    About Lighthouse ABA Lighthouse ABA provides Applied Behavior Analysis (ABA) services to children and families, delivering high-quality, individualized care across our service areas. Behind every child who receives services is a coordinated effort to make sure care is authorized, covered, and never interrupted. The Insurance Coordinator sits at the center of that effort. Position Summary We're looking for a detail-driven Insurance Coordinator to own the eligibility and authorization side of our ABA services. In this role, you make sure every client has active insurance coverage and valid authorization in place before and throughout their care --- verifying benefits, securing initial authorizations, and staying ahead of re-authorization deadlines so that no child's services lapse. You'll be the connective tissue between payers, our clinical team, and families, translating insurance requirements into clear next steps and keeping our authorization pipeline accurate and current. This is a role for someone who is organized, persistent, and detail oriented --- someone who takes real ownership of deadlines and follows through until each authorization is confirmed. Position is full-time and compensation is based on experience ranging between $25-30/hr. Key Responsibilities Eligibility & Benefits Verification • Confirm that referrals, diagnoses, and required documentation meet each payer's criteria for ABA services., • Confirm new coverage whenever a client's coverage changes. Authorization & Re-authorization Management • Prepare and submit initial authorization requests for ABA assessments and treatment, ensuring each packet is complete and payer-compliant., • Track every active authorization --- units approved, units used, and expiration dates --- and initiate re-authorizations well ahead of deadlines to prevent any lapse in services., • Coordinate with BCBAs and the clinical team to gather assessments, treatment plans, progress reports, and supporting documentation required for authorization and continued-care requests., • Monitor authorization status through submission, follow-up, and approval, escalating delays and resolving payer requests for additional information. Payer & Internal Coordination • Serve as the primary point of contact with our insurance team, • Keep clinical, intake, and billing teams informed of authorization status, upcoming expirations, and any coverage issues that could affect a client's schedule., • Communicate coverage and authorization details clearly to families when needed, in plain, supportive language. Records & Compliance • Maintain accurate, up-to-date authorization records in our systems (client management platform and payer portals), ensuring dates, units, and documentation are always current., • Track key dates and maintain a reliable tickler/reminder system so re-authorizations are never missed., • Handle all client and health information in accordance with HIPAA and organizational privacy standards. Qualifications Required • 1+ years of experience in insurance verification, prior authorizations, or a related healthcare administrative role (ABA, behavioral health, or pediatric therapy experience strongly preferred)., • Working knowledge of insurance concepts --- eligibility, benefits, authorizations, medical necessity, and payer requirements., • Strong organizational skills and exceptional attention to detail, with a proven ability to manage many deadlines at once without letting anything slip., • Clear, professional written and verbal communication., • Comfort working in insurance portals, EHR/practice-management systems, and standard office software (spreadsheets, email)., • Persistence and comfort with payer follow-up --- including phone calls and appeals of incomplete or delayed requests., • A discreet, professional approach to confidential health information (HIPAA). Preferred • Direct experience with ABA authorizations and continued-care/re-authorization workflows., • Familiarity with Medicaid and commercial payer requirements in our service areas., • Experience coordinating with BCBAs or clinical teams to assemble authorization documentation.     ESSENTIAL RESPONSIBILITIES The Bilingual Early Intervention ISC and OSC Service Coordinator’s responsibilities may include: • Serve as the primary Service Coordinator for assigned infants, toddlers, and families., • Explain the Early Intervention Program, service coordination process, family rights, procedural safeguards, and available services to families., • Communicate with families in their preferred language when qualified to do so., • Develop trusting, respectful, and family-centered relationships with parents and caregivers., • Assist families with navigating the Early Intervention system., • Coordinate and facilitate communication among families, evaluators, Early Intervention providers, Early Intervention Officials/Designees, and other professionals involved with the child., • Assist families with scheduling and coordinating multidisciplinary evaluations and other required appointments., • Participate in and coordinate IFSP meetings as required., • Assist families in identifying priorities, concerns, resources, and desired outcomes for their child and family., • Support the development, implementation, review, and amendment of the child’s IFSP., • Assist families with identifying available Early Intervention providers for authorized services., • Coordinate the initiation of authorized Early Intervention services., • Monitor whether services are being delivered in accordance with the child’s IFSP., • Follow up with families and providers regarding missed, delayed, interrupted, or unavailable services., • Identify barriers affecting service delivery and communicate concerns to the appropriate Early Intervention personnel., • Maintain ongoing contact with assigned families in accordance with program requirements and individual family needs., • Assist families with accessing community programs, healthcare resources, social services, educational resources, and other supports when appropriate., • Advocate for family participation and informed decision-making throughout the Early Intervention process., • Support transition planning as children approach age three and prepare to transition from the Early Intervention Program., • Collaborate with families regarding potential transition to preschool special education or other appropriate community services., • Complete all required case notes, service coordination documentation, contact logs, IFSP-related documentation, and other records accurately and within required timeframes., • Maintain accurate and current information within required Early Intervention systems., • Maintain confidentiality of child and family information in accordance with applicable federal and New York State requirements and Angel Community Alliance policies., • Participate in required orientation, training, supervision, quality-assurance activities, and professional-development activities., • Follow all applicable New York State Early Intervention Program requirements, policies, procedures, and ethical standards., • Bilingual Service Coordinators may be responsible for:, • Communicating directly with families in both English and their qualified second language., • Explaining Early Intervention processes and requirements in a manner families can understand., • Supporting culturally and linguistically responsive communication., • Helping reduce language-related barriers to participation in Early Intervention services., • Communicating effectively with bilingual families while maintaining professional boundaries and confidentiality., • Utilizing approved interpretation and translation resources when circumstances require services beyond the Service Coordinator’s language competency or role. MINIMUM QUALIFICATIONS Candidates must meet applicable New York State Early Intervention Program requirements for Service Coordinators and Angel Community Alliance credentialing requirements. Preferred qualifications include: • Bachelor’s degree or higher in psychology, social work, human services, early childhood education, special education, sociology, counseling, family studies, behavioral science, or a related field., • Experience working with infants, toddlers, children, or families., • Experience with children with developmental delays or disabilities., • Knowledge of Early Intervention, developmental disabilities, special education, Medicaid-funded programs, or community-based services., • Experience with case management or service coordination., • Strong written and verbal communication skills., • Strong organizational and time-management abilities., • Ability to manage multiple cases, deadlines, appointments, and documentation requirements., • Ability to communicate professionally with families, providers, government representatives, and other professionals., • Ability to work independently while remaining responsive to supervision and agency requirements., • Ability to maintain accurate, timely, and confidential records. Spanish-speaking candidates are highly preferred. Additional languages commonly spoken by families throughout New York City are also welcomed.
