(HCI) is a NYC-based creative agency partnering with schools to produce student-led media, campaigns, and real-world learning experiences. As we scale, we’re looking for creative leaders who can own projects, adapt quickly, and help shape the next phase of our growth. The Executive & Operations Coordinator plays an integral role in a growing creative agency, supporting the CEO and helping turn leadership priorities into action. Working within a small, fast-moving startup team, this role ensures proposals, work orders, and projects flow smoothly from intake through approval, execution, and payment. The coordinator manages task flow in Asana, translates meeting notes into clear next steps, and maintains visibility across active initiatives. This position is ideal for someone who takes pride in building systems from the ground up and thrives in an environment where ownership, anticipation, and adaptability are essential. This role ensures the CEO’s time, priorities, and decisions turn into action quickly and accurately. Responsibilities • Act as the primary point of contact for day-to-day executive requests, prioritizing tasks and organizing work so the CEO can stay focused on high-level strategy and partnerships., • Maintain and actively manage the CEO Daily Tasks Project in Asana, reviewing it daily to ensure deadlines, dependencies, and follow-ups are moving forward., • Prepare summaries of open items, approvals needed, and upcoming deadlines so the CEO has clear visibility without needing to dig through systems., • Support project workflows and timelines to ensure projects move from concept to execution without stalling and knowing when to pivot where necessary. Document Creation & Flow • Create, update, and manage proposals, work orders, and invoices using existing Google Doc templates and intake forms, ensuring all required information is accurate before internal review., • Route proposal drafts and work orders to the CEO and relevant sales reps for approval, incorporate feedback, and finalize documents in a timely manner., • Ensure all finalized proposals, work orders, and purchase orders are properly named, converted to PDF, shared with the correct stakeholders, and filed in the appropriate Google Drive folders. Project & Pipeline Management • Update and maintain project status in Asana to reflect real-time progress from proposal approval through delivery and payment., • Add new schools and projects into Asana from CRM or intake sheets, ensuring consistent naming, tagging, and ownership., • Monitor active projects to ensure handoffs between sales, operations, and creative teams are smooth and clearly documented. Executive Support & Follow-Through • Translate meeting notes from Otter and Zoom AI into clear, actionable tasks in the CEO Daily Tasks Project in Asana., • Send follow-up emails, confirmations, and internal updates on behalf of the CEO to keep momentum moving and expectations clear., • Ensure calendar invites include relevant notes, documents, and AI summaries so teams can reference decisions without needing separate follow-ups. Communication & Visibility • Post updates, announcements, and reminders across internal channels (email, WhatsApp, intranet) to keep the team aligned., • Proactively flag missing information, bottlenecks, or delays that could impact project delivery or payment timelines., • Maintain clean internal documentation so leadership always has visibility into what’s in motion. Who You Are • You are highly organized, detail-oriented, and able to manage multiple moving tasks without losing track of priorities., • You take ownership of your work and proactively identify what needs to happen next, rather than waiting for direction., • You are comfortable working in a fast-paced, startup environment where systems are evolving and flexibility is required., • You communicate clearly and professionally in writing and are confident sending follow-ups, updates, and reminders on behalf of leadership., • You are tech-savvy and comfortable working across tools like Google Workspace, Asana, Zoom, AI meeting notes, and shared documentation systems., • You are open to cross-training and motivated to understand how the full operation works from intake to execution to payment., • You can balance precision with efficiency, ensuring documents, projects, and systems are accurate while keeping work moving., • You are mission-aligned and excited to support creative, workforce-ready learning opportunities for students through real-world projects.

QUALIFICATIONS General job duties for all store team members Operate all equipment. Stock ingredients from delivery area to storage, work area, walk-in cooler. Prepare product. Receive and process telephone orders. Take inventory and complete associated paperwork. Clean equipment and facility approximately daily. Training Orientation and training provided on the job. Communication Skills Ability to comprehend and give correct written instructions. Ability to communicate verbally with customers and co-workers to process orders both over the phone and in person. Essential Functions/Skills Ability to add, subtract, multiply, and divide accurately and quickly (may use calculator). Must be able to make correct monetary change. Verbal, writing, and telephone skills to take and process orders. Motor coordination between eyes and hands/fingers to rapidly and accurately make precise movements with speed. Ability to enter orders using a computer keyboard or touch screen. WORK CONDITIONS Exposure to Varying and sometimes adverse weather conditions when removing trash and performing other outside tasks. In-store temperatures range from 36 degrees in cooler to 90 degrees and above in some work areas. Sudden changes in temperature in work area and while outside. Fumes from food odors. Exposure to cornmeal dust. Cramped quarters including walk-in cooler. Hot surfaces/tools from oven up to 500 degrees or higher. Sharp edges and moving mechanical parts. SENSING Talking and hearing on telephone. Near and mid-range vision for most in-store tasks. Depth perception. Ability to differentiate between hot and cold surfaces. TEMPERAMENTS The ability to direct activities, perform repetitive tasks, work alone and with others, work under stress, meet strict quality control standards, deal with people, analyze and compile data, make judgments and decisions. PHYSICAL REQUIREMENTS including, but not limited to the following: Standing Most tasks are performed from a standing position. Walking For short distances for short durations. Surfaces include ceramic tile bricks with linoleum in some food process areas. Height of work surfaces is between 36 and 48. Sitting Paperwork is normally completed in an office at a desk or table. Lifting Bulk product deliveries are made twice a week or more and are unloaded by the team member using a hand truck. Deliveries may include cases of ingredients and supplies weighing up to 50 pounds with dimensions of up to 3' x 1.5'. Cases are usually lifted from floor and stacked onto shelves up to 72 high. Carrying Large cans, weighing 3 pounds, 7 ounces, are carried from the workstation to storage shelves. Occasionally, pizza sauce weighing 30 pounds is carried from the storage room to the front of the store. Trays of pizza dough are carried three at a time over short distances, and weigh approximately 12 pounds per tray. Pushing To move trays which are placed on dollies. A stack of trays on a dolly is approximately 24- 30 and requires a force of up to 7.5 pounds to push. Trays may also be pulled. Climbing Team members must infrequently navigate stairs or climb a ladder to change prices on signs, wash walls, perform maintenance.
