Job Description The HR Generalist plays an essential support role within the People and Culture team and reports directly to the VP of People and Culture. This position requires a highly organized and service-oriented individual with strong interpersonal skills, a collaborative mindset, and the ability to manage multiple priorities. The HR Generalist is responsible for coordinating recruitment and onboarding activities, supporting employee engagement programs, assisting with benefits and leave administration, maintaining HR data and records, and providing day-to-day support to employees and managers. A candidate will demonstrate excellent communication skills, sound judgment, and a commitment to maintaining confidentiality and delivering exceptional internal service. All museum staff are expected to collaborate across departments to advance the museum’s mission, maintain a positive and enthusiastic attitude, act with integrity, and consistently provide excellent service to guests and colleagues. Recruitment & Onboarding Support: • Coordinate the full-cycle recruitment process for frontline and non-exempt positions, including posting jobs, screening resumes, scheduling interviews, and preparing offer letters. Maintain ongoing communication with hiring managers and HR team members throughout the process., • Partner with hiring managers to ensure a positive and efficient candidate and new hire experience., • Facilitate pre-employment processes, onboarding, and offboarding for all positions., • Lead new hire orientation and tour of the museum., • Support employee engagement initiatives, including assisting with stay interviews, recognition programs, and employee surveys., • Coordinate logistics for trainings, cultural events, wellness activities, and other employee programs., • Maintain employee records in both electronic and paper formats, ensuring accuracy and compliance with retention policies, and respond to basic employment verification and HR inquiries., • Enter and maintain employee data in the HRIS (ADP), ensuring timely updates to reflect personnel changes., • Provide general administrative support to the HR team as needed., • Assist with offboarding processes, including exit interview logistics and termination paperwork., • Assist with benchmarking HR best practices and industry trends., • Participate in museum committees, project teams, and process teams, as assigned. This role routinely uses standard office equipment such as computers, phones, printers, and copiers. The noise level in the environment is usually low. This position may require occasional evening work or local travel as job duties demand. Physical Demands: While performing the duties of this job: This position regularly requires full range of mobility in upper and lower body; the ability to reach overhead; the ability to work in various positions, including stooping, standing, walking, bending over, sitting, kneeling, and squatting for extended periods of time; the use or operation of objects, tools or controls; the ability to climb three flights of stairs; and the ability to talk and hear. This position frequently requires the ability to lift, pull, push, and carry weight up to 25 pounds to complete assigned job tasks. This position requires frequent sitting in front of a computer and using repetitive typing motions. Visual acuity to operate computer equipment is required. Specific vision abilities including close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus are important for this role. Knowledge, Skills & Abilities: The candidate may have any combination of education and experience but should possess the required skills and knowledge for successful performance. Our general minimum requirements are: • Associate’s degree in business administration, human resources management, or closely related field; equivalent combination of education and experience will be considered., • 3-5 years of professional HR experience., • Strong ability to be proactive, follow up and follow through, and work effectively in a fast-paced team setting while demonstrating versatility and adaptability., • Knowledge of leave administration, including eligibility and compliance., • Results-driven and service-oriented with a strong ability to work with competing deadlines and varying priorities without compromising attention to detail or quality of work., • Ability to maintain subject matter expertise and apply new knowledge to the job., • Experience implementing effective recruitment programs and completing full-cycle recruitment., • Skilled in the use of Excel to prepare reports on employment data and interpret HR metrics., • Integrity: Extensive access to confidential information requires extreme security, sensitivity, and discretion to protect the museum and its employees and volunteers., • Interpersonal Tact: Frequent contact with individuals within and outside the museum in situations where considerable tact and initiative are needed to impact business results. Excellent listening skills, a high degree of diplomacy and maturity, and the ability to balance empathy and objectivity., • Organization: Remain highly organized and pay close attention to each detail to ensure all communications and documentation contain appropriate and accurate information., • Process Improvement: Pursue and implement more efficient processes to optimize results. Demonstrate resourcefulness and identify ways to better allocate time and resources, where applicable, to improve HR services., • Collaboration: We work in a team-oriented environment, so it is vital that our employees maintain effective interpersonal relationships. This job requires the ability to understand and follow instructions while recognizing, analyzing, and solving a variety of problems. The HR generalist should exercise sound judgment to make decisions and/or provide timely solutions., • Computer Proficiency: This position requires substantial work on a computer, in databases, and with related equipment. A high degree of comfort and proficiency with computer technology and Microsoft Office programs, especially Excel, is important. The ability to quickly and effectively learn the HRIS (ADP), Adobe Acrobat, and new systems, as needed, is required.
