Position Summary The ACE Initiative Site Administrator coordinates and administers comprehensive ACE Initiative services at an assigned middle or high school. The position works closely with students, families, school administrators, counselors, teachers, EduCare employees, and community partners to create a supportive learning environment in which students can learn and thrive. ACE Initiative programming incorporates five essential social-emotional learning competencies: self-awareness, self-management, social awareness, relationship skills, and responsible decision-making. Services may include integrated student support, social-emotional learning, college access, academic support, professional development, family engagement, and community-resource coordination. The ACE Initiative Site Administrator is responsible for program implementation, grant compliance, student support, lesson and workshop coordination, attendance and registration, data collection and analysis, reporting, stakeholder communication, and continuous program improvement. Essential Duties and ResponsibilitiesACE Initiative Program AdministrationDevelop, coordinate, implement, and monitor ACE Initiative services at the assigned school site. Deliver programming with an emphasis on social-emotional support, academic success, college access, and postsecondary planning. Ensure that programs and services align with the goals, objectives, outcomes, and requirements established by applicable ACE Initiative grants and school-site agreements. Collaborate with school administrators, counselors, teachers, school employees, and EduCare departments to identify student and school-community needs. Develop and implement programs, lessons, workshops, and student-support activities addressing topics that may include: Self-awareness and self-management Social awareness and relationship skills Responsible decision-making Personal health and safety Communication and interpersonal skills Peer relationships Goal-setting and decision-making Conflict resolution Academic planning Career awareness College preparation and access Postsecondary planning Develop and facilitate ACE Advisory and College Access lessons for applicable grade levels. Coordinate ACE programs, workshops, HeartBeats, professional-development workshops, family-engagement activities, and parenting workshops. Collaborate with school personnel and the ACE Programs department when planning and delivering school-site programming. Coordinate and monitor ACE Initiative instructional-day tutoring and other academic-support services. Maintain knowledge of expanded learning programs and services available at the assigned school site. Encourage students to participate in programs and resources aligned with their interests and needs. Attend required EduCare, ACE Initiative, school-site, and program-related meetings. Attend required training and professional-development activities. Perform other related duties and projects as assigned. Student Support and College AccessBuild positive, professional, and supportive relationships with students. Help students identify and access academic, social-emotional, college-readiness, and community resources. Support students’ social-emotional needs within the appropriate scope of the position. Monitor student progress through the college application and postsecondary-planning processes. Assist students with understanding graduation, A-G, college admission, financial aid, and other postsecondary requirements. Collaborate with school counselors and other authorized school personnel to support academically appropriate student programming and placement. Use available attendance, behavior, achievement, and program-participation data to identify needs and inform student-support strategies. Participate appropriately in educational-planning discussions concerning students. Refer students and families to appropriate school, district, community, or professional resources when needs fall outside the position’s scope. Maintain appropriate professional boundaries and follow all student-safety and youth-protection requirements. Promptly elevate student safety, welfare, mental-health, or other significant concerns through the appropriate reporting channels. Fulfill all mandated-reporter responsibilities. Program Development and Workshop CoordinationAssess student, family, employee, and school-community needs when developing programs and services. Create project plans, implementation schedules, materials, and communication plans for assigned programs and workshops. Coordinate space, schedules, presenters, materials, participant communication, attendance, and other logistical needs. Collaborate with EduCare employees, school personnel, external presenters, and community partners to deliver effective programming. Monitor the implementation and quality of programs, lessons, workshops, tutoring, and other services. Gather and evaluate participant feedback to improve future programming. Complete assigned projects accurately, on time, and within applicable budget requirements. Communicate program changes, needs, challenges, and progress to the Program Director and appropriate stakeholders. Grant Compliance, Data, and ReportingUnderstand and follow the requirements of applicable ACE Initiative grants, contracts, purchase orders, and school-site agreements. Monitor progress toward established program goals, service commitments, and required outcomes. Collect, review, and maintain accurate student attendance records for ACE Initiative programs and activities. Distribute, collect, review, and track student registration and participation forms. Maintain complete, accurate, confidential, and organized program records. Use designated data systems to collect, maintain, and analyze information related to student attendance, behavior, achievement, participation, and program outcomes. Distribute, collect, and analyze social-emotional learning surveys and other program assessments involving students, families, teachers, or school personnel. Maintain contemporaneous notes regarding program activities, accomplishments, outcomes, concerns, and implementation challenges. Prepare and submit weekly, monthly, grant-related, and other required reports accurately and within established deadlines. Provide program-outcome data and other information requested by ACE Initiative management, school administrators, funders, or authorized organizational representatives. Communicate relevant assessment findings to authorized students, families, school personnel, and EduCare leadership while maintaining confidentiality. Identify data discrepancies or missing information and coordinate appropriate follow-up. Use program data and stakeholder feedback to recommend improvements to services and program delivery. Participate in program audits, monitoring visits, evaluations, and grant-compliance reviews. Partnerships