Hybrid: This role follows a hybrid schedule, requiring three days in the office at our Rochester, NY location and two days remote per week. The in-office days are subject to business needs. Candidates must be able to commute to the office as required. The work arrangement for this role is subject to change based on business needs and individual performance. Position Overview Program management responsibilities include the coordination and completion of programs on time within budget and within scope. Activity and resource planning, organizing and motivating a program team, controlling time management, cost estimating and developing the budget, ensuring customer satisfaction, analyzing and managing risk, monitoring progress and managing reports and necessary documentation are all key parts to being a successful program manager. Primary Responsibilities The below represents the primary duties of the position, others may be assigned as needed. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. • Independently gathers cross-functional feedback or external data-driven feedback (from potential buyers, existing customers, sales or studying the market/competition) on deliverables to ensure highest quality deliverables., • Generally produces deliverables that do not require significant iteration from leadership (defined as more than 3 rounds of revisions from direct leader), • Independently builds objectives and full year plan with KPIs, gets alignment from Directors/Sr. Directors across Marketing, • Ability to present up to Director/Sr. Director within Marketing so that: everyone in the room is clear on the meeting objective, current state, options considered, recommendation and rationale, • Communicates obstacles and recommended solutions to adjust plans to achieve objectives, • Ability to define a project scope and lead cross-functional marketing project team, • Facilitates the definition of program scope, goals and deliverables for specific programs, as assigned., • Develops detailed project plans and manages all processes including resource allocation, progress tracking, monitoring change control process, testing, documentation, training and on-time delivery within budget constraints., • Responsible for coordinating complex initiatives from initiation to successful completion., • Develops, tracks and maintains program plans and program deliverables and communicates program milestones and progress., • Assists the department managers in creating documentation, plans, etc. and maintains that documentation on an ongoing basis., • Coordinates program meetings with internal and cross-functional teams, generates meeting materials and produces post-meeting deliverables., • Effectively work with the teams to identify/mitigate program risks and participates in the creation of risk contingency plans., • Plans and sets goals and milestones with the team and clearly defines requirements and develops targets accordingly., • Detects, tracks and solves program issues effectively., • Recognizes areas for internal improvement and works with teams to develop plans for implementing them., • Collaborate across all business units to control resource requests while aligning to budgets and program plans, • Solicits stakeholder feedback and benchmarks best practices to identify opportunities for improvement., • Identifies key metrics to help prioritize and monitor critical activities, ensuring consistent and effective tracking and reporting of progress., • Effectively collaborates (provides and invites thoughts, ideas, opinions on how we can create something better) cross-functionally within Marketing and the enterprise., • Leverages data to generate organization and people insights, which in turn influence areas of focus and strengthen decision-making, • Uses best practices and knowledge of internal or external business issues to make recommendations and implement improvements to products, services or processes in own functional area., • Provides regular updates of the progress and status of specific programs, • Recommends improvements and troubleshoots all implementation issues., • Programs may vary in number, size and complexity., • Drives initiatives in support of department and organizational goals., • Demonstrates a commitment to Paylocity Core Values, • Maintains on-going documentation on program status and monitors progress towards completion while adjusting resources and plan accordingly to meet program requirements, • Develops goals and drives prioritization of projects, • Recognizes and solicits diverse perspectives (across orgs, regions), • Shows up in cross team and department meetings with value add on activation and execution as it relates to their functional area., • Can initiate and/or lead cross functional projects - delivering complex, large scope projects across organization and geography, • Managing resourcing for functional area, including forecasting, spend management, and adjustments to optimize ROI, • Carries a business metric that elevates to Marketing department level, • Allocates team resources to projects/campaigns with the highest ROI for driving growth, • Communicate team progress and results across organizations and influences leadership (within function), • Partners with product/sales/etc. to identify and execute projects and campaigns that will directly contribute to Paylocity's growth, • Exercises analytical skills, knowledge, and experience to make informed decisions and solve problems. Escalates decision making at an appropriate level., • Supports and promotes change, appreciates risk-taking, and encourages alternative approaches., • Can lead cross functional team/external agencies to execute to plan and hold accountable to their goals and timelines, • Communicates to leadership the performance KPIs and overall weekly / monthly status of goals/budgets and communicates obstacles and recommended solutions to adjust plans to achieve objectives, • Asserts own ideas effectively, and gains support and commitment from others that result in action., • Identifies what is most important and impactful and knows when to say no., • Uses knowledge to ensure internal/external customer satisfaction., • Regular interaction with clients/prospects/partners to better understand their needs, • Stays current with competitive products/campaigns/messaging in order to ensure that, • Paylocity stays ahead in best serving customers in the industry, • Demonstrates confidence when articulating a point of view based on data, experience, and knowledge. Education and Experience • Bachelor’s degree and a minimum of 5-7 years of practical program management experience, or equivalent combination of education and experience, • Proficient in Microsoft Office Suite including Outlook, Word, PowerPoint and Excel, • Experience working with large teams on programs that are deadline-driven, • Experience mentoring and/or developing others., • Highly organized and able to multi-task, • Exceptional communication skills, • Strong leadership skills – must be able to work confidently and effectively with multiple departments and levels within the company, • Excellent presentation and customer service skills, • Strong technical aptitude to quickly learn new technologies/internal software systems and identify user applications, • Experience within a customer service focused organization, • Experience working in a fast-paced environment a strong asset, • Physical requirements, • Ability to sit for extended periods: The role requires sitting at a desk or workstation for long periods, typically 7-8 hours a day., • Use of computer and phone systems: The employee must be able to operate a computer, use phone systems, and type. The base pay range for this position is $80,000 - $118,000/yr; however, base pay offered may vary depending on job-related knowledge, skills, and experience. This position is eligible for an annual bonus and restricted stock unit grant based on individual performance in addition to a full range of benefits outlined here.
