The Executive Assistant to the Chief Operating Officer will serve as a trusted professional partner and an extension of the Chief Operating Officer’s office. This individual will help coordinate enterprise-wide operational priorities, facilitate communication among departments, monitor critical initiatives, prepare executive reports, and ensure that commitments made by the Chief Operating Officer and senior leadership are executed accurately and on schedule. Position Summary The Executive Assistant to the Chief Operating Officer provides comprehensive executive-level administrative, operational, analytical, and strategic support to the Chief Operating Officer of Partners Inc. The Chief Operating Officer is responsible for translating the company’s strategic objectives into effective daily operations. Accordingly, the Executive Assistant will play an essential role in supporting the coordination, communication, monitoring, and execution of operational priorities throughout the organization. Working closely with the Chief Operating Officer and senior leadership, this individual will manage highly confidential information, oversee complex scheduling, coordinate operational meetings, monitor departmental commitments, prepare executive reports, support performance-management processes, coordinate domestic and international travel, and facilitate communication among departments, vendors, venues, clients, and strategic partners. The successful candidate will function as a central point of coordination for the Office of the Chief Operating Officer. This individual must be capable of identifying emerging operational issues, anticipating executive needs, organizing complex information, and ensuring that decisions and assignments are communicated clearly and completed within established timeframes. Essential Responsibilities The Executive Assistant to the Chief Operating Officer is responsible for providing executive-level support across the full scope of the Chief Operating Officer’s responsibilities and Partners Inc.’s operational activities. Minimum Qualifications and Experience The successful candidate will possess:Bachelor’s Degree from an accredited college or university (Required).Seven or more years of progressively responsible professional experience supporting a Chief Operating Officer, President, Chief Executive Officer, Board Chair, or other C-suite executive.Demonstrated experience providing executive support in corporate operations, hospitality, entertainment, luxury services, finance, legal services, government, event management, or a closely related industry.Experience coordinating complex operational initiatives involving multiple departments or external partners.Demonstrated experience managing highly complex executive calendars and travel arrangements.Exceptional written and verbal communication skills.Outstanding organizational, administrative, analytical, and project-management abilities.Excellent business writing, editing, proofreading, and document-preparation skills.Strong analytical, research, critical-thinking, and problem-solving abilities.Ability to interpret complex information and prepare clear executive summaries.Ability to manage multiple priorities, deadlines, and assignments simultaneously.Demonstrated ability to work independently with limited supervision.Ability to exercise sound judgment and make appropriate decisions within delegated authority.Exceptional attention to detail and commitment to accuracy.Ability to maintain absolute confidentiality.Executive-level professionalism and polished personal presentation.Advanced proficiency with Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint.Proficiency with Adobe Acrobat, document-management systems, virtual meeting platforms, project-management systems, and executive scheduling applications.Ability to learn and effectively use new technology and software platforms.Ability to communicate professionally with executives, employees, clients, vendors, public officials, and distinguished guests.Ability to remain composed and effective in fast-paced, high-profile environments.Ability and willingness to travel approximately 40–60%.Ability to work evenings, weekends, and holidays when required by company operations, executive travel, or major events.Valid driver’s license required.Valid passport preferred. Preferred Qualifications Preference may be given to candidates possessing one or more of the following:Master’s Degree in Business Administration, Organizational Leadership, Hospitality Management, Public Administration, Communications, or a closely related field.Prior experience supporting a Chief Operating Officer within a multi-market or nationally operating organization.Experience within luxury hospitality, professional sports, entertainment, executive services, event operations, or corporate client services.Experience preparing executive dashboards, operational reports, performance scorecards, and project-tracking systems.Experience coordinating executive board materials, strategic planning sessions, leadership retreats, or company-wide operational reviews.Experience supporting organizational growth, expansion, restructuring, or process-improvement initiatives.Experience coordinating high-profile events, distinguished guests, VIP travel, and executive hospitality.Experience handling sensitive legal, financial, personnel, security, or compliance-related information.Professional certification in project management, administrative management, meeting planning, hospitality, or a related discipline.Knowledge of corporate governance, operational planning, risk management, vendor management, or business continuity practices.
