Job Description EHS & Facilities Coordinator Location: Milpitas / San Jose, California Employment Type: Part-Time, approximately 20–24 hours per week Work Arrangement: 100% On-Site About the Role We are seeking a hands-on Part-Time EHS & Facilities Coordinator to support Environmental, Health & Safety (EHS), regulatory compliance, laboratory safety, hazardous materials management, and general facility coordination at our growing deep-tech startup. This role will be responsible for day-to-day EHS coordination, documentation, inspections, training tracking, hazardous materials and waste management, and facility-related vendor coordination. The position will work closely with employees, management, external EHS consultants, vendors, inspectors, and regulatory agencies. The ideal candidate is organized, proactive, comfortable working in laboratory and manufacturing environments, and able to independently track compliance-related activities and follow-up items. Key Responsibilities EHS Training & Documentation • Maintain, revise, and track EHS training materials and employee training records., • Coordinate required safety training for employees and contractors., • Maintain EHS procedures, inspection records, permits, Safety Data Sheets (SDS), and other compliance documentation., • Help develop and update safety procedures, work instructions, signage, and emergency response information., • Track required training renewals, inspections, permit deadlines, and corrective actions., • Maintain organized electronic and physical EHS records. Regulatory & Agency Coordination • Coordinate communications, inspections, permit activities, and follow-up actions with regulatory and municipal agencies, including, as applicable:, • City of Milpitas, • City of San Jose, • Santa Clara County, • Fire Departments, • Cal/OSHA, • U.S. EPA and California environmental agencies, • Wastewater authorities, • Hazardous materials and hazardous waste agencies, • Prepare and organize documentation requested for inspections or regulatory reviews., • Coordinate site visits and inspections., • Track findings and corrective actions resulting from inspections., • Coordinate with external EHS consultants for specialized regulatory, permitting, environmental, fire-code, or occupational safety matters., • Escalate significant compliance issues to management and appropriate external specialists. Hazardous Materials & Hazardous Waste Management • Maintain an accurate inventory of hazardous materials used and stored at the facility., • Track quantities, storage locations, and applicable storage limits., • Maintain SDS and chemical inventory records., • Coordinate hazardous waste pickup and disposal with approved vendors., • Maintain hazardous waste manifests, waste profiles, shipping records, and related documentation., • Conduct routine inspections of hazardous material and hazardous waste storage areas., • Verify proper labeling, container condition, secondary containment, segregation, and storage practices., • Support required hazardous materials reporting and recordkeeping, including CERS-related activities where applicable., • Coordinate with vendors and consultants regarding hazardous waste characterization and disposal requirements. Laboratory & Manufacturing Safety • Conduct weekly EHS inspections of laboratory, dry room, manufacturing, storage, and common areas., • Identify unsafe conditions and coordinate corrective actions with responsible employees or management., • Maintain a corrective-action tracking list and follow up until items are closed., • Help maintain clean, organized, and safe laboratory and manufacturing spaces., • Verify that emergency equipment such as eyewash stations, safety showers, fire extinguishers, spill kits, first-aid supplies, and emergency exits remain accessible and properly maintained., • Monitor availability and proper use of required PPE., • Support proper chemical storage, labeling, housekeeping, and waste-handling practices., • Assist with incident, near-miss, and safety concern reporting and follow-up. Equipment & Process Safety • Participate in safety reviews when new equipment, chemicals, or manufacturing processes are introduced., • Assist with Job Hazard Analyses (JHAs) / Job Safety Analyses (JSAs)., • Support risk assessments and safe operating procedures for laboratory and manufacturing equipment., • Coordinate required safety inspections or certifications with vendors and external specialists., • Assist with contractor safety requirements for vendors performing installation, maintenance, or construction work on-site. Emergency Preparedness • Maintain emergency response procedures, evacuation maps, and emergency contact information., • Help coordinate emergency drills and employee safety communications., • Maintain spill-response materials and emergency supplies., • Support incident documentation and corrective/preventive action tracking., • Coordinate with management, consultants, and emergency-service providers as needed. Facility & Vendor Coordination • Coordinate facility-related service providers, including:, • Pest-control vendors, • Indoor plant service providers, • Waste and recycling vendors, • Hazardous waste vendors, • Fire protection and inspection vendors, • Schedule routine services and maintain applicable service and inspection records., • Identify facility conditions that may create safety, cleanliness, or compliance concerns and coordinate appropriate repairs or follow-up., • Help maintain a clean, professional, and safe workplace environment. General EHS Support • Assist with ergonomic and workplace safety evaluations., • Maintain PPE and safety-supply inventory and coordinate replenishment., • Support contractor and visitor safety requirements., • Help investigate minor incidents and near misses., • Track EHS-related action items and provide periodic status updates to management., • Support continuous improvement of the company’s EHS programs as the company and manufacturing operations grow., • Assist with additional EHS and facility-related activities as needed. Qualifications • Experience in EHS, laboratory safety, environmental compliance, facilities management, chemical handling, or a related field., • Experience working in a laboratory, manufacturing, semiconductor, battery, chemical, or other technical environment is preferred., • Familiarity with hazardous materials and hazardous waste management., • Familiarity with California workplace safety and environmental requirements is preferred., • Comfortable communicating with government agencies, inspectors, vendors, employees, consultants, and management., • Strong organizational, recordkeeping, and follow-up skills., • Able to independently manage multiple compliance activities and deadlines., • Comfortable working hands-on in laboratory and manufacturing areas., • Proficient with Microsoft Office, Google Workspace, or similar business software. Preferred Experience Experience with some of the following is a plus: • Cal/OSHA requirements, • Injury and Illness Prevention Programs (IIPP), • Hazard Communication / SDS management, • Hazardous waste management, • CERS / hazardous materials reporting, • Fire department inspections and permitting, • Wastewater compliance, • Chemical inventory management, • Laboratory safety, • Emergency response planning, • Contractor safety, • Manufacturing facility inspections, • JHA / JSA preparation, • Incident and corrective-action tracking Work Schedule This is a part-time position of approximately 20–24 hours per week, generally expected to be performed over approximately three days per week. Some schedule flexibility may be required to support inspections, regulatory agency visits, hazardous waste pickups, equipment installations, or other time-sensitive EHS activities. Work Environment This is a 100% on-site position supporting a small, fast-growing deep-tech company. The role regularly works around laboratory and manufacturing equipment and in areas where chemicals and hazardous materials are handled. Appropriate training and PPE will be provided as required. This position is responsible for the company’s routine, day-to-day EHS coordination and compliance tracking. Specialized regulatory interpretations, permitting matters, or complex environmental and safety issues may be handled in coordination with external EHS consultants and company management. Because we are a startup, responsibilities may evolve as our facilities, equipment, workforce, and manufacturing activities expand.
