The Role We are formalising our Project Management practices by creating a dedicated Project Management Office (PMO). The PMO function is being designed and rolled out now, and will require ongoing build, nurture, and refinement to deliver brilliant customer experiences through consistently well-managed projects. The Project Management Officer role is a step-up into leadership ideal for an ambitious Project Coordinator or Junior Project Manager who is ready to take ownership of people, processes, and project quality. You will: Act as the guardian of process, ensuring the PMO team works to consistent standards Oversee a team of 6, taking on day-to-day line management responsibilities (with structured support from the Head of Operations and HR Manager) Ensure clients, colleagues, and third parties have a seamless experience across every project Drive the design, rollout, and continuous improvement of the PMO function For the right candidate, this role offers a clear growth path to PMO Manager as the function matures. Responsibilities Leadership and Line Management Oversee the day-to-day management of 6 direct reports (3 PMO Coordinators, 1 Project Manager, 1 PMO Technical Engineer, 1 Field Engineer), ensuring workload balance, standards, and delivery quality. Conduct appraisals and provide coaching, feedback, and guidance to team members. Work in partnership with the Head of Operations and HR Manager on career development frameworks, performance escalations, and recruitment processes. Step in to cover critical tasks during periods of annual leave or sickness, while focusing primarily on oversight and process guardianship. Oversight and Guardianship Act as the overseer of the PMO, ensuring consistency, quality, and compliance across all projects. Serve as the guardian of process, creating, updating, and enforcing PMO methodologies, templates, and tools. Drive adoption of PMO processes and ensure they are followed consistently across the team. Implement structured resource scheduling, ensuring project resources are booked well in advance rather than assigned last-minute. Coordinate with other departments (Technical Services, Networks, IT Security, Electronic Security) to secure the right people for each project and ensure utilisation targets are met. Maintain visibility of team utilisation, preventing last-minute flurries of activity caused by client chasers, and keeping projects on track through proactive planning. Quality and Compliance Conduct spot checks and audits across project lifecycles to ensure governance, documentation, and reporting standards are upheld. Champion the Perfect Project framework to ensure every project meets our quality benchmarks. Maintain accurate records in Halo PSA and SharePoint. Stakeholder Engagement Coordinate with clients, internal delivery teams, and third parties to ensure communication and expectations are clear at all times. Act as escalation point for governance issues, risks, and decisions. Liaise with Finance on project milestones, budgets, and invoicing. Continuous Improvement Monitor PMO team performance against agreed measures (compliance, efficiency, customer satisfaction). Lead focus groups and initiatives to refine processes, templates, and tools. Promote the PMO across the business as a driver of project excellence and customer experience.
