Job Description PROPERTY MANAGER Job Description: Under the direct supervision of the Corporate Office, the Property Manager is responsible for full oversight of their assigned properties and providing leadership and direction to third party vendors and independent contractors at assigned properties. They ensure all vendors and associates support the company objectives and understand their role in achieving these established goals. The Property Manager provides excellent customer service to residents and short-term rental guests and is expected to have excellent attendance and communication skills, possess the ability to build lasting relationships, and exhibit professionalism. This Property Manager’s position is for a portfolio of properties located within Miami-Dade and Broward County, which consist of long-term and short-term leases. Essential Job Duties and Responsibilities: While the following information should be considered a comprehensive description of this position, it should also be noted that some responsibilities and duties may not be specifically addressed. FINANCIAL / RENT COLLECTION • Responsible for staying within the established budget guidelines throughout the year and assisting in the preparation of the annual operating budget., • Ensure that all rents are collected when due and issue appropriate notices when necessary. Familiar with the eviction process., • Maintain familiarity with all procedures and requirements for accounts payable., • Constant vendor and contractor communications and supervision concerning work scheduling, billing, vendor relations, and informing vendors of company procedures., • Conduct ongoing reviews and report to the Corporate Office as instructed., • Responsible for knowing the application, lease and all applicable Florida property code laws., • Responsible for keeping up to date information regarding residents and any changes relating to resident application, lease and related lease forms., • Ensures that lease files and renewals are complete, and that completion of leases is being executed properly., • Attend scheduled meetings., • Maintains records on all aspects of management activity., • Submit required reports to corporate office on a weekly and monthly basis., • Communicate all challenges affecting the operation of the property to the corporate office in a timely manner., • Ensure compliance with Miami-Dade and City of Miami Certifications, including but not limited: Certificate of Use, Business Tax Receipt, Local Business Tax Receipt., • Ensures all calendar activities are conducted in a timely manner to meet required deadlines., • Maintain positive customer service attitude., • Inspect with residents all move-ins, renewals and move-outs., • Implement company procedures to maintain resident communications, for example complaints, service requests, etc., • Assist with development and implementation of resident services programs., • Weekly site visits to inspect the portfolio of properties and ensure the building, surrounding area, and any vacant units are in order; reviewing the inspection checklist and providing photo documentation where required., • Coordinate with maintenance supervisor, technicians and other vendors to prepare apartments and ensure timely reconditioning of apartments after move-out., • Monitor schedules of all maintenance activities., • Inspect the maintenance inventory routinely to ensure proper ordering., • Must be knowledgeable of all phases of leasing and resident retention., • Shows units to prospective renters and performs leasing duties as needed., • Completes lease renewals each month., • Maintain knowledge and awareness of market conditions and changes in rent affecting leasing and operations., • Develop and execute effective leasing advertisements through online listing platforms., • Maintain Waiting List, if needed., • Approve all rental applications and sign all paperwork as needed., • Must have a CAM License., • Report all liability and property incidents to the corporate office immediately., • Ensure that all injury claims are reported, and proper paperwork is completed immediately., • Answers and handles incoming calls from prospective new residents, current residents, vendors, suppliers, etc., • Ability to perform all functions of a Property Manager for a portfolio of assets., • Maintain all cellular communications, tablets on company phone provided or other approved method., • Strong leadership skills, communication skills, and decision-making abilities. Must be able to motivate team members to accomplish community and company goals and expectations., • Requires the ability to perform and handle interruptions in a rapidly changing, multitasking environment in an appropriate manner., • Work requires high attention and mental demands including the ability to prioritize and process information with accuracy and clarity., • Sound understanding of progressive multifamily management and operations as it relates to management of assets, personnel management, office operations, budgeting and planning., • Must be able to provide excellent customer service and effectively and professionally communicate via email, phone, or in person during the workday., • Performance oriented and highly motivated to produce results., • Computer literacy., • Excellent written and oral communication skills., • High school diploma or equivalent., • Real Estate License required., • Property/Community Manager state level license where required., • Minimum (3) three years property management experience preferred., • Experience and affordable housing, tax credit, HUD and or rural development preferred but not required., • The following designation is preferred: Accredited Residential Manager (ARM),, • The following designation is required: Certified Apartment Manager (CAM)., • Knowledgeable in YARDI - Voyager 8 (or other), • Travel independently for the purposes of conducting property business.
