Job Description Human Resources & Payroll Manager — Call Center We are seeking an experienced, organized Human Resources & Payroll Manager to oversee payroll, employee records, hiring, workplace policies, and employee relations in a busy call-center environment. This position requires someone who is comfortable addressing employee issues directly, enforcing policies consistently, and handling confidential information professionally. Hands-on experience processing payroll through ADP is required. 1. ADP Payroll Processing • Independently prepare and process accurate, timely payroll through ADP., • Review employee hours, attendance, missed punches, and approved time corrections before payroll submission., • Reconcile time recorded in the company’s CRM with payroll records., • Accurately enter hourly wages, overtime, approved commissions, bonuses, paid leave, and authorized adjustments., • Maintain employee pay rates, direct-deposit information, tax withholding elections, and applicable deductions., • Obtain required management approval before submitting payroll., • Research payroll discrepancies, answer employee pay questions, and coordinate corrections, voids, or reversals with ADP when necessary., • Coordinate payroll tax reporting and year-end documents with ADP and the company’s accountant, verifying that assigned filings are completed. 1. State, Federal, and Employment Paperwork • Complete and maintain hiring documents, employment eligibility verification, tax forms, and payroll authorizations., • Submit or coordinate required new-hire reporting., • Handle unemployment notices, wage-information requests, and separation paperwork accurately and on time., • Manage New Jersey Employer Access submissions and track required employee-separation reporting., • Complete the employer portions of disability, family-leave, workers’ compensation, and other employment-related forms as applicable., • Track deadlines for government notices and coordinate responses with management, the accountant, or legal counsel., • Keep copies of submissions, supporting records, and confirmation receipts. 1. Employee Discipline and Corrective Action • Address attendance problems, repeated lateness, unauthorized absences, policy violations, inappropriate conduct, and performance concerns., • Conduct private, professional conversations with employees about workplace expectations., • Prepare and deliver documented coaching, verbal warnings, written warnings, and performance improvement plans as appropriate., • Record the specific issue, supporting facts, employee response, required improvement, and follow-up date., • Apply policies consistently and review the circumstances before recommending disciplinary action., • Coordinate serious disciplinary decisions, suspensions, and terminations with management., • Remain calm and professional during disagreements or difficult conversations., • Follow up to determine whether the employee has corrected the problem. 1. Hiring and Onboarding • Create job postings, review applications, screen candidates, and schedule interviews., • Coordinate hiring decisions and approved offer details with management., • Collect required new-hire documents and enter employees into ADP and company systems., • Explain attendance expectations, pay schedules, workplace policies, and reporting procedures., • Review the employee handbook with new hires and obtain acknowledgments., • Coordinate initial training with department managers. 1. Employee Records and Office Organization • Maintain accurate, organized, confidential employee files., • Track pay changes, position changes, performance reviews, disciplinary records, and signed acknowledgments., • Keep sensitive medical and leave records separate from general personnel records., • Organize HR correspondence, company paperwork, and employment-related notices., • Maintain a clear calendar of payroll deadlines, paperwork deadlines, and employee follow-ups., • Preserve relevant records when a complaint, dispute, investigation, or legal hold requires it. 1. Attendance, Leave, and Employee Questions • Monitor attendance and report recurring issues to management., • Track time-off requests, leave balances, and approved absences., • Coordinate leave and accommodation requests through the appropriate review process., • Answer employee questions about pay, policies, benefits, and workplace procedures., • Distinguish ordinary attendance issues from situations requiring leave or accommodation review. 1. Employee Relations and Workplace Concerns • Serve as a professional point of contact for employee concerns., • Receive and document complaints objectively., • Review concerns promptly and escalate serious matters appropriately., • Help resolve workplace disagreements and support respectful communication., • Handle sensitive matters discreetly and explain that information may need to be shared with those responsible for resolving an issue. 1. Employee Separations • Coordinate resignation and termination paperwork., • Document the reason for separation accurately., • Coordinate final-pay processing, benefits notices, and required state submissions., • Arrange the return of company property and coordinate system-access changes with IT., • Maintain complete separation records and respond to related agency requests. Required Qualifications • Proven experience managing HR responsibilities and independently processing payroll in ADP., • Experience handling employee discipline and documenting corrective action., • Familiarity with New Jersey employment paperwork and employer reporting procedures., • Strong attention to detail, organization, and follow-through., • Ability to manage deadlines and work independently., • Professional communication skills and sound judgment., • Ability to be firm, fair, and consistent while treating employees respectfully., • Comfort working in a busy office with sales, customer service, and management teams., • Call-center experience preferred. What Success Looks Like Payroll is accurate and submitted on time. Employee files are complete. State paperwork and notices are handled before deadlines. Employee concerns receive timely attention, and disciplinary issues are documented and followed through. Management receives clear updates on outstanding HR matters and decisions requiring approval.
