Job Description Bcforward is looking for Administrative Business Partner Job Title: Administrative Business Partner Location: South San Francisco, CA 94080 Work Model: Fully On-Site (5 days per week) Contract Duration: 1 Year Contract Pay Rate: $41/hour on W2 Interview Process: Two Rounds Position Overview We are seeking a highly organized and proactive Administrative Business Partner to provide strategic administrative and operational support to senior leaders and departmental teams. This role requires exceptional multitasking skills, discretion, strong technical proficiency, and the ability to independently manage complex projects, meetings, and stakeholder relationships in a fast-paced environment. The ideal candidate brings 5–7 years of administrative, operations, or project management experience—preferably within the pharmaceutical or biotechnology industry—and thrives in a collaborative, high-performance setting. Key Responsibilities Executive & Team Support • Manage complex calendar scheduling across multiple time zones., • Draft and manage email communications on behalf of leadership., • Attend internal meetings, take notes, and track action items., • Maintain and update departmental org charts independently., • Plan and execute large mid-level internal meetings (e.g., department meetings, committees)., • Lead planning and execution of complex team offsites involving multiple locations, days, and travel coordination., • Oversee internal meetings requiring webcasting and advanced collaboration tools., • Manage scheduling with external business partners, including pre- and post-meeting logistics., • Assist with agenda creation, materials preparation, distribution, and event flow., • Maintain relationships with internal and external stakeholders with high confidentiality., • Manage departmental gSites, Spaces, internal websites, and newsletters., • Collect and distribute content; coordinate feedback and communications., • Manage end-to-end administrative components of candidate interview processes., • Host candidates and collect interview feedback., • Prepare hiring/promotion packages for review committees., • Partner with Talent Acquisition and Hiring Managers., • Process vendor/speaker engagements, contracts, and payments., • Coordinate training opportunities for the team and department., • Maintain shared drives and manage digital documentation systems. Required Qualifications • 5–7 years of related administrative, operations, or project management experience., • Experience supporting senior leaders or executive management., • Pharmaceutical or biotechnology industry experience preferred., • Strong ability to prioritize, multitask, and work independently., • Demonstrated discretion in handling confidential and sensitive information., • High attention to detail and accuracy in deliverables., • Strong collaboration and cross-functional communication skills., • Ability to make independent decisions with minimal supervision., • Bachelor’s degree (BS/BA) or equivalent industry experience.
