The Trainer is responsible for assisting with the generation of the training plan and content and offering solutions for process improvements in training documentation. The Trainer will: ESSENTIAL RESPONSIBILITIES: System Demonstration & Environment Readiness • Conduct system demonstrations as requested by the Client or Agency., • Troubleshoot and support the Agency testers within the Demo environment., • Capture, categorize, and report defects found during demos or testing., • Track defect resolution status and communicate updates to the Agency and Training Lead., • Ensure the Training and Demo environments are stood up according to the project schedule., • Test the Training environment after each deployment to confirm readiness for training and demos. Training Delivery & Facilitation • Conduct New Hire Trainings across the HTG team., • Deliver Train-the-Trainer sessions for each state, including onsite facilitation and virtual delivery., • Prepare PowerPoints and session materials for Train-the-Trainer and end-user training sessions., • Schedule and conduct makeup training sessions as needed., • Serve as a backup trainer to cover absences and scheduling conflicts., • Participate in feedback sessions and adjust training delivery as required. Training Content Development • Create Training Guides for Provider material-one guide per application type with an accompanying Trainer Guide, • Create Internal User Training Guides-one guide per system function with an accompanying Trainer Guide., • Develop 14 Quick Reference Guides (QRGs) or equivalent provider guides., • Produce 4 provider-facing training videos and ensure upload to the correct repository., • Create FAQ documentation or Help Center user stories as needed., • Develop hands-on exercises and supplemental training materials for internal users., • Generate and maintain training accounts and 100+ data records tailored to business requirements., • Update all documentation quarterly or as required. Feedback & Quality Management • Capture and categorize feedback during and after training sessions., • Deliver summarized feedback to the appropriate HTG team for review and resolution., • Conduct feedback sessions to assess effectiveness and identify areas for improvement., • Support quality review of training deliverables before submission or delivery., • Track and manage action items resulting from Agency meetings, demos, or feedback sessions. Governance & Compliance • Follow governance processes for version control, review, and approval of training deliverables., • Ensure all training materials align with Agency and state-specific requirements., • Maintain documentation consistency across all deliverables and repositories., • Participate in governance and SOS meetings related to assigned projects., • Support audit-readiness through organized documentation and traceability. Meetings & Coordination • Attend JAD sessions to understand current and future state processes for accurate training development., • Participate in Training meetings with the Client and other vendors., • Create meeting agendas, record minutes, and track action items., • Attend SOS calls for assigned projects and provide updates on training progress., • Act as scribe when assigned and maintain accurate meeting documentation., • Act as backup for scribe duties or other trainers as needed. Additional Deliverables & Support • Create supplemental materials such as DyD documents, demo drafts, or quick updates as requested., • Support the Training Lead and other trainers with ad hoc documentation or presentation needs., • Travel onsite as needed to support Train-the-Trainer or implementation activities., • Collaborate with development and QA teams to ensure training accuracy and alignment with functionality. MINIMUM QUALIFICATIONS: • Five (5) or more years of demonstrated experience in training delivery, • At least three (3) of those five (5) years must be training delivery of train-the-trainer, • Three (3) or more years of demonstrated experience in training delivery of MMIS systems or components, preferably Provider Management, • Three (3) or more years of demonstrated experience in using WordPress, • Three (3) or more years of demonstrated experience in delivering training materials such as:, • Informative brochures with session agenda, • Attendance tracking, including sign-in sheets, • Classroom and web-based training, • Handouts and materials distributed at each session, • PowerPoint presentations, • Live demonstrations of solution functionality, • Hands-on training, including requesting participants to bring their laptops so they can follow along with the trainer, • Open Q&A in every training session, • Training surveys passed out and collected towards the end of each session, • Continued availability following training for one-on-one questions, • Follow up provision of electronically provided training materials for ongoing, continued learning, • Post-training session survey analysis with improvements implemented ahead of the next session, • Demonstrated knowledge and ability to create training materials such as the items listed in the previous bullet, • Demonstrated knowledge and ability to effectively use the MS Office Suite, • Demonstrated knowledge of course development and documentation software and tools (i.e. Captivate, Snagit), • Demonstrated experience in delivering training for complex technical software development and implementation projects, • High aptitude for translating complex technical content into a format that is easily understandable by audiences of differing technical foundations, • Excellent oral and written communication skills and the ability to clearly articulate to all project members and stakeholders; must be a team player who works well with technical and non-technical resources DESIRED SKILLS: • Training experience with State government agencies Education and Certification • BS/BA or equivalent in Communications, English, Business, Education, or other related discipline with five (5) or more years of experience related to this position
