Job DescriptionSalary: $18.00 - $20.00 Please note that this is a Part-Time, non-benefitted position. Generally hours will be 20-30 per week, with an expectation to work Evening and Weekend District Events. Hours may fluctuate based on needs, and will most likely be low to none during Winter Holiday weeks. This position will be open until filled. Under the general supervision of the Recreation Supervisor, this position assists with recreational programming, special events, facility rentals, marketing, and community outreach while also providing customer service and administrative support for the Recreation Division. Responsibilities include preparing and implementing special events, assisting with marketing efforts including social media and promotional materials, greeting and assisting the public, processing program registrations and facility rentals, and helping maintain records. ESSENTIAL DUTIES AND RESPONSIBILITIES Include, but are not limited to, the following: Events, Programs, and Marketing (75%) • Assist with planning, coordinating, and delivering high-quality special events and community programs., • Attend and support assigned events, including evenings, weekends, and holidays as required., • Assist with volunteer coordination for events and programs., • Plan and coordinate hands-on activities and outreach efforts for special events., • Staff outreach booths and solicit donations when applicable., • Assist with marketing and promotional efforts, including drafting press releases, printed materials, and social media content., • Open and/or close office facilities as assigned., • Receive and greet customers; answer phones and emails; provide information responsive to customer needs; handle routine requests independently and refer inquiries as appropriate., • Receive, distribute, and process incoming mail and drop box submissions., • Process recreation program registrations and facility rentals; prepare daily financial transaction reports., • Respond to facility rental inquiries in a timely, effective, and proactive manner; follow up with prospective renters to secure bookings; schedule and conduct facility tours., • Assist in preparing, maintaining, and posting facility use schedules., • Research customer records and respond verbally and/or in writing to customer needs., • Provide administrative and clerical support to Recreation Division staff., • Assist with special projects and perform research as needed. QUALIFICATIONS Knowledge of: • Event planning, marketing, and community outreach principles., • Office automation equipment and software applications, including Word, Excel, Outlook, databases, spreadsheets, and design platforms such as Canva., • Modern office practices and procedures., • Customer service principles and standard account recordkeeping methods., • Basic mathematics., • Proper English usage, spelling, grammar, and punctuation. Ability to: • Work collaboratively in a team environment., • Establish and maintain effective working relationships with the public, staff, volunteers, vendors, and partner agencies., • Demonstrate a friendly, patient, flexible, and customer-focused demeanor., • Operate standard office equipment., • Lift, carry, move and setup special event equipment that could weigh up to 50lbs., • Communicate effectively and professionally in person, by telephone, and through email., • Provide accurate information regarding programs, events, classes, rentals, and District services., • Multi-task in a fast-paced, dynamic environment and meet deadlines., • Exercise good judgment, initiative, tact, and discretion., • Maintain composure and professionalism under pressure., • Proofread documents and prepare accurate reports. EXPERIENCE AND EDUCATION Any combination of training and experience that would provide the required knowledge, skills and abilities is qualifying. A typical way to obtain the required qualifications would be: Equivalent to graduation from a four-year college or university with major coursework in recreation administration, communication studies, leisure services or a related field or two (2) years of recreation, customer service, marketing, or event experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job as listed above. SPECIAL QUALIFICATIONS • Possession of a valid California Drivers License and good driving record., • Obtain First Aid and CPR Certification within six (6) months of employment. PHYSICAL REQUIREMENTS AND WORKING CONDITIONS Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer; attend meetings and events at various sites within and outside the District; lift and carry materials weighing up to 50 pounds; work outdoors in varying weather and temperature conditions; and have availability to work evenings, weekends, and special events as required. Vision, hearing, and speech are sufficient to read printed materials, operate a computer, and communicate effectively in person and over the telephone are required.
