Job Description Are you good at puzzles and fast-thinking? Do you like to solve problems and organize in a way that helps others? We are seeking a Resource Planner to join our team! You will be responsible for helping to make sure that children with disabilities and their families receive the therapy sessions they need by planning treatment delivery schedules. Your planning and organization will enable children to receive much needed treatment, and for our therapy staff to ensure they are helping as many people as possible. As a Resource Planner, you will work with the Lead Resource Planner and our clinical team to plan the schedule of delivery of therapy services. In collaboration with clinicians, you will plan, coordinate, and manage data for therapy schedules. You will interface with staff, client parents, school personnel, and families mostly over the phone and email to discuss their session schedules. You will be responsible for assisting the management team in ensuring all clients receive the treatment hours they are authorized to receive. You will also assist with the management of our office site in Sherman Oaks. Responsibilities: The Resource Planner will serve as the primary contact staff for scheduling needs and will possess the necessary skills to deal effectively with the day-to-day challenges of scheduling and responding to scheduling needs for the departments, including the demonstrated ability to problem-solve in an efficient and creative manner. Maintain positive relationship with the clients, staff, families, and schools IABA serves Engage with the management team to creatively solve resource challenges Complete tasks relevant to daily scheduling needs for the departments, such as data entry, modification, communication with staff and clients, and creation of future schedules Complete other tasks related to operations, personnel management, client database management, and/or billing documentation Ensure that all work shifts scheduled comply with Labor Laws with regard to break periods Assist with preparing schedules for submission to payroll via clinical administration software Assist with lunch break coverage for clinical staff, interacting with and supporting young child (2-6 years old) clients during these breaks Assist with office management duties, such as stocking, inventory, ordering, answering phones, updating databases for waitlist, checking eligibility for funding, and other administrative duties as assigned Assistance with administrative needs of the division, such as data entry not related to scheduling, organization of authorizations, maintenance/gathering of HR documentation, organization of billing-related information, or any other needs as identified by the Director. Qualifications: A.A./B.A. preferred, HS or equivalent required Familiarity with healthcare scheduling software Experience in previous social services or clinical administration employment a plus (experience in ABA a +++!) Ability to problem-solve in a high-paced and demanding environment Excellent interpersonal skills Excellent verbal and written communication skills Excellent organizational skills Excellent self-regulation skills Pre-Employment Requirements: Eligibility to work in the US Proof of highest level of education Proof of current CPR and First Aid training certifications Clearance with the Department of Justice/FBI by completing a fingerprint background check Successfully passing pre-employment drug test and TB clearance Proof of vaccinations relevant to California law Completion of verification of employment Physical Activity Requirements: Ability to physically lift and carry items weighing up to 20 pounds (e.g., boxes of copy paper) Ability to sit for extended periods and work on a computer Training: The Resource Planner will be expected to participate in initial training for the position delivered by clinical and administrative staff, anticipated to be complete during the first three months of employment. Training requirements include: competency based training, on the job field training and any other training provided by the professional staff of IABA and/or professionals outside the agency.
