Key Responsibilities: Billing & Invoicing • Issue contract client down payments and final invoices according to project or contract terms, • Ensure invoices are accurate, complete, and delivered to clients on schedule, • Maintain organized records of all issued invoices and supporting documentation Payment Processing • Process incoming payments, including checks, ACH, wire transfers, and credit card transactions, • Apply payments to customer accounts accurately and promptly, • Process credit card payments in compliance with company policies and security standards, • Reconcile daily payment activity and resolve discrepancies Collections & Account Management • Monitor outstanding balances and follow up on overdue accounts, • Conduct collection activities professionally and in alignment with company guidelines, • Communicate with clients regarding payment status, billing questions, and account issues, • Maintain updated aging reports and escalate delinquent accounts when necessary Additional Financial Tasks • Support month‑end closing by preparing AR reports and account reconciliations, • Collaborate with internal teams (sales, operations, finance) to resolve billing or payment issues, • Assist with mid‑year and year‑end financial audits, gathering documentation, and responding to auditor requests, • Collaborate with internal teams to resolve audit inquiries and support the implementation of audit recommendations Skills & Qualifications • Strong understanding of accounts receivable processes and basic accounting principles, • Experience with invoicing, payment processing, and collections, • Proficiency QuickBooks is a must, • Strong attention to detail and accuracy, • Excellent communication and customer service skills, • Ability to manage multiple priorities and meet deadlines, • Proficiency in Microsoft Excel Education & Experience • 2–5 years of experience in Accounts Receivable or similar accounting role
