, or campus-based environments., • Experience coordinating schedules, documentation, and operational processes across multiple stakeholders or departments., • Prior experience supporting ministry, nonprofit, education, or service-based organizations preferred., • Familiarity with budget tracking, requisitions, or expense monitoring within an organizational setting., • Strong organizational skills with the ability to manage multiple administrative systems simultaneously., • Ability to prioritize tasks while maintaining accuracy and attention to detail., • Demonstrated ability to identify operational gaps and support practical solutions., • Ability to interpret and apply written procedures, policies, and instructions consistently., • Capacity to coordinate communication across staff, volunteers, and leadership., • Ability to manage records, schedules, and documentation with precision and care., • Always demonstrate Christ-centered behavior by treating people with dignity, respect, compassion, and integrity., • Member of the Patria Church (or willing to transfer membership to Patria Church)., • Pastors are required to attend all regularly scheduled Sunday and Wednesday church services. Support staff must attend at least one (1) regularly scheduled weekend church service., • Attendance at all mandatory meetings and events. This includes serving at Good Friday, Easter, and Christmas services as well as the annual volunteer appreciation event., • Regular involvement in Patria Church activities, ministries, neighborhood groups, and events., • Tithe 10% to the Patria Church., • Demonstrate full alignment with Patria Churchs Statement of Faith and core beliefs as outlined in the Employee Handbook, on the official website, and through consistent practice in ministry, leadership, and daily life., • Ability to interpret and adhere to Patria Churchs policies, procedures, and employee handbook., • Be self-motivated and goal oriented, use good judgment, and be flexible and innovative.
