Responsibilities: • Enter and update payroll data, including salary changes, garnishments, and adjustments in ADP., • Perform time card reviews for staff to ensure accuracy., • Ensure the accurate and timely processing of payroll for 700+ employees and 500+ trainees, • Maintain and update Human Resources data within ADP., • Process manual checks when necessary., • Coordinate with facility administrative assistants to ensure accurate payroll submissions., • Prepare and maintain payroll reports for internal and external use., • Address and clarify any payroll-related inquiries from employees and/or HR., • Ensure compliance with payroll policies and procedures outlined in the Payroll Accounting Manual or by the Payroll Manager., • Oversee 401K Administration, ensuring compliance and accuracy., • Prepare and review payroll reports for 401K & Payroll Administrator’s review., • Prepare and maintain the trainee payroll spreadsheet for Senior Payroll Specialist review., • Conduct the first review of trainee payroll before submitting it to Senior Payroll Specialist, • Assist with additional projects and duties as assigned by the Payroll Manager. Job Description The Payroll and Benefits Administrator (PBA) is responsible for managing all aspects of the payroll and benefits administration functions, which include the timely and accurate processing of employee wages and compliant recordkeeping, and employee benefits program management. This role consults with finance to ensure transparency, accuracy, legal, and audit compliance. An analytical thinker and solutions-driven professional, the PBA supports HR initiatives, lending expertise to guide and payroll, benefits, and daily HR operations. Payroll Management · Develop and maintain systems to process payroll transactions that include, salary, benefits, deductions, taxes, garnishments, reimbursements, and third-party payments. · Implement payroll changes (e.g., onboardings, offboarding, raises, LOAs, garnishments, benefits elections). · Proactively manage timekeeping process and systems to enable effective and accurate payroll processing. · Process and distribute bi-weekly payroll. · Consult with auditors and manage interdisciplinary audits (401K, payroll, workers' compensation, and others). · Manage 1199 earnings and benefits reporting and related tasks Benefits Administration · Administer various employee benefits (voluntary and involuntary) including Medical, Dental, Vision, Basic Life AD&D, Employee Assistant Program (EAP), Commuter Benefits, and 401k plan. · Assist employees with benefits-related questions, including healthcare insurance, retirement plans, FMLA, disability, and worker’s compensation. · Manage monthly invoice reconciliation and payment request processes in collaboration with finance. · Administer the tuition reimbursement program, ensuring compliance with eligibility criteria and BMS procedures. · Support new hire orientations, ensuring that employees are well-informed about BMS’ payroll policies, benefits, and procedures. · Oversee benefits compliance, including 401(k) nondiscrimination testing, Form 5500 filings, ACA reporting, and other benefits compliance reporting. · Track and report on utilization of optional benefits coverages, elections, premiums, and other data to help the company make informed benefits-related decisions. Other Duties · Prepare compliance and census reports annually or as needed. · Collaborate with HR leadership and benefit partners to develop strategies and programs, ensuring alignment with BMS’ objectives while meeting employees’ essential needs. · Evaluate and compare pricing and offerings across potential benefits options to help identify potential innovations or improvements in benefits offerings based on the needs of the business and its employees. · Lead the design of benefits-related components of the company’s HRIS and ensuring processes are established for all transfers of data between the HRIS and benefits providers. · Plan and conduct open enrollment sessions; process all enrollment and termination in benefit plans. · Document payroll and benefits processes, conducting training, and coordinating backup coverage. · Support the development and maintenance of the HRIS platform and other relevant databases. · Support HR initiatives, projects, and tasks as needed and directed. · Prepare regular and ad hoc reporting relating to payroll and benefits. · Maintain knowledge of healthcare industry standards and labor laws (e.g., FMLA, ADA, EEO, etc.) and ensure the organization’s HR practices comply with these regulations Perform other duties as assigned.
