Position Overview The Accounts Receivable “AR” Coordinator monitors the process of invoicing GrayMar clients by our field services and managed services teams, timely payment collection, and interacts with clients and GrayMar colleagues to “quarterback” the resolution of unsubmitted invoices and past due invoices whether due to evidence of vendor project charges, charge category disputes, service concerns or client-specific liquidity issues all towards maintaining accurate financial records for outstanding customer payments. The AR Coordinator is responsible for ensuring timely client order billing to cash receipt (OtC) process by providing financial reporting on accounts receivable status and maintaining positive customer relationships. Key Responsibilities • Collect delinquent receivables for assigned areas to improve the Company’s order to cash process while maintaining positive client relationships., • Monitor and track key performance indicators (KPIs) for accounts receivable, including DSO (Days Sales Outstanding), aging reports, collection effectiveness, and dispute resolution timelines to ensure targets are consistently met or exceeded., • Respond to customer calls relevant to billing errors, refund requests, tax exemption status, and initiate appropriate action., • Identify customer issues and send discrepancy notices to appropriate co-workers, following disputes to satisfactory resolution. Resolve customer disputes to ensure overall customer satisfaction., • Monitoring outstanding balances, contacting customers for payment, and negotiating payment arrangements is important. Verifies PCP assignment, copayments and coverage limitations prior to encounter. Sets insurance order for appointment, and assures that allocation set and financial class match primary insurance. Verifies that patient name and DOB exactly match primary insurance, and that insurance product chosen in account is the actual plan assigned to patient on website., • Provides written record of insurance verifications from external websites, including name of website, eligibility response, PCP assignment, other payers on account, CA name and date., • Establishes mental health coverage prior to each medical or BHC encounter and adds the mental health insurance to account., • Asks if visit is related to MVA or Worker’s Comp at check-in and collects MVA and WC information as needed. Responsibilities: • Oversee and manage the full lifecycle of technology projects, including application development and internal platform enhancements., • Collaborate with Product, Engineering, and Business teams to ensure alignment on project goals and deliverables., • Implement Agile methodologies and iterative delivery processes to optimize project outcomes., • Facilitate effective communication between technical and nontechnical stakeholders, ensuring clarity and shared understanding., • Prioritize tasks and manage competing demands in a fast-paced environment with evolving priorities., • Utilize tools like Atlassian Jira to track project progress and streamline workflows., • Provide hands-on support to resolve project challenges and drive initiatives forward., • Develop and maintain release plans, ensuring timely delivery and adherence to project timelines., • Monitor and report on project performance, addressing risks and implementing corrective actions as needed., • Foster a collaborative and execution-driven culture within the project team.• Proven experience managing IT or application development projects, including enterprise systems and custom-built tools., • In-depth knowledge of Agile Scrum methodologies and iterative delivery models., • Strong communication skills to effectively engage with both technical and business audiences., • Demonstrated ability to prioritize and manage time in high-pressure environments., • PMP certification or equivalent project management credentials., • Proficiency in using Atlassian Jira and other project tracking tools., • Ability to adapt to ambiguity and evolving priorities while maintaining focus on project objectives., • A hands-on approach with a results-oriented mindset, ensuring successful delivery of projects.
