Job Description Due to our phenomenal growth and expansion, Reproductive Medicine Associates of New York (RMA of NYC), one of the country's top fertility centers, is looking for a Clinical Medical Assistant Supervisor at our Mount Kisco office. This Clinical Supervisor role is responsible for overseeing the daily operations of the medical assistant-clinical team, providing and ensuring high-quality patient care, efficient clinical workflows, adherence to procedures, protocols, and standard practices. Perform medical assistant duties as needed, including rooming patients, taking vitals, assisting with procedures, and basic patient education. Overall, this role provides leadership, training, and management over the medical assistants while maintaining hands on clinical responsibilities, and other related technical and clinical support duties as directed by Clinical Manager. We have an immediate opening for a Full-Time Clinical Medical Assistant Supervisor to join our Mount Kisco, NY/White Plains, NY team. The schedule is Monday - Friday 7:00AM to 3:30PM with occasional holidays and possible weekend coverage (7:00AM-12:00PM). Must be able to attend trainings, meetings, or provide supervisor coverage as needed at any of Manhattan practices as well. Pay: $65,000 - $69,000 annually Responsibilities include but are not limited to: Includes the following, other duties may be assigned to meet business needs: Supervisor Input all standard duties • Oversee and manage the clinical medical assistants when the Clinical Manager is away., • Serve as the point of contact for clinical issues, patient concerns, and interdepartmental concerns; trouble shoot clinical related issues as directed by Clinical Manager, • Maintain weekly and daily clinical duties and assignments, • Train, mentor, and evaluate staff performance; provide ongoing coaching, feedback, and professional development support to team members., • Assist with payroll and timecard review, recruitment, onboarding, and staff competency assessments and performance evaluations., • Support and confirm workflows are followed throughout RMANY offices – maintains familiarity with clinical protocols, and observe, troubleshoot, and reinforce workflow compliance., • Provide team leaders with support, including but not limited to medical assistant and OR team lead., • Assist with developing or sending out the OR schedule., • Assure interdepartmental communications by acting as a department liaison, to ensure consistent messaging, improve coordination, optimize workflow and engage in effective problem solving in collaboration with management and physicians., • Monitors adherence to clinical protocols, infection control and safety procedures. Ensures all clinical supplies and areas and examination rooms are clean, sterile, and stocked appropriately., • Ensure all blood, scans and other procedures are done as required., • Effectively utilize FERT for processing labs and assist team members as needed., • Double check daily monitoring in house hormone bloods prior to it being sent out with courier, • Trouble shooting equipment related issues at office locations as directed by the Clinical Manager, • Order and maintain supplies for the office., • Conduct regular checks of the clinical lops as required:, • Lab Quality Assurance, • Refrigerator/ Freezer Temperature, • Autoclave / Spore Test, • Gus Probe Sterilizing, • OPA 28 Solution change and Gus Filter Change, • Assist physicians with procedures and accurately document in EMR(s) according to practice protocol. Procedures include: IUIs; Ultrasounds (stim, pregnancy, 3D); Saline sonograms; Post Op Exams; Physical Exams; Biopsies (cervical or endometrial polyps / retained POC); Catheter Removals; Cyst or Fluid aspiration., • Anticipate physician needs to maintain efficient scheduling and workflow., • Perform and record vital signs (height, weight and blood pressure); Ensure BMIs are completed according to protocol and recorded in EMR. DSD patients require height, weight, blood pressure, respiration rate, pulse and temperature to be performed and recorded., • Obtain and process blood and non-blood specimens using aseptic technique and departmental procedures for laboratory testing as ordered:, • Verify, label and process specimens according to practice protocol, • Initial, date, and time, all tubes and requisitions; attach copies to lab orders- file for up to 3 months., • Perform second checks of all requisitions, type of tubes and labels for all orders processed prior to sending out. Initial, date and time all collections when second checked., • Verbally and visually have patients verify their information prior to procedures and blood draws:, • Patient’s full name, date of birth, last 4 of social security if applicable. (For IUIs verify both patient and partner’s name, date of birth and full social if any, or the specimen information, if using a donor), • Confirm insurance with patients prior to drawing labs to ensure correct specimens are being collected. Make sure it is updated in EMR prior to patient leaving, • Protect patients and employees by adhering to infection-control policies and protocols., • Maintain a clean and safe clinical working environment and examination rooms in accordance with protocols and regulations, calling for assistance from other health care support personnel when appropriate., • Ensure proper maintenance of equipment and report issues promptly to Clinical Manager., • Restock daily supplies; advise Clinical Manager when stock needs replenishing; distribute clinical supplies as needed. Participate in cost containment by appropriate use of medical and office supplies, and other budget requirements as communicated by practice management., • Understand Practice purchasing policies, including knowledge of vendors, instruments and supplies, as well as shipping and receiving procedures., • Maintain daily, monthly, and yearly inventory for all clinical supplies and instruments., • Maintain dating system for recalling supplies according to limit of shelf life., • Process supply requests in a prompt, cooperative, and efficient manner., • Escort patients to and from phlebotomy area or examination rooms, and direct or escort patients to the front desk upon the completion of the patient’s clinical treatment., • Comfort patients by anticipating patient’s anxieties; answering patient’s questions within the scope of the position., • Provide quality care by adhering to therapeutic standards; follow practice, physician and nursing division philosophies, as well as standards of care set by the state and other governing agency regulations., • Consistently work in a positive and cooperative manner., • Assist other team members in the performance of their assignments., • Consider the impact of your actions on team members throughout the Practice, • Demonstrate flexibility to perform duties wherever volume deems necessary within the Practice., • Requires a high school diploma. Associates degree or higher preferred., • Medical Assistant with Phlebotomy Certification, or Phlebotomy Certification is required., • At least 6 years as a medical assistant, with at least 2 years in a supervisory or lead role., • Fertility Healthcare experience and knowledge preferred., • Must have a high level of interpersonal skills to handle sensitive and confidential situations.
