To support the Center's mission, the Bureau of Administration (ADM) in CPHDS provides administrative support to all programs and center staff. This includes the appropriate allocation and efficient spend down of city tax levy and grant funds; planning and managing program services procured through contracts and purchase orders including supplies, equipment, and services; managing all personnel activities including recruitment, labor relations, payroll and leave requests; administrative reporting, office support and facility maintenance of 3 office sites. The Bureau of Administration has an opening for an Administrative Systems Developer. Duties: • Conduct analysis of administrative processes and identify key areas for improvement. Develop and implement process improvement plans using automation and internal systems., • Collaborate with CPHDS programs to assess needs and propose plans to implement changes. Perform ongoing monitoring to ensure process improvements are sustained. Create process documentation and train staff on new processes., • Provide ongoing support and management of CPHDS Administration’s internal, web-based service request tracking application that will allow staff to submit direct requests for goods and services. Follow up with division administration staff to ensure requested are closed out in a timely and efficient manner., • Implement and manage the internal inventory system to ensure proper tracking, distribution, and maintenance of office supplies. Count materials, equipment, merchandise, or supplies in stock and enter in the database on a quarterly basis. Create and disseminate inventory reports and other ad-hoc reports as requested., • Assist with the technical support, testing and troubleshooting on all internal systems as scheduled and as requested. Track all technical issues reported by users and report to Administrative Data Operations Manager. Provide weekly status report to Admin Service Manager and assist with the preparation of monthly performance reports for division stakeholders., • Assist database manager with maintaining the integrity of data in the tracking system backend data tables and consistently updated with real-time data from DOHMH systems (i.e., EDB, PECOS)., • Retrieve reports from a variety of DOHMH internal systems, such as PECOS and OES, as scheduled by data manager. Enter updated data into internal database for proper tracking and archiving., • Ensure data is archived according to designated schedule set by Data Manager. Manage regular data quality checks to assess quality of data collection and application activity., • Write and maintain user manuals and/or how-to guides for all data tracking system that will easily communicate instructions to users and technical information to administrators. Train staff on system features as needed., • Serve as the secondary liaison with DIITT for agency wide application rollouts & upgrades. Submit and track all requests for equipment into the IT purchase request system and manage all requests. Submit and manage all encumbrances related to IT contracts., • Serve as IT Purchase liaison coordinating the submission of all Center requests to IT, tracking the purchase and distribution of new equipment across programs, working with DIITT or external vendor to ensure timely and accurate completion of work, advise Supervisor if deliverable may not be met as originally outlined in the work order, and assist Center senior staff with equipment operation upon request., • Manage updates for Admin SharePoint pages and ensure information is maintained and current. Maintain dashboards for real‐time reporting to AC’s and unit directors. Ensure AC Collaboration site is regularly maintained and updated with current information Collaborate with Center experts to ensure the best format/layout., • Prepare monthly Admin Review Meeting agendas and other pertinent materials for Senior Management such as staff leave and lateness reports. Ensure reports are visible and information is clear. Enhance the meeting agenda by providing additional statistical data (i.e., month-to-month attrition rates, month-to-month liquidation changes etc.)., • Conduct high-level research to enhance technical knowledge of database systems including storage and data collection techniques, data structures, and schema language(s) and communicate best practices to the Data Manager., • Serve as back-up to Data Operations Manager on all data management & IT related activities. CAMBA provides on-site supportive services including case management and 24/7 front desk security services. Job Summary Reporting to the Scattered Site Program Directors, the Property Manager is responsible for the overall management and operation of all apartments in the Scattered Site portfolio. This includes addressing all issues related to building violations, ensuring that life safety standards comply with regulatory agency policies and procedures, coordinating services with building management and brokers for leasing and renewals, repairs and upkeep, and continuous oversight of all financially related obligations. Responsibilities: • Conduct an initial assessment of the family within 48 hours of arrival to the residence and complete the Family Case Assessment Form, Initial Service Plan, and all initial intake documentation., • Initiate referrals for necessary emergency services., • Initiate/complete intake