and Stakeholder CommunicationServe as EduCare Foundation’s ACE Initiative representative at the assigned school site. Build and maintain effective working relationships with students, families, school administrators, counselors, teachers, school employees, community organizations, service providers, and EduCare departments. Communicate program information, schedules, expectations, results, and concerns clearly and professionally. Work with community organizations and service providers to bring appropriate resources, programs, and services to the school community. Coordinate referrals and connections to available school, district, and community resources. Respond promptly and professionally to requests for information, service, or assistance. Provide clear presentations and facilitate meetings or workshops for students, families, employees, and community partners. Communicate information at both the program-wide and individual-service level, as appropriate. Represent EduCare Foundation professionally during meetings, training, workshops, events, and community activities. Maintain the confidentiality of student, family, employee, school, grant, and organizational information. Employee and Tutor OversightCoordinate and oversee in-class tutors or other assigned program employees when services are included in the applicable school-site agreement. Communicate work assignments, schedules, service expectations, and program requirements. Monitor service delivery, attendance, punctuality, documentation, student interactions, and compliance with program procedures. Provide appropriate direction, feedback, coaching, and operational support. Help assigned employees understand school-site expectations, student-safety requirements, and ACE Initiative program goals. Address routine operational concerns and elevate significant performance, conduct, attendance, or employee-relations matters to the Program Director and Human Resources. Participate in employee onboarding, training, performance documentation, and evaluations when assigned. Consult with the Program Director and Human Resources before making decisions involving formal discipline, suspension, termination, compensation, leave, accommodation, or other significant employment actions. Safety and Risk ManagementFollow all EduCare Foundation, school, district, grant, and program safety requirements and emergency procedures. Maintain appropriate supervision during assigned student programs and activities. Monitor program spaces, activities, materials, and equipment for potential safety concerns. Report injuries, incidents, suspected abuse or neglect, unsafe conditions, and other serious concerns immediately through the appropriate channels. Complete incident reports and other required safety documentation accurately and promptly. Participate in required emergency drills, risk-management training, and safety training. Ensure assigned tutors and program employees understand applicable student-supervision, emergency, incident-reporting, and youth-protection procedures. Use program spaces, equipment, supplies, and materials safely and responsibly. Supervisory Responsibilities This position may supervise in-class tutors or other assigned program employees when those services are included in the school-site contract or purchased by the school. The level of supervisory responsibility may vary by assignment. Responsibilities may include:Assigning and monitoring work Coordinating schedules and program coverage Communicating performance and service expectations Providing coaching, feedback, and training Monitoring attendance, conduct, documentation, and performance Participating in performance evaluations and corrective-action processes Elevating significant employee matters to the Program Director and Human Resources When no employees are formally assigned to the position, the ACE Initiative Site Administrator may still coordinate projects and services involving individuals over whom the position does not have direct supervisory authority.Required QualificationsEducation and ExperienceBachelor’s degree from an accredited college or university. At least two years of experience working in a middle-school or high-school environment. At least two years of supervisory, team-lead, program-coordination, or comparable leadership experience. Experience supporting students from diverse cultural, linguistic, and socioeconomic backgrounds. Experience with student programming, social-emotional learning, college access, academic support, youth development, or a related area. Experience collecting, maintaining, analyzing, and reporting program data. Knowledge, Skills, and AbilitiesKnowledge of social-emotional learning principles, including self-awareness, self-management, social awareness, relationship skills, and responsible decision-making. Knowledge of college access, postsecondary planning, graduation requirements, and student-support resources. Ability to develop and facilitate student lessons, workshops, presentations, and other learning activities. Ability to manage grant-funded programs and follow contractual, reporting, and compliance requirements. Strong program-development, project-management, and organizational skills. Ability to create project plans, coordinate resources, monitor progress, and complete work within established timelines. Strong quantitative and qualitative data-management skills. Ability to analyze data and communicate findings clearly to different audiences. Strong verbal, written, presentation, and interpersonal communication skills. Ability to communicate detailed information at both a broad program level and an individual-service level. Ability to establish positive and professional relationships with students, families, school personnel, colleagues, and community partners. Ability to coordinate projects and obtain cooperation from individuals who may not be direct reports. Ability to manage multiple priorities, deadlines, interruptions, changes, and unexpected requests. Ability to work independently, exercise initiative, and seek guidance when appropriate. Proficiency with Google Workspace, data-management systems, online collaboration tools, timekeeping systems, and internet-based applications. Ability to learn and use additional technology required by EduCare Foundation, a funder, or the assigned school. Professionalism, dependability, adaptability, initiative, integrity, and commitment to student success. Preferred QualificationsDegree in education, counseling, psychology, social work, youth development, public administration, nonprofit management, or a related discipline. Experience implementing social-emotional learning programming. Experience with college-access or college-readiness programming. Experience administering a grant-funded school or youth-development program. Experience developing curriculum, student lessons, family works
