Sales & Purchasing Coordinator Location: Trenton, NJ (On-site, Monday–Friday 9:00 AM – 5:00 PM) Salary: $60,000 – $65,000 annually (based on experience) Employment Type: Full-time, On-site We are a specialized recruiting firm partnering with a rapidly growing wholesale/distribution company in Trenton, NJ to find a highly organized Sales & Purchasing Coordinator. This is a key role created due to strong company growth. The ideal candidate will thrive in a fast-paced environment, possess excellent attention to detail, and have strong communication skills. Position Overview This multifaceted on-site position combines purchasing, sales order processing, and bookkeeping (AR/AP) responsibilities. You will play a critical role in managing purchase orders, sales orders, vendor relationships, customer communications, and financial tasks using NetSuite and QuickBooks. Key Responsibilities Purchasing & Operations • Create and manage purchase orders (POs) from creation through receipt and invoice matching in NetSuite, • Create and pay bills in NetSuite; accurately enter and pay freight bills on time, • Prepare and provide a daily payment list to leadership, • Communicate with vendors regarding pricing, lead times, and delivery schedules, • Coordinate with warehouse and operations teams to ensure timely receipt and shipment of goods, • Monitor inventory levels and initiate replenishment orders as needed, • Resolve discrepancies in purchase orders, invoices, and shipments promptly, • Create and email customer invoices accurately and on time, • Manage Accounts Payable and Accounts Receivable, • Perform regular account reconciliations and handle collections on outstanding balances, • Process and manage sales orders end-to-end, including bulk orders and drop shipments, • Proactively update customers on order status, shipping timelines, and any changes or delays, • Serve as the primary point of contact for order-related customer inquiries and support, • Support the sales team with administrative tasks, documentation, and follow-ups, • Maintain data in NetSuite and SmartSuite; generate sales reports as needed, • 3–5 years of hands-on NetSuite experience (PO, SO, inventory, billing, and reporting modules) — Required, • 3–5 years of QuickBooks experience — Required, • Proficiency in SmartSuite, Microsoft Excel, and Outlook, • Strong understanding of AR/AP processes, reconciliations, and basic financial reporting, • Excellent organizational skills with high attention to detail, • Strong written and verbal communication skills, • Proven ability to manage multiple priorities and high-volume tasks in a fast-paced, deadline-driven environment, • NetSuite certification or advanced user experience, • Background in wholesale, distribution, or procurement industries, • Competitive salary of $60,000 – $65,000 based on experience, • Health, dental, and vision benefits, • Paid time off and company holidays, • Supportive, collaborative team environment with opportunities for growth If you are a detail-oriented professional with solid NetSuite and QuickBooks experience and enjoy working in a dynamic, growing company, we want to hear from you!
