Job Description Position Summary All Construction Group of North Florida is seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations, the safety manager, and assist project management staff. The ideal candidate will play a key role in maintaining efficient administrative processes within a fast-paced construction environment. This position requires strong communication skills, multitasking ability, and professionalism when interacting with clients, subcontractors, vendors, and internal team members. Equally important, we are looking for someone with a vibrant and fun personality who can foster a positive atmosphere within the team. As the go-to person for planning team building activities, social events, and birthday celebrations, you will help create a supportive and engaging workplace culture that brings our team together and keeps morale high. Key Responsibilities • Provide administrative support to project managers and company leadership, • Answer and direct phone calls, emails, and correspondence, • Prepare, organize, and maintain project documentation and files, • Assist with contracts, permits, proposals, and bid documents, • Coordinate scheduling for meetings, site visits, and inspections, • Maintain vendor and subcontractor records (COIs, W-9s, licenses, etc.), • Process invoices, purchase orders, and support basic bookkeeping tasks, • Track project deadlines and ensure documentation compliance, • Order office supplies and manage general office organization, • Assist with payroll documentation and employee records as needed, • Support customer communication and service follow-up, • Plan team birthdays, anniversary and other celebrations, • High school diploma required; Associate degree preferred, • 2+ years of administrative experience (construction industry experience preferred), • Proficient in Microsoft Office (Word, Excel, Outlook), • Experience with construction management or accounting software is a plus, • Strong organizational and time-management skills, • Excellent written and verbal communication skills, • Ability to manage multiple tasks and meet deadlines, • Familiarity with construction terminology and processes, • Experience with QuickBooks or similar accounting software, • Knowledge of permitting and subcontractor documentation requirements, • Office-based position within a construction company setting, • May require occasional coordination with field staff, • Salary hourly $25.00 per hour, • Paid time off (accrued)and holidays, • Opportunities for professional growth within the company References upon request.
