Executive Assistant Location: Plymouth City Centre (Hybrid – 1 day per week in the office, more if preferred) Salary: £30,000 – £35,000 per annum Hours: 37 hours per week (Monday–Friday, flexible working available) Contract: 6-month initally with strong potential to become permanent Start Date: ASAP About the Role We are seeking a highly organised and proactive Executive Assistant on behalf of our client to provide comprehensive support to the Chief Executive and Executive Leadership Team (ELT). This is a pivotal role, ensuring the smooth running of executive operations, governance processes, and key organisational activities. This is an excellent opportunity for an experienced EA who thrives in a fast-paced environment and enjoys working at a senior level with a high degree of autonomy. Key Responsibilities Executive Support Provide high-level administrative support to the CEO and ELT, including complex diary management Coordinate meetings, events, and travel arrangements Prepare briefings, presentations, and formal communications Act as the first point of contact for the CEO, managing correspondence and enquiries Maintain and oversee organisational calendars and scheduling Governance & Board Support Organise and support Board and Committee meetings (agenda preparation, minute-taking, action tracking) Coordinate Board papers and ensure timely distribution Maintain governance documentation and Board portals Support compliance with Companies House, Charity Commission, and other regulatory requirements Assist with trustee appointments, inductions, and Board development ELT Coordination Coordinate ELT meetings, including agendas, minutes, and follow-up actions Monitor progress against organisational priorities and workplans Support cross-functional communication and project coordination Wider Administration Support organisation-wide events and key business activities Maintain accurate records, reports, and documentation Assist with ongoing projects and business improvements About You Essential Skills & Experience Experience providing executive or senior-level administrative support Exceptional organisational and diary management skills Experience preparing agendas, taking minutes, and managing action logs Strong ability to handle confidential information with discretion and professionalism Excellent written and verbal communication skills Advanced IT skills, including Microsoft Office and digital collaboration tools Confidence using AI-assisted tools to improve efficiency Comfortable working in a hybrid/remote environment Desirable Experience within a charity, not-for-profit, or public sector organisation Understanding of governance and regulatory requirements Experience supporting Boards or senior leadership teams Personal Attributes Proactive, self-motivated, and able to work independently Calm, adaptable, and able to manage competing priorities Strong attention to detail and commitment to quality Collaborative, with excellent interpersonal skills Professional and credible, with the ability to build trusted relationships Why Apply? You’ll be responsible for helping bring in: • 3,000+ professionals for National Interview Week, • 300 volunteers per Industry Edition event (Monthly events from Oct 2026 to May 2027) What You’ll Be Doing • Business development & outreach Reaching out to companies and professionals via phone, email, and LinkedIn, • Learning how to build relationships Developing confidence in speaking with professionals and maintaining ongoing engagement, • Selling the opportunity Explaining the value of volunteering and securing commitment • Managing your pipeline Tracking outreach, follow-ups, and confirmations using SharePoint and MS365, • Supporting volunteer onboarding Making sure volunteers are prepared and ready for remote delivery, • Event delivery support Helping manage a fast-paced, high-pressure environment during live event weeks, • Event Webinars – delivery event delivery webinars to volunteers, • Communication – Ensuring you communicate consistently with COO and Director of Education to support students across UK KPIs & Targets This is a target-driven role, designed to build your commercial skills: 1. Outreach to 10+ companies per day, 2. Minimum 3 phone calls per day, 3. Minimum 3 meetings per week, 4. Deliver 300 confirmed volunteers per monthly Industry Edition event, 5. Deliver 3,000 confirmed volunteers for National Interview Week, 6.
