The ideal candidate will be responsible for the collection and organization of documents and information from various cases at the firm. This candidate should feel comfortable relaying messages between various groups and keeping all documents important to the cases they are working on organized. Administrative · Supports all the Firm’s attorneys and other team members, as needed. · Handles confidential matters, administrative tasks and is responsible for meeting the internal quality standards of the Firm for accuracy, completeness, and timeliness of correspondence and legal documents. · Interacts with clients, schedules appointments and/or phone conferences, maintains client files , etc. In addition, if action items are noted on a client matter, Legal Assistant/Paralegal will facilitate completion of open tasks (whether by transmittal letter, emails and/or reminders to attorney). · Serves as a first point of contact for current clients and visitors with questions. · Works on other projects as needed and assigned. · Works with all employees to oversee the smooth function of all office operations. · Assists in training new employees, as needed. · Coordinates with clients for completed questionnaires, consultation payments and appointment confirmation and/or rescheduling. · Back up to legal assistant/legal secretary, as needed. · Works with various vendors in connection with office services, maintenance, repairs and supplies. · Keeps records of attorney registration/license renewal dates and ensure timely payments of dues and compliance with CLE requirements. · Maintains offices, kitchen and conference rooms, as needed. Paralegal · Records all billable and non-billable time, contemporaneously, into Firm’s online billing system. · Schedules client appointments. · Works with clients to gather all needed documents and information at the request of the attorney in furtherance of the clients legal matter and as needed to draft any litigation pleadings, guardianship pleadings, probate applications and other documents and filings needed or requested by attorney. · Assists the attorney with all aspects of the clients file, as needed, which includes maintaining required calendars. · Drafts all legal documents, contracts, deeds and pleadings in accordance with attorney’s instructions and prepares for attorney review and revisions. · Works directly with clients to gather financial data, personal information and documentation required for preparation of pleadings, probate, applications, inheritance tax returns, tax waivers, beneficiary claim forms, informal estate accountings and other filings. Bookkeeping · Records bank deposits into operating and IOLTA accounts. Job Qualifications · Paralegal degree, college degree, or equivalent work experience. · Possesses excellent communications skills. · Ability to problem solve and multi-task. · Intermediate knowledge of Microsoft Word and Excel. · General knowledge of computer security. · Willing and able to work overtime, as needed.
