Description Join our team at The California Association of School Psychologists (CASP). Work with creative and dynamic staff and leadership that serve school psychologists and their communities throughout the state. This position is responsible for all CASP meetings, education, and events. The employee serves as a liaison between the association, its members and committees, and meeting/event speakers, instructors, sponsors, attendees, vendors, and properties. In addition, this employee staffs all CASP event planning committees and coordinates CASP’s continuing education program and procedures to ensure CASP continues to be an authorized provider of CEU for interested individuals. Success in this position requires a high attention to detail and a sense of urgency in work product, as well as proficiency with online scheduling and planning software. Salary Range: $70,000 - $80,000 Annually Specific Duties • Oversee various events, including our annual Convention, Spring Institute, and Summer Experience., • Coordinate with speakers for information such as bios, pictures, descriptions, and other details., • Manage calls for proposals, including communicating their acceptance or rejection., • Oversee CASP’s webinar educational programs., • Work with on-site vendors for all in-person meetings and events., • Fulfill customer service needs for prospective and confirmed event attendees., • Oversee CASP’s CEU program, • Review and negotiate property contracts related to CASP in-person events., • Develop meeting/event-related revenue and expenditure budgets for the Executive Director., • Review and approve event-related expense invoices and other receipts for payment., • Process registration cancellations and approve related refunds., • Oversee CASP’s event sponsorship activities., • Coordinate and execute property details for events and board meetings., • Travel to and work onsite for CASP events to ensure smooth event management, including speaker and participant check-ins, onsite registrations, and customer service requests., • Maintain event management database(s) and the information within them., • Perform site visits of potential locations or event venues when needed., • Maintain forms and other documents needed to perform this job efficiently., • Working with the Executive Director, review and recommend for approval meeting/event property contracts., • Respond to position-related phone and email inquiries., • Perform other duties as assigned by the supervisor. Knowledge, Skills, and Abilities • Strong attention to detail and organization., • Calm handling of multiple overlapping tasks and demands., • Establish and meet schedules and deadlines., • Knowledge of meeting facility food-and-beverage operations., • Proficient in written and oral communication in the English language., • Able to negotiate fairly and firmly with meeting facility personnel, suppliers, and presenters., • Ability to project revenues, set pricing, and budget expenses., • Able to work with volunteers while maintaining separation of staff and volunteer roles., • Available for occasional overnight travel., • Problem-solving and facility in making on-the-spot decisions., • Able to lift moderately heavy boxes and equipment (up to 45 pounds). Qualifications for this position can be met in a variety of ways. Bachelor’s degree in business, education, communication, recreation management, or a related field. Experience may be substituted for education. At least three years of experience in meeting planning and event management; association experience highly desired. Documented experience with Cvent, Google Workspace, and Adobe products. Having a Certified Meeting Planner (CMP) designation would be a plus. Valid driver’s license to operate a non-commercial vehicle in California. Work Environment The office work is currently hybrid. All employees are in the office three days each week (Tues-Thurs) and have the option to work from home two days each week. This position is in the Natomas suburb of Sacramento. The employee must be in the Sacramento area or be able to commute to Sacramento.
