The Business Manager oversees financial operations (AP/AR), vendor and contract management, shipping and logistics, technology systems, facilities, licensing, and business continuity planning. This position ensures smooth, compliant day-to-day operations while supporting budget development, monitoring, and annual organizational planning. Learn more at Compensation & Benefits • Salary: $90,000–$100,000 annually (commensurate with experience), • Benefits: Medical, dental, vision, disability, paid vacation and sick leave, 10 holidays, and a Simple Retirement Account. Work Environment & Requirements • On-site position in San Jose, CA, • Occasional travel for meetings and conferences, • Some evening and weekend work, • Ability to lift and move up to 30 pounds occasionally, • Valid driver’s license with a clean driving record Responsibilities: Financial Management • Partner with the CEO and fiscal consultant to manage the annual audit., • Maintain audit-ready documentation and ensure policies and SOPs meet regulatory standards., • Lead the annual budgeting process and support department leads in developing accurate forecasts., • Monitor the organizational budget and prepare monthly and quarterly financial reports., • Oversee Accounts Payable and ensure timely, compliant processing of invoices and payments., • Manage Accounts Receivable, including proactive follow-up to reduce aging AR., • Analyze financial trends, prepare forecasts, and support long-range financial planning., • Recommend pricing adjustments based on cost and utilization analyses., • Ensure grant compliance, including tracking allowable expenses and preparing required documentation., • Maintain strong internal financial controls Operations Management • Oversee daily business operations to improve efficiency, accuracy, and service reliability., • Provide the CEO with timely data, analysis, and strategic operational recommendations., • Oversee all vendor and contractor relationships across shipping carriers, inventory suppliers, facilities, technology partners, and equipment services., • Refine workflows related to production, order fulfillment, and customer support., • Manage shipping and logistics functions for timely and cost-effective delivery of donor milk; optimize packaging, dry ice usage, and shipping performance., • Lead bulk purchasing strategy and identify cost-saving opportunities while maintaining service quality., • Monitor shipping carrier contracts, rates, and performance, • Lead the annual planning cycle, ensuring alignment with goals, budgets, and performance metrics., • Monitor progress on operational plans and ensure readiness for audits. Technology, Data Security & Business Continuity • Oversee IT operations via the Operations Specialist and external partners., • Maintain HIPAA compliance, access controls, data security, and backup systems., • Identify technology solutions that improve workflow, automation, and system integration., • Lead annual review and testing of the Business Continuity Plan. Administrative Management • Serve as a key member of the leadership team and support cross-departmental coordination., • Manage administrative systems for expense reporting, approvals, budget tracking, planning, and performance evaluation., • Ensure timely procurement, renewals, service agreements, and insurance compliance., • Manage and renew all required licenses and registrations (FDA, CDPH, business licenses, etc.)., • Ensure compliance with federal, state, and local regulations related to milk banking, operations, shipping, and data privacy., • Supervise the Accountant, Recipient Coordinator, IT/Operations Specialist, Logistics Lead, and Shipping Coordinator; manage the Financial Consultant. Qualifications: • Strong commitment to Mothers’ Milk Bank’s mission., • Bachelor’s degree in business administration, nonprofit management, finance, or related field (required)., • Minimum of 5 years of experience in nonprofit or healthcare business operations., • Strong knowledge of compliance, audit, grants management, and vendor contracting., • Proficiency with QuickBooks, Google Workspace, Microsoft Excel, and audit portals., • Familiarity with HIPAA or healthcare data privacy regulations is a plus., • Demonstrated project management and multitasking skills in fast-paced environments., • Experience supervising staff and collaborating across teams., • Excellent organizational, problem-solving, and communication skills.