information (CARES data entry and supporting documentation) in the Uniform Client Chart., • Ensure CARES data and supporting documents are printed and filed in designated sections in the client’s chart., • Conduct orientation with clients and review the facility rules, clients’ rights and responsibilities, grievance/complaint process, emergency disaster procedures, etc., • Assist clients with transition to assigned residential unit and housekeeping items., • Provide comprehensive case management, including crisis intervention, counseling services and other appropriate support services., • Commit to using Evidence Based Practices (EBP); strength-based case management, motivational interviewing, trauma-informed care, critical time intervention, family-centered case management, boundary setting, and cultural-reflexivity to help clients achieve their goals., • Develop an Independent Living Plan (ILP) for each client, which will define the client’s goals (in conjunction with the transitional housing income building specialists, housing specialists, child care staff and recreational staff), and track progress against goals, make modifications, and ensure compliance with the ILP., • Provide hands-on training, coaching and support to clients, and help create opportunities for practicing skills that will enable clients to achieve their ILP goals., • Ensure that clients understand and work towards meeting their responsibilities as outlined in the Client Acknowledgment Responsibility Form (CARF)., • Maintain client data in the Uniform Client Chart., • Ensure the CARES data entry and supporting documentation is complete, accurate and current at all times., • Assist families in obtaining income and public benefits (i.e., Public Assistance; SSI, etc.)., • Establish and refer clients to appropriate medical and mental health services, education/job training programs, legal and advocacy services and other community resources as needed., • Must track referrals and follow-up each client’s progress., • Assess job readiness of clients, utilizing Standardized Assessment tools., • Perform timely and accurate input of all required client information in the Uniform Client Chart, ensure compliance with OTDA regulatory requirements and DHS contractual requirements. This is a temporary grant-funded position ending June 30, 2025 Division Overview The Office of Emergency Preparedness and Response (OEPR) promotes DOHMH’s and NYC’s ability to prepare for, respond to, and recover from health emergencies through the coordination of agency-wide emergency preparedness planning, training and exercises and through regular engagement with communities as well as city, state and federal partners. OEPR is responsible for ensuring DOHMH is in a constant state of readiness as well as preparing NYC’s healthcare system to respond to any type of emergency. Bureau Overview OEPR’s Bureau of Healthcare and Community Readiness (BHCR) streamlines external partner engagement to launch a synchronized approach to building local capacity to respond and recover from disasters through community engagement; healthcare coalition planning, technical assistance programming, and operations, to best align our efforts across sectors while strengthening situational awareness and information-sharing. This Bureau also works to coordinate across NYC and with NYS partners to develop a crisis standards of care framework, continuing to work on infectious disease preparedness and medical surge planning, and developing robust mechanisms for program evaluation for continuous improvement. Leveraging technology, data and partner communications this bureau will support healthcare and community programs using preparedness and response applications, providing operational support for event coordination across 500+ healthcare and community partners. DOHMH, as the recipient of an annual Health and Human Services (HHS) Administration for Strategic Preparedness and Response (ASPR) Hospital Preparedness Program (HPP) grant award, partners and contracts with various health care sectors to increase the preparedness level of the overall healthcare system, including but not limited to: all NYC hospitals nursing homes and adult care facility associations, geographic based coalitions, and a number of subject matter expert coalitions such as the Pediatric Disaster Coalition. The program also works to enhance systems level readiness by addressing jurisdictional planning and response gaps with healthcare partners and sister agencies at the city and state level. The Clinical Readiness and Decision Support unit incorporates science and evidence base into the Agency’s approach to public health preparedness programming, policy, and strategy. This unit supports Citywide and Regional special pathogen and medical surge planning, implements analytic strategies to support decision-making and evaluates their impact for public health preparedness programs. They also provide clinical expertise and direction to healthcare and community readiness programs. Job Description DOHMH has an opening for a Nurse Specialist. This position will oversee clinical planning and subject matter support for non-acute healthcare sectors to improve emergency preparedness and response capabilities. They will also be part of the Health Department’s incident command system leadership during public health emergencies. They will report to the Medical Director.
