Job Description We are seeking a reliable, organized, and detail-oriented Office Assistant to support daily administrative, accounting, and office operations. This role is responsible for assisting with customer invoicing, bill entry, expense reporting, office organization, onboarding, recruiting support, safety and security compliance, office cleanliness, purchasing office supplies, event coordination, and benefits/PTO administration support. The ideal candidate is proactive, adaptable, and able to manage multiple priorities in a fast-paced environment. Key Responsibilities Administrative and Office Support: • Provide general administrative support to ensure efficient day-to-day office operations, • Maintain an organized, clean, and professional office environment, • Assist with filing, scanning, data entry, document preparation, and recordkeeping, • Order and stock office supplies, kitchen supplies, and other workplace necessities, • Run office-related errands and shop for company needs as necessary, • Help coordinate company meetings, lunches, celebrations, and special events, • Send customer invoices and ensure payment on those invoices, • Enter vendor bills and assist with accounts payable recordkeeping, • Update and maintain expense transactions and supporting documentation, • Assist with onboarding new hires, including paperwork, orientation materials, and internal setup, • Support recruiting efforts by posting jobs, scheduling interviews, and communicating with candidates, • Help coordinate interviews and maintain applicant tracking records, • Assist the Controller and leadership team with benefits administration and PTO tracking, • Support office safety and security procedures and help maintain compliance records, • Assist with tracking training, certifications, and required documentation, • Help ensure the office meets company standards for safety, cleanliness, and operational readiness, • Report maintenance, safety, or security concerns to the appropriate team members Qualifications: • High school diploma or equivalent required; associate degree or administrative training, • 1+ years of office, administrative, accounting, or customer service, • Proficiency in Microsoft Office, including Outlook, Word, and Excel, • Strong organizational skills and attention to detail, • Excellent verbal and written communication skills, • Ability to handle sensitive and confidential information professionally, • Strong time management skills with the ability to prioritize multiple tasks, • Positive attitude, dependable work ethic, and willingness to assist where needed Preferred Qualifications: • Experience supporting HR, onboarding, or recruiting activities, • Familiarity with payroll, benefits, or PTO tracking, • Experience working with accounting or ERP software, • Prior experience in a small business or multi-function office environment Physical Requirements: • Ability to sit, stand, walk, bend, and lift office supplies or packages as needed, • Ability to perform light cleaning, organizing, and stocking tasks, • Ability to travel locally for office shopping or errands, if required Work Environment: This position operates in a professional office setting and involves regular interaction with employees, vendors, customers, and job candidates.
