Job Description JOB TITLE: Operations Manager, Friends of the Children - Dallas STATUS: Exempt, Full time REPORTS TO: Executive Director SALARY RANGE: $70,000 - $80,000 BENEFITS: Comprehensive package includes employer-paid medical, dental, vision, disability, and life insurance benefits; paid vacation and sick leave; retirement plan with employer match. LOCATION: Friends of the Children has chapters in Dallas, Austin, and Houston. This posting is for the DALLAS chapter. Candidate must reside in or be willing to relocate to the Dallas area. Organization Overview: Friends of the Children revolutionized the youth mentoring field by creating the first and only long-term professional mentoring program in the country. Friends of the Children - Dallas is a chapter in a national network of Friends of the Children chapters across the United States, as well as a Texas network led by Friends of the Children - Texas. Friends of the Children’s model is distinct and proven. We intentionally identify the community’s most vulnerable children when they are kindergarten age, enroll them for 12+ years, and commit to supporting them through achieving high school graduation while developing a plan for what is next and avoiding the juvenile justice system and teen parenting. We support children to achieve these outcomes through relationship, pairing each child with a full-time, salaried, professional mentor called a Friend. Friends of the Children - Dallas will accomplish generational change by hiring and training Friends whose full-time jobs are to support our youth to succeed, despite the extremely challenging situations most experience, from as early as age 4 through high school graduation – 12+ years, no matter what. Position Overview: The Operations Manager supports the day-to-day operational functions of Friends of the Children - Dallas and is responsible for a wide variety of essential tasks ranging from serving in the lead human resources role to overseeing financial management and board communications. The ability to work as part of a small team and effectively manage multiple projects and tasks with a detail-oriented eye and can-do attitude is critical. Friends of the Children - Dallas is part of a national network and a Texas network. The Operations Manager works with the national and Texas finance, HR, and operations teams to build a high-performing, sustainable organization that leverages network best practices, partnerships, and over 30 years of impact. Essential Functions and Responsibilities: Executive Support: • Acts as the primary support to the Executive Director in the management of Friends Dallas., • Participates in stakeholder meetings and other events, as required., • Manages Board of Directors logistics, including scheduling meetings, preparing materials, and taking minutes., • Coordinates with Friends National and Friends Texas on matters of compliance and information sharing., • Maintains an organizational calendar of events; manages executive schedules., • Completes other projects as assigned.Office Management:, • Serves as the first point of contact for people visiting or calling the organization., • Develops and maintains office procedures., • Oversees the handling of incoming mail to ensure proper processing and management., • Manages supplies necessary to run Friends Dallas efficiently and effectively., • Manages procurement of office equipment., • Monitors the general email inbox and directs email to the appropriate parties.Operations:, • Coordinates with the IT provider for any necessary IT needs. Manages procurement of all computers, monitors, and necessary equipment and works with IT team to set up for all new employees., • Obtains and maintains required business insurance policies by gathering quotes, coordinating with brokers, completing applications, and ensuring timely renewals and documentation., • Researches, selects, and manages contractors and vendors as needed., • Coordinates and oversees facility expansions or updates., • Completes and maintains official contracts and MOUs., • Coordinates the process of payroll for the team., • Maintains organizational records and an inventory of key documents.Finance and Grants Management:, • Prepares deposits, tracks and pays invoices, and records payments., • Reviews and processes all expenses for the team and prepares monthly expense reports., • Collaborates with bookkeeper to complete donation logs, provide bank statements, perform reconciliations, and upload backup documentation into digital folders for monthly processing., • Partners with the Friends National and Friends Texas chapters’ finance teams to develop budgets., • Manages federal/state grant reporting and is point person for auditors., • Tracks and identifies costs related to federal/state grants and completes monthly financial reports in partnership with the Friends National and Friends Texas chapters’ finance teams., • Prepares and maintains grant tracking/compliance tools, and facilitates communication between staff, grantors and the Friends National and Friends Texas finance teams.Human Resources:, • Oversees and manages employee recruitment and selection processes, including posting jobs, screening resumes, conducting interviews, and implementing a thorough background check process., • Manages employee onboarding and offboarding processes, ensuring a smooth transition for new hires and departing employees., • Manages employee benefit enrollment and renewal processes., • Handles discipline and termination of employees in accordance with company policy., • Oversees the implementation of the comprehensive employee evaluation process, including continuous refinement of performance and supervisory standards, mid-year and annual evaluations, promotions, 360 feedback, and performance improvement plans., • Oversees the design and implementation of employee professional development program, including creating a menu of professional development training for staff, designing growth opportunities and pipelines, and developing a culture of value learning and growth mindset., • Collaborates with the Executive Director to monitor the organization’s compliance with federal, state, and local employment laws and regulations, and recommended best practices. Makes any necessary modifications to policies and practices to maintain compliance.Development and Communications:, • Processes donations and updates donor records., • Prepares mailings to donors., • Manages special event registration and logistics., • Attends and supports special events., • Manages Friends of the Children - Dallas website and social media platforms.Skills, Knowledge, and Abilities:, • Strong organizational skills and ability to prioritize tasks., • Excellent communication skills, both written and oral., • Impeccable attention to detail., • Ability to interpret financial reports., • Previous experience with financial reporting and transaction processing., • Previous experience with grant tracking/auditing., • Previous experience with payroll processes., • Proficiency in Microsoft Office Suite, expense reporting platforms, and CRM systems., • Professional and emotional maturity that demonstrates warmth, dependability, responsiveness, initiative, flexibility, knowledge, credibility, and a good sense of humor., • Ability to interact effectively and maintain positive working relationships with a variety of stakeholders.Education and Experience Required:, • Bachelor’s degree preferred.
