(dba PSA, The PSA Network, and Edge), located in Westminster, Colorado, is the world’s largest systems integrator consortium. We are currently seeking a highly organized, detail oriented, and trustworthy Executive & Office Support Administrator to provide critical support to our executive team and ensure the smooth daily operation of our office. This role is a blend of executive assistance, office administration, and limited personal support for executives, designed to keep our leadership team focused on high-value priorities and maintain an efficient, well-run workplace. This role is onsite full-time at our Westminster office.We offer a competitive salary and comprehensive compensation package which includes medical, dental, vision, 401K with match and safe-harbor contribution, tuition reimbursement, paid parental leave, and PTO. For those working out of our corporate headquarters, we have a business casual working environment. Salary Range: $65,000 – $75,000 annually plus bonusEssential Functions Executive & Personal Support (Approx. 20% personal support): • Provide calendar management, meeting coordination, and travel arrangements for the executive team.Work with the executive team to coordinate outreach activities. Follow up on contacts made by the executive team to cultivate ongoing relationships., • Handle expense reporting, reimbursements, and vendor payments., • Maintain open communications with the executive team, including meeting regularly; coordinating and providing information and documents as needed., • Assist with limited personal administrative tasks, such as scheduling personal appointments, coordinating household vendors, and managing key personal documents, while maintaining appropriate boundaries and discretion., • Prepare presentations, including building and formatting PowerPoint decks for executive meetings and board-level reports., • Maintain strict confidentiality regarding sensitive personal and organizational information., • Create and manage email and mail merges, distribution lists, and templated communications for company communications and announcements., • Generate simple reports (Excel pivot tables, charts) to support executive team., • Coordinate signature collection for vendor and event contracts and maintain contract logs., • Coordinate logistics for board meetings including board and executive travel needs.Office Administration:, • Manage all aspects of the organization’s office services. Assist in the selection of vendors and purchase equipment, services, lunches, and supplies necessary for the operation of organization., • Serve as the first point of contact for the office: greet visitors, manage deliveries, and oversee general office communications., • Organize company events, celebrations, and team-building activities., • Ensure office facilities and common areas remain professional, organized, and fully functional., • Coordinate package shipments and mail disbursements, both incoming and outgoing.Operational Support:, • Assist with data entry and reporting for NetSuite CRM module., • Maintain and organize shared drives including SharePoint and Teams file repositories., • Provide logistical support for company meetings / functions - room set-up, tech readiness, catering, etc., • Assist with onboarding logistics for new employees (workspace setup, welcome materials, etc.)., • Track and follow up on action items from executive team meetings as needed., • Support miscellaneous projects requiring administrative execution and attention to detail.Minimum Qualifications & Experience, • 5+ years of experience in executive assistance, office administration, or a dual support role., • Demonstrated ability to handle sensitive and confidential information with integrity and discretion., • Strong organizational skills with the ability to manage multiple priorities and deadlines., • Advanced proficiency in Microsoft Office 365 Suite, including Word, Excel, PowerPoint, Outlook, and Teams; strong skills in PowerPoint design and mail merges., • Excellent communication skills, both written and verbal., • High level of professionalism, reliability, and discretion.Personal Characteristics, • Thrives in a dynamic, fast-paced environment with competing priorities., • Comfortable switching between executive-level support, office logistics, and personal tasks., • Proactive problem solver who anticipates needs and takes initiative., • Service-minded attitude with a focus on making things run smoothly behind the scenes.
