Our Opportunity Ignited program helps employers with intern matching and training, improving talent pipelines and workplace environments, training over 350 staff in 22 partner firms in its first five years. The JobOppNet is seeking a collaborative and mission-aligned Operations Manager to join our Operations team. This person will support the Operations Coordinator in managing the day-to-day operations of our hybrid office. This is a critical role in ensuring effective on-site, virtual, and any off-site program operations so that OppNet’s program teams can best serve our Fellows, Alumni, and partners. Reporting to the Associate Director of Operations, the Operations Manager provides essential cross-functional support in growing the efficiency of OppNet’s existing organizational processes and procedures, and in enhancing and sustaining the organization’s internal capacity. This role is ideal for a highly organized, proactive individual who takes pride in building strong systems, supporting teams, and contributing behind the scenes. This role involves significant computer work, which may require repetitive motion, prolonged sitting, and sustained visual and mental effort. Light physical labor (moving boxes/ equipment/inventory) is also required. The successful candidate will work in the office located at 85 Broad Street, New York, on average three (3) days a week, with the availability and willingness to work select evenings and some weekends. About You The ideal candidate will be a proactive and strategic thinker with exceptional professionalism, discretion, and organizational skills. They should have a background in nonprofit operations and/or program operations in a leading role. They should be comfortable with multi-tasking, excel at managing complex workflows, balancing competing priorities, and driving projects to completion with efficiency and attention to detail. This individual must bring energy, initiative, and a collaborative spirit to lead and support a wide range of operational, administrative, and leadership assignments. They will also invoke strong problem-solving strategies, a commitment to continuous improvement, and the capacity to oversee and develop team members while maintaining a high standard of operational excellence. What You Will Be Doing Organizational Operations (30%) * Oversee the daily functions of the organization’s hybrid work environment (virtual and physical workspaces), ensuring that staff, Fellows, and all stakeholders are supported with the appropriate information, materials, and equipment to carry out work/tasks/activities, all while providing high-quality customer service * Supervise the efficient management of OppNet's inventory system by overseeing the ordering, storage, distribution, maintenance, and use of all IT equipment (hardware and software), office equipment, materials, and supplies across all levels of the organization * Assist the Associate Director of Operations with the development and implementation of policies and procedures consistent with those of the organization to ensure efficient and safe operation of the organization * Oversee a safe, healthy, and orderly work environment by ensuring that standards and procedures are established, enforced, and compliant with OppNet’s policies and legal regulations while providing regular support to the Operations Coordinator’s management of physical spaces, including meeting rooms, pantry, printing/copying area, and common areas * Assist with managing all building safety and security needs: registering visitors, managing building ID-related inquiries, communicating updates on building systems’ testing, emergency drills, and safety protocols * Ensure all operational, administrative, and (where applicable) compliance functions within the organization are being properly executed in accordance with regulatory-based best practices * Maintain an Operations Department Manual, ensuring all operational practices are codified, updated, and followed * Support the Operations Coordinator’s role in vendor communication, ensuring day-to-day interactions align with organizational expectations and priorities Program Operations (25%) * Collaborate with Fellows team leads to ensure programming space needs (virtual, on-site, off-site, and borough-based) are met on time. * Support the logistical planning and execution of large classes and events, both on-site and off-site, providing direct or indirect assistance as needed. * Support Operations Coordinator with Fellows' requests for equipment, program-wide incentives, and other logistical needs. * Serve as a liaison to building management, handling information updates, complaint resolution, and collaborative problem-solving to set and enforce space-sharing expectations. * Support with training room bookings and the communication process between Year Up United (YUU) and the Operations Coordinator to ensure that all decision points are shared. * Ensure OppNet staff adhere to YUU space protocols to maintain a harmonious tenant-subtenant relationship. IT Management (15%) * Support the development and implementation of IT policies and procedures to ensure that the organization operates effectively and reliably * Assist with designing training guides for staff as new systems are implemented, and reinforce tech and operations infrastructure across the organization to ensure consistency * Assist with the adoption and use of primary technology and operations infrastructure across the organization to ensure consistency and efficiency; advocate and assist with building out automation of tasks for efficiency People & Culture Support (15%) * Manage staff administrative onboarding and offboarding processes * Assist with the coordination of activities designed to celebrate and appreciate staff, and build community, including but not limited to: * Providing event planning support to managers organizing team-related social gatherings * Guiding the research and plan for ordering and distributing incentives, gifts, etc. Organizational Learning, Development, and Program Reflection (15%): * Participate in organization-wide learning sessions, working groups, and optional affinity groups. * Attend weekly team meetings, All Hands meetings, All Staff meetings, team retreats, and annual institution-wide retreats. Who we are looking for * Minimum of five years of experience working in nonprofit operations, administration, or organizational management in a fast-paced, high-standard environment. * Strong project management and collaboration skills, including: * ability to keep a project moving toward successful completion * awareness of budget parameters * understands how metrics and competencies are connected to various projects * Experience using project management software (Monday.com or its equivalent) * Excellent written and interpersonal cross-departmental communication skills * Experience managing event timelines, logistics (catering, meeting room set up and breakdown, etc), programming, and multiple competing priorities with accuracy and composure * Ability and aptitude with technology and database management, specifically logic-based data systems (i.e., Salesforce, Form Assembly or other CRM), internet technology, Google Suite, and Office Suite. * Ability to translate big-picture thinking into detailed project plans and seamless execution * Experience handling confidential client and employee information and data, and the ability to maintain confidentiality and integrity when managing sensitive information. * A team player with a strong work ethic and consistent follow-through * Possesses outstanding organizational skills and the experience to problem solve and make decisions while being fiscally responsible * Ability to take initiative and work with minimal supervision. * Availability and willingness to work select evenings and some weekends Requirements to Work for OppNet OppNet requires that all employees, including new hires, be fully vaccinated against COVID-19, unless an exemption has been approved. The hiring salary range for this role is $70,433–$77,250 and will be commensurate with experience.